Most of us have some experience planning an event, be it at home, work or in our community. For this article, let’s focus on large events.

A conference is a common type of large event, so for our event management purposes, let’s talk about a TEDx conference that we were involved in to illustrate how to plan an event. This example is a good scenario to explain the structure and challenges of planning a big event, along with the benefits of planning an event with project management software .

Let’s break down the other components of setting up an event. They’re summarized below:

  • Event timeline: First, establish a timeline for your event. This timeline should include pre-event planning, event execution and post-event activities.
  • Budget: Estimate your event costs and create a budget. Your available budget will influence many event management decisions such as your venue, the marketing and advertising methods, etc.
  • Venue: The event has to take place somewhere, and that involves logistics management , food and beverages as well as the décor.
  • Marketing: Once you’ve selected a venue, you need to start drawing people to it through a marketing program that can include a website, social campaign, email and print work.
  • Advertising: Hand in glove with marketing is advertising. That can include radio, TV, newspaper and magazine advertisements.
  • Volunteers: A big event needs a big crew of people to get it off the ground and run smoothly. That means volunteers, which means writing contracts, defining their roles, setting up meetings and determining schedules.
  • Speakers: You must have a keynote speaker or a group of speakers to attract an audience. This involves contracts, curators to select the talent, a program, bios and rehearsals.
  • Sponsors: All of this costs money, and a big event’s budget is supplied by its sponsors. This again involves contracts, marketing and logistics.
  • Production: The production involves creating contracts as you work on creating an audio-visual recording of the proceedings, as well as a sound and video broadcast during the event.
  • Stage: The event takes place at a specific venue and on that venue is a stage on which the event proper will be presented. That usually incorporates a projector, screen, microphones, internet connection, batteries, cables and more.
  • Attendees: Don’t forget about the people attending the event! You’ll need communications to inform them of event information, payment processes to collect fees, emails to stay in touch, directions, badges and access points.

As you might expect, there are many different roles that work together to bring an event to life. It’s easy to get confused. Are you an event manager or an event planner? Is there any difference between the two? Let’s take a look at some of the more common event-planning roles and define them.

Event Manager

The event manager is often mistaken for the event planner, but they are two distinct roles. Most simply, the event manager is responsible for event management activities, which involve coordinating and implementing the event. They take care of setting up the event, including its design, and make sure the vision of the event planner is realized.

Event Planner

An event planner organizes, coordinates and executes the event. They’re in charge of coming up with the idea, overseeing the setup and breakdown of the event. They’ll select the venue, create the budget and ensure everything is taken care of. What sets them apart is they design the strategy for the event to the smallest detail.

Event Producer

The event producer fleshes out the strategic plan of the event planner. They are the one who takes the idea and turns it into a living event. They will take charge of the technical aspects of the event, such as audio/visual, stage design, etc. They work with the event planner to schedule the event , but the event producer uses their skills and expertise in producing events to deliver the event that’ll impress both attendees and the client.

Unfortunately, there are always going to be variables out of your control that’ll affect the event planning process, such as the weather, delivery delays, technical difficulties and other potential mix-ups. As stated earlier, you can’t change the date of your event, so you’ll want to be as prepared as possible for any risks or issues that may pop up on the day of your event.

Do a Post-Event Review

A post-event review or a post-mortem as they’re often called, is very valuable. By looking back at the past event and seeing what worked and what didn’t work, you can better plan your next event. There are always lessons to be learned and applying them to the next project will avoid previous mistakes and increase your chances of a better outcome.

  • What are the goals this event is expected to achieve?
  • What are the revenue objectives?
  • What is your target audience?
  • How many people will attend?
  • Is there a cost associated with ticketing and what is it?

  • Create an event schedule.

  • Figure out what the costs will be
  • If you held similar events, use and adjust an old budget for a baseline

I was wandering about town by myself when on a recent trip to visit relatives in Florence, and I happened upon a tea room. Feeling adventurous, I moseyed on in and had a delightful time enjoying a pot of Earl Grey and a small charcuterie board, and a pot of green tea with rose and an apricot scone. Everything was wonderfully curated, decorated, and made with intention. The tea and the food were lovely, and the ladies operating the tea room were lovely and just the right amount of attentive. 10/10 do recommend!

Pleasant atmosphere for tea but lunch was disappointing. With two combo option without bread, it was more a starter salad with very little of anything other than lettuce served on a salad plate with a small scoop of chicken salad. Not a good value for the price of $10 per person. I'm sorry but others may be interested.

Review from Google Business Page from Tracy Bodine I can't begin to describe how perfectly our two blended events went yesterday. I own two venues in town and I can admit that we have very particular standards for gatherings. I see the behind the scenes on a daily basis. Gaye and her team went above and beyond and the attention to detail was out of this world. I hosted a Mother's Day Brunch but also incorporated a party for the children. Under the tent was the kids area and the girls had a fairy theme and the boys had a pirate theme. Everything was so well planned from the activities to the snacks and had two people designated for the crafts and entertaining them which is a task in its self. The fairy dressed up was icing on the cake as she sang songs. For the Mothers the vintage hats were so fun to pick out and the food was outstanding. Our first course was a delicious salad followed by cucumber sandwiches, Reuben roll ups and pimento cheese sandwiches.For desert we had banana bread, warm scones with heart shaped butter and their signature white moose served in little tea cups. The presentation from fruit in the water cups to the tiny jam dishes for the scones was a show stopper. The work that goes into these events takes a lot of time and effort and they nailed it. Every single person in our group was so complimentary and we are already planning the next one.

Fighting is ongoing in Kharkiv, Ukraine's governor for the region has said - as Russia claims it has taken control of multiple villages in its surprise offensive. Lord Cameron has warned it is an "extremely dangerous" moment in the war.

Russia's Mash Telegram news channel has reported at least seven people have died following the partial collapse of an apartment building in the Russian city of Belgorod.

The revised number is up from Russian media's earlier reports, which said three people had died.

Mash reported at least another 15 people had been injured.

The governor of the region Vyacheslav Gladkov has blamed the incident on "massive shelling by the armed forces of Ukraine".

The claims have not been independently verified and there has been no comment from Ukrainian officials.

A witness at the scene told Reuters news agency there were many ambulances and fire engines at the site.

"A whole section of a 10-storey building collapsed," the witness told Reuters on condition of anonymity. 

"I see several victims. Firefighters are sorting through the rubble."

Our defence editor  Deborah Haynes  says there are real fears the key city of Kharkiv could come under threat of a Russian takeover.

As it stands, fighting is ongoing near the northeastern border of the Kharkiv region.

The Russian defence ministry has already claimed its troops have taken five border villages and Ukrainian officials have said they are trying to claim more ground.

Ukraine officials and military analysts have been adamant Russia would struggle to seize Kharkiv - Ukraine's second largest city - having already failed to do so earlier in the war.

But Haynes says Russia's "ferocious assault" that started on Friday will stretch Ukraine's "already outgunned and undermanned" forces.

"There are real fears that if Ukraine is not able to repel this offensive... Russia could once again threaten this key city of Kharkiv," she says.

The Russian military unleashed a ferocious barrage of artillery and airstrikes in the early hours of Friday morning as ground troops attempted the most significant incursion into northeastern Ukraine - territory that shares a long border with Russia - in two years.

Fierce fighting raged into the weekend in different locations along a 45-mile strip of the frontier in the Kharkiv region.

Moscow claimed to have seized five villages, while Volodymyr Zelenskyy, the Ukrainian president, said battles were taking place around seven villages.

In a sign of the seriousness of the challenge, Ukraine is deploying reserve forces to help repel the Russian assault and a senior commander has been appointed to lead the effort.

The timing of the attack could not be worse for Kyiv - which presumably is why Russia decided to act.

More news from the Russian city of Belgorod now, where state-run media says the partial collapse of an apartment building has led to at least three deaths.

Footage from the scene posted by governor of the region Vyacheslav Gladkov on Telegram showed the building with a gaping hole in its centre.

In his post, Mr Gladkov claimed the collapse was due to "massive shelling by the armed forces of Ukraine".

He didn't comment on casualties, but initial Russian reports said at least three people had been killed and that 20 people might be in the rubble of the apartment block.

The reports have not been independently verified and there has been no comment from Ukrainian officials.

They come after Mr Gladkov's earlier claims one woman was killed and 29 other people wounded by continuous attacks by Ukraine over the weekend.

These claims have also not been verified.

We've been reporting on Vovchansk, where more than a third of the town's civilians have been evacuated due to devastating Russian attacks.

The Sky News team on the ground there have been sending us images and footage from the Ukrainian town bordering Russia.

They say it's essentially being "flattened".

Lord Cameron has spoken to Trevor Phillips this morning on Sky News.

Asked about Russia's surprise offensive in Kharkiv, the UK's foreign secretary says this is an "extremely dangerous" moment.

"This only underlines that this is an unjustified, illegal invasion by Putin into an independent, sovereign country," he says.

"And he's now, as it were, invaded it again from the north of Kharkiv. We must do everything we can to help the Ukrainians.

"That's why it's so essential we've given our £3bn a year package, and we've said that that's going to go on year after year. We're encouraging others to do the same. 

"And, crucially, the work we've done to encourage the Americans to come forward with their package. I mean, it's sad that it's taken long to come, but it will make a difference."

So has the American input - a $61bn package - come too late?

"It would have been better if it came earlier, because there's no doubt that Ukraine was suffering in the land war, as it were," he says.

"We all need to do more, that is what the UK is doing, we're leading once again. First to do tanks, first to do anti-tank weapons, first to do long-range artillery.

"Now the first to say here is a package that isn't just this year, it's next year and the year after. But the American money will make a difference - so we've got to get in there, give the Ukrainians the support they need.

"They have no problems - I was there the other day - their morale is still strong, they are still inflicting appalling casualty rates on the Russians.

"If only the Russians could see how many people they are losing.

"If other countries did all the things the UK is doing in terms of long-range weapons, in terms of the training and support. We've just basically got to make our strength count."

Flames and black smoke chugged from the windows of a two-storey apartment block in a frontline Ukrainian town.

Residents said a Russian missile or bomb had punched a large crater into the soil in front of the building, devastating their homes.

The attack had only happened a short while ago and the scene on Saturday morning was still chaotic, with people worried the fire would spread to a row of apartments next door.

"There are pensioners inside," said one man. "If the fire gets in, they will be burnt."

Firefighters had yet to arrive, but the town of Vovchansk, barely three miles from the Russian border, has become a warzone since Russia launched a surprise new offensive in the northeast of Ukraine in the early hours of Friday morning.

Shocked and crying, a lady, who gave her name as Valentyna, swept up broken glass on the ground.

"Everyone is suffering," the 59-year-old said.

More than 4,000 residents have been evacuated from parts of the Kharkiv region where fighting is taking place.

That number's been provided by the region's governor,  Oleh Syniehubovan, who gave an update on Telegram this morning.

It's up from 2,500 yesterday afternoon. 

Mr Syniehubovan said emergency services had helped the residents leave and was providing accommodation to anyone who didn't have family or friends to stay with outside of the region.

Although Mr Syniehubovan hasn't specified where all 4,000 evacuations took place within Kharkiv, we know that at least 1,000 of them were from the town of Vovchansk, barely three miles from the Russian border.

The town with a population of just 3,000, located just three miles from Ukraine's border with Russia, has become a warzone since Russia launched its surprise attack on Friday morning.

We'll have more for you on the situation in Vovchansk shortly.

The governor of Russia's Belgorod region bordering Ukraine said one woman has been killed and 29 wounded by continuous attacks by Ukraine over the weekend.

"The city of Belgorod and Belgorod region were subjected to massive shelling by Ukrainian armed forces," governor Vyacheslav Gladkov said on the Telegram late on Saturday.

He did not specify when the shelling took place, but claimed about 300 flats in 85 apartment buildings and four commercial properties were damaged, and that four roofs of apartment buildings had received direct hits.

A city hospital, a children's regional hospital, a school and two sports facilities were also damaged, he said.

The image below was supplied to Reuters via the Belgorod governor, who claims the damaged vehicles are at the site of a recent military strike in the region.

The reports have not been independently confirmed and there has been no comment from Ukrainian officials.

Kyiv officials say its attacks do not target civilians but are launched at Russia's military, energy and transport infrastructure to undermine Moscow's war effort and respond to Russian strikes on Ukrainian energy infrastructure.

Yesterday fierce fighting in Kharkiv continued after Russia launched its surprise offensive in northeastern Ukraine on Friday.

Russia's defence ministry claimed its troops had taken five border villages in the region, though Ukrainian officials insisted fighting was ongoing in those villages and Russia's forces were being "contained" there.

Ukrainian officials continued helping thousands of civilians evacuate due to the heavy shelling.

The governor of Russia's Belgorod region said one man was killed and another injured after one Ukrainian drone hit a parked truck on the border village of Novostroyevka-Pervaya.
