All of the IEP Caseload Binders contain the same content, but the themes are different. That means that the fonts, colors, and clip art used are different, but the content provided is the same.

You can grab a free acronyms list in this blog post . This sheet is a great addition to any paraprofessional or substitute binder, and a great resource for parents.

TIP – To attach the tabs, use a little bit of glue. I recommend putting your divider pages in the order you’d like first, and then attaching the tabs so you can create the stagger look like you see above.

Having separate IEP binders ( one with originals… the teacher IEP binder, and one for each student ) really helps keep me organized. Now I can quickly grab a student’s binder and have all of the information I need at any second.

Read this article for tips about teacher binder organization and get some teacher binder ideas for this school year. It’s time to get yourself organized and have your teaching essentials in one place.

How often do you find yourself sitting in a meeting, caught without some essential piece of information that you need? I really hate that feeling of needing specific information – a student’s IEP, my list of grade-level standards, or a calendar – that makes you feel unprepared.

You need a teacher binder.

What is a teacher binder?

A teacher binder is an actual binder you use to organize all the teachery things you need daily while working. You can customize it to hold everything that YOU need.

I love having everything in one place. It’s efficient for me and easy to stay organized with just one convenient binder. I can grab it as I head out to meetings and feel confident that what I need is inside.

So what actually goes inside? That can be different for each teacher.

Different subject areas need different materials and resources. Plus, every teacher organizes differently.

Here’s a basic list of forms and resources you may want to include in your teacher binder:

  • Lesson Plans (this could be its own separate binder)
  • Curriculum map
  • Student Lists – medications, IEPs, etc.
  • Schedules of classes
  • Sub plans (this could also be its own separate binder)
  • Student data (this could also be its own separate binder)
  • Parent Communication Forms
  • Meeting Notes and agendas
  • Pockets to hold important papers/notes/forms/etc.

There’s really no wrong answer about what to include in a teacher binder. It can be as fancy or as basic as you like.

How do you make a teacher binder?

You’ve got some options. You can quickly and easily make your own or buy some printable options on Teachers Pay Teachers. You’ll find links at the end of this article so you can get started FAST!

The binder I’m using this year is my own creation that I’ve developed from over 25 years of teaching. I’ve learned what works for me and what doesn’t work for me. That will be different for everyone. But I can say without a doubt that I’ve made minor changes every year.

Size does matter:

I first tried a small binder. I quickly outgrew it. Then I moved into several different binders for different topics, which made me feel like I had too many binders.

So I tried a really thick binder – that way, I’d only have ONE huge binder to lug around. Well, that was exactly the problem – it was HUGE! I started to hate it – so the enormous, cumbersome binder didn’t work for me.

More is better:

Now I’m back to having four different binders. I use:

  • A Teacher Binder
  • A Substitute Teacher Binder
  • An IEP Caseload Binder
  • A Student Data Binder

I’m comfortable with these four binders. Each category is different enough that I don’t get confused. I also prefer using different colors for each binder – less confusion for my frazzled mind.

Teacher Binder Organization

You’ll need just a few supplies to set up your binders. The only thing you MUST have when getting started is an attractive binder (of course, you’re welcome to use an old, beat-up binder if you insist!).

To get organized, grab some binder clips, page protectors, and pocket folders for some serious organization.

Write down what you plan to keep in your binder and lay out your pages, if possible, so you can see exactly what you’re working with. Split up each section with page dividers and tabs to find what you need quickly.

My binder sets come with tabs that you can edit and print yourself, or you can buy some ready-to-go tabs at the store, which stick directly to the pages or page dividers.

I suggest printing your binder cover in color , but it’s my personal preference if you want your page dividers in color.

If you have access to a color printer and plan to use the dividers for several years – go for it! But black and white works great also – because here’s the secret – you don’t really look at the page dividers all that much anyway!

You can simply slide the dividers into a page protector pouch and attach a binder tab – this kind of organization is so easy.

The Teacher Binder – Yep, you need this

This is the binder that I use all day, every day, because my daily lesson plans, small group plans, and grade book are stored inside. This is where you keep all those teaching essentials that you need at a moment’s notice.

I also store:

  • class lists and checklists
  • daily schedules
  • general student lists, such as which students are on IEP, 504, medical issues, etc., for quick reference (I use the Student Binder for more individualized and detailed forms)
  • meeting notes and agendas
  • anything I need day-to-day
  • curriculum guides and pacing guides
  • a yearly calendar of important dates
  • my old-fashioned EZ-Grader and grade card comments list in a pocket page
  • a pencil pouch with basic supplies I might need during meetings, etc.

The best part about this binder is that you have everything you need at your fingertips. I also love being able to grab it when I head to a meeting.

You might also want to add pocket folders. I hole-punch them and slip them right into the binder.

OK – I’m gonna get honest and embarrassingly shallow here.

I LOVE having an attractive binder that’s nice to look at and fun to use. It’s worth a little splurge on a great binder – it’s my little gift to myself every fall. Plus, I want the color that I want – whatever that might be for that particular year. Who wants one of those cheap binders that start falling apart and are hard to open and close?

I want the softer cover binder in a pretty color.

Shallow? Umm, yeah. But if it brightens my day and gives me a little lift right when I need it most – who cares! I work hard, and I deserve it.

Student Binder

I use this binder to store almost everything related to individual students. The student lists and information in this binder are more detailed than my teacher binder.

You may want to store:

  • IEP-related information, accommodations, modifications, full IEPs
  • 504 plans, medical plans, behavior plans
  • intervention plans
  • running records for your classes and small groups, data information
  • student notes and observations
  • conferencing notes
  • response to intervention forms (RTI)
  • conference forms/parent communications

What you keep in this binder really varies based on your grade level, assignment, and personal preferences. This binder can become huge if you let it. You’ll want to re-evaluate your needs and what you keep in it from year to year, or it will become ENORMOUS.

Substitute Teacher Binder

This takes a while to set up the first time, but it really, really helps when you’re going to be out of school for a day or so. Do the hard work upfront before you feel sick or have a family issue or emergency to deal with.

Here’s a list of the basics to include:

  • Class procedures should be one of the first pages in this binder. You’ll want to include everything from lining up for recess and specials to using the restroom. Be sure to briefly explain your discipline policy and list helpful teachers’ names and room numbers.
  • I keep our daily schedule in the very front, along with delay schedules and any other types of schedules that your sub may need.
  • You also want to keep an updated list of students who will be in your room during each time of the day. Some classrooms are particularly confusing, with students coming and going to meet with other teachers and counselors. I like to indicate which students are especially helpful if the sub has questions or needs help during class.
  • Emergency Sub Plans – you need these in case there’s a time that you’re unable to make it into the school or send detailed plans. These plans can be review lessons and practice materials that can be implemented and used at any time of year.
  • I also like to leave some extra time activities or puzzles, like word searches, coloring pages, crosswords, etc.
  • Also, include a pocket folder of forms for attendance, discipline, lunch count, etc.

An IEP Binder  used to be part of my everyday life. In a former life, I was a special education teacher.

I actually started my first blog, Bed Rested Teacher , when I was on bed rest (hence the name). It’s when I got the blogging bug. Once I decided to stay home, I realized that maintaining a teacher blog while I was no longer teaching wouldn’t be the best choice. One thing I learned as a teacher, is how important it is for parents of children with an IEP to stay on top of things.

IEP Binder: Stay Organized & Know Your Rights

As a teacher, one of my schools was strict about the information I could give parents to advocate for themselves. This was extremely difficult for me (and the opposite of the other school I was in).

I am passionate about the education that students with disabilities receive. It breaks my heart when I hear about a bad experience a parent has had with another teacher or school. It’s what has made me want to make sure parents of children with disabilities have the knowledge they need to advocate for themselves.

One way I knew I could help would be through creating a few printables for you to create your own IEP binder . Keep your IEP binder separate from your other school information sheets . 

It will keep you better organized to only have IEP and special education information in the IEP binder rather than anything family-related. This binder should travel with you anytime you go to a meeting or appointment related to your child’s disability.

This page has a little more information than I traditionally include with my free printables. I feel it is important to explain to you why you should use these IEP binder printables .

Can These IEP Binder Worksheets Work for a Teacher?

While these printables can work for teachers, I designed them originally with parents in mind. BUT…they can definitely be used by teachers as well. I always had an IEP Binder with each student’s IEP and important information (divided by tabs). These sheets work great as an easy IEP at a glance resource.

IEP Binder – Special Education Inserts to Keep Organized

Iep at a glance.

The first three printables are IEP at a glance worksheets. I have created a version for parents and teachers. This is all of the main information you need to be keeping track of as a parent or a teacher.

As a parent, it’s important to know what your State’s laws/best practices are for sending out parental meeting notices and draft IEPs. By tracking the dates of your IEP and notices, you can make sure your child’s case manager is following the correct protocol.

For the services page, it’s important to know what services your child is receiving. If you’re a teacher, it’s also important for you to have service hours easily on hand.

Aside from your own services (if you are the provider as well), you need to keep track of the other professionals such as speech and language pathologist that see your student. If you’re a parent, you want to keep their contact information close so that you can easily get a hold of them if needed.

Parent & Teacher (Same Version) Contact Tracker

As a parent or a teacher, keeping a log of all communication is so important. As a special educator, you have to maintain some sort of contact log.

This is the perfect tool to print and take with you while making a phone call or to write a summary on from an e-mail. As a parent, please keep track of all the conversations you have and any actions the case manager/specialist says they will complete.

Frequently check back with your contact trackers to make sure the staff is following through.

*Side note for Parents and Teachers – While talking on the phone with a parent/teacher can be easier to tell tone, sometimes it’s not worth the struggle of remembering everything from the conversation.

By using e-mail, you are creating a paper trail . If a teacher/parent says they are going to do something, you have it in writing. I always tell parents to make sure they are using e-mail. If you have a phone call, let the teacher know you will be sending a follow-up email with the notes. Ask the teacher to respond and confirm that they agree to the phone call notes.

If you are requesting to determine if your child needs to be tested, put it in a written letter and send/drop it off at the school (make sure to make a copy before you mail it and always write down the date you sent it /the school received it. That’s the date the timeline starts).

Notes on Using the IEP Binder Printables

Binder Tasks in the Special Education Classroom

It’s a no brainer that task boxes are a favorite in the special education setting. They help to build independence, generalize skills and offer an alternative to direct instruction. Today I am going to talk about a different kind of task, I’m going to talk all about BINDER TASKS!

What are Binder Tasks?

The Binder Work system was designed to create a systematic routine system for students to work independently on already mastered skills that they learn at the math, reading, and writing centers/classes. This can be an every day work center/rotation within your classroom that requires no planning. Binder tasks are simple and are exactly what they sound like. They are simple tasks that fit inside a binder! You can teach the kiddos the routine in the beginning of the year so that your binder center can run itself once it’s up and running! A binder task is any task that fits in a binder, and this can mean multiple different things.

  • Worksheets in page protectors for dry erase activities
  • Laminated pages with velcro pieces
  • Pockets holding sorting/matching hands on tasks

Who Can Use These?

All students can use binder tasks! Depending on what you set up, different students will benefit depending on the skills included. As stated in this blog post, you can create various levels of binder tasks to meet the needs of all students. Reasons why some students may benefit more than others:

  • Avoids any paper/pencil tasks
  • Benefits from routine tasks

How Do You Use Them?

Binder tasks can be used in a variety of ways. There is no right or wrong way to use binder tasks and can be used in many settings:

  • Whole group binder time (ex. morning binder work time)
  • Binder Center during work center rotations
  • 1:1 Binder work

I used my binder tasks during work centers when I was in the classroom. Students rotated from table to table with a working card working for a preferred reinforcer. One table was always a binder center table. My binder center had all of my binder tasks stored in a shelf behind the table. While it was a lot of prep work up front, it also “ran itself.” I didn’t need to plan a lesson for each day. Every month I would rotate binder tasks out to keep things fresh and exciting for students.

I had an aide at that center while students worked on binders to keep confusion and mixing up pieces to a minimum! Nobody wants to find little velcro pieces floating around the classroom at the end of the day! Organization is key!

Set Expectations During Binder Time

Which ever way you decide to implement binder tasks into your classroom, there are a few things to keep in mind. Set clear expectations for procedures for students.

  • Will they be able to pick which binder they work from or will subject binders be assigned to them?
  • Is it easier for you to set up student binders that are set up each week?
  • Where will they put their binders when done?
  • Will they work for a set amount of time or complete a certain amount of pages?
  • Where will they work? From their seat or a table?
  • Will they “re-set” their own pages?
  • How do they ask for help?

There are no wrong answers to these questions. It is just important to have these answers for yourself and to share expectations with students and staff. When I rotated through to new binder tasks for each month, my staff assisted in helping me do so during a Fun Friday afternoon activity when I was able to work with one less staff.

How Much Work Should Students Complete?

As always, I would individualize expectations for all students. I always had an assistant at the center while kids worked from binders. Some students completed one page while others could finish the whole binder without a break. It really depends on the ability of your students and the task/skill they are working on!

Ways To Spice Things Up!

As always, I like to spice things up a bit for kiddos. On some Fridays, not all, I liked to change things up at the binder center. Here are some examples of ways to differentiate the binder tasks:

  • Sensory Bins
  • Sand/Rice Writing
  • Letter Stamps
  • Keyboard skills

What Binder Tasks I Used:

When I was in the classroom, I loved implementing binder tasks. Something about binder tasks are just reinforcing to direct instruction. Over the years I have created several different binder tasks in my TpT store to share with you. I get a lot of questions clarifying between the tasks, so let me do so here:

BINDER BASICS: These binders are sold by subject, and come with a LOT of practice for each subject. There is also a bundle too if you want all of the subjects. These subject binders have a LOT pages for each subject. Each subject has over 55 pages of activities. These binder tasks can also be set up as file folder activities if you prefer to implement file folders instead of binder tasks. There are 11 subjects you can purchase together or individually including: matching , sorting , colors , shapes , patterns , sizes , puzzles , numbers , letters , counting to 10 and counting to 20 .

SEASONAL BINDER TASKS: These binders are sold by monthly theme. Each monthly theme has 11 binder tasks that include the following subjects: matching, sorting, colors, shapes, patterns, sizes, puzzles, numbers, letters, counting to 10 and counting to 20. Create your own using a table in Word or PowerPoint! I would think it would be super easy and FREE! :)

I am a fist year adaptive teacher and all is going well on my end, however my one on one is having issues with her student. He is nonverbal and she has never worked with a student like this. He is the most critical case we have ever seen and she needs all the insight she can get. She is loosing steam, we use an ABA system, and his parents are not involved at all, he is such a bright little man, in Kindergarten, and I know he understands us, it is all just about if he is willing to work and what will work for him, even we have little to no guidance from our county. I have met the AU specialist once, and have not seen her again. We need a major intervention and a major change in order for this child and the rest of the children to be successful, not to mention special seating, and equipment has mysteriously disappeared and now that we are using flex seating Gen Ed Classrooms, all of a sudden a lot of that seating is appearing in the Gen Ed classrooms. HELP!
