Frequently Asked Questions (FAQs)

application letter for change of address

Q: How Do I Write a Change of Address Letter for a Business?

Answer: When I wrote a change of address letter for my business, I started with the company letterhead for a professional touch.

I addressed it to our clients, suppliers, and partners, mentioning the new address, effective date, and thanking them for their continued support.

I also included any changes in phone numbers or other contact information. It’s important to keep it concise and clear.

Q: What Should I Include in a Personal Change of Address Letter?

Answer: For my personal change of address letter, I included my new address, the effective date of the move, and my new phone number.

I sent this to friends, family, and any service providers. It’s a good idea to add a personal note about the move, maybe even a little story about the new place, to make it feel more personal.

Q: Is It Necessary to Send a Formal Letter for Address Change to Banks?

Answer: Absolutely, it’s crucial. When I changed my address, I sent formal letters to my bank and other financial institutions.

I included my old and new addresses, my account number, and a request to update their records.

This ensures all sensitive documents and communications reach the right place. It’s also a step in protecting against identity theft.

Q: How Can I Inform Government Agencies About My Address Change?

Answer: When I had to inform government agencies about my address change, I found that most have online forms or specific procedures to follow.

For example, with the postal service, I filled out an online change of address form. For the DMV and IRS,

I followed their specific guidelines, which involved filling out specific forms and, in some cases, providing proof of the new address. It’s best to check their official websites for the most accurate and updated procedures.

Stop or Forward Mail for the Deceased

To submit a change of address request for someone who is deceased, you must go in-person to a Post Office location with documents showing you're the executor or administrator authorized to manage their mail. (Having their death certificate is not enough.)

Managing Mail for the Deceased

International Moves: If you're going to move outside the United States, before you leave the U.S. , you must go to a Post Office location to verify your identity and submit your change of address request in person.

Businesses: If you are submitting a business change of address request in-person at a Post Office location, you must have documentation, like a notarized letter, power of attorney, or letter on company letterhead (signed by someone in a leadership role) that shows you’re an "Authorized Agent" who can submit a change of address request for the business.

U.S. Military Moves: For U.S. military moves, first work with your command ; your AMPS relocation info will automatically be shared with USPS. If you still need to submit a change of request with USPS, you can do so either in person or online. For online requests, if you are moving from a military address, your email address must end in .gov, .mil, or .edu. Important note: If you need to verify your identity in person, you can only do so at Post Office locations in the 50 states and Puerto Rico. Whether you're moving yourself and your family or relocating your business, you may want to write a formal letter for change of address so all of your contacts have your new address. Particularly if you're relocating your business or writing to business contacts, you want to maintain a particular format. For friends and family members, you may want to send a handwritten postcard rather than using a formal letter. [1] X Research source

application letter for change of address

Formatting Your Letter

Step 1 Look for a business letter template.

  • Use a basic business letter template that has blocks for the date, your address, and the address of the recipient.
  • If you have business or personal letterhead that you plan to use to print your letter, make sure the template you use has room to accommodate that.

Step 2 Create a mailing list.

Mailing List Checklist First and last name of the recipient Complete mailing address Any other contact information i.e. phone number, email address, fax Proofread your mailing list carefully to make sure you haven't made any typos in entering anyone's name or address.

Step 3 Set up address blocks.

  • If you're using mail merge, follow the formatting guidelines set forth in your word processing app. Typically this means enclosing in brackets the name of the column from which you want the app to pull data from your spreadsheet, such as "firstname lastname."

Step 4 Provide a greeting.

  • Avoid using the "Dear" greeting if some of your recipients are organizations, other businesses, or government agencies. Typically this greeting is only used for individuals.

Step 5 Complete your closing.

  • If you're writing a letter for change of address of your business, you'll want a more formal closing, such as "sincerely." However, if you have a mix of personal and business contacts, you may want to go with something less formal, such as "thanks."

Drafting Your Letter

Step 1 Write a brief introduction.

  • Don't get too wordy with your introduction. You want to keep the letter under a page, so it should be brief and to the point.

Step 2 Provide a date when the change will take place.

  • Make sure you're giving your recipients enough time to receive the letter, update their records, and get any letters out to the proper address.

Step 3 List your new address.

Considerations Confusion with old address: You can include your old address as well, for example by saying your address has changed from the old address to the new address. However, keep in mind that this might be confusing. Particularly if you have a lot of business or government contacts to whom you're sending the letter, the wrong information could be copied inadvertently by a clerk. Inform of any other changes: It's also a good idea to let your recipients know what, if any, other contact information will be changing and what will stay the same. This is especially important if they need to get in touch with you during the transition.

Step 4 Include any other relevant information.

Examples of Relevant Information Business closure: If your business will be closing for a brief period to relocate, you need to inform your recipients of this so they can plan in advance, whether they are customers, suppliers, or other clients. Moving sale: If you're having a moving sale, this might be a good place to let your recipients know about that as well.

Step 5 Thank the recipient.

  • For example, if your business is relocating, you might write "Thank you for your attention to this matter. I greatly appreciate the value you add to this company and look forward to continued work with you."

Step 6 Provide a means of contact.

  • This is especially important if your business is relocating. You may want to route all questions or concerns about the relocation to a particular phone number or extension, or to a particular email address.

Step 7 Craft several letters.

  • Consider several letters if you have any relevant information you want to include that only applies to one audience. This way no one is getting any information other than what they need.

Sending Your Letter

Step 1 Proofread your letter carefully.

  • Check the address in particular and make sure it's correct. You don't want to send your recipients a change of address letter that points them to the wrong address.

Step 2 Make sure the recipients' information is correct.

  • Check all the fields and make sure they all match and belong to the same recipient. For example, you want to make sure that the name and address of the recipient in the address box matches the name in the greeting.

Step 3 Print and sign your letters.

  • If you have international contacts, you probably want to provide two or three months' advance notice to allow for the time it takes to send mail internationally.

About This Article

Jennifer Mueller, JD

If you want to write a letter to alert your contacts that your address is changing, open it with a brief paragraph that tells the recipient why they’re getting the letter. Try writing “This letter is to advise you that my address will be changing soon.” Your letter should be under a page, so avoid being wordy. After your introduction, let the reader know exactly when your address will change and list the new address in the same format it should be used on an envelope. Next, include any extra information they should know. For example, if your business is staying open during the move, let your customers or suppliers know so they can plan in advance. Finally, close the letter by thanking the reader and giving them a phone number or email address where they can contact you. For more tips, like how to format your letter, read on! ALERT:  USCIS is sending messages to certain customers asking them to resubmit their address change using our new Enterprise Change of Address self-service tool. Email messages will come from [email protected] , and text messages will come from 468311.

We strongly encourage you to submit your change of address to USCIS through a USCIS online account . Updating your address using an online account helps to ensure you receive all correspondence and benefits from us in a timely manner and avoid possible delays related to your case. If you do not have a USCIS online account, you may create one by following the instructions on our How to Create a USCIS Online Account page.

Changing your address with the U.S. Postal Service (USPS) will not change your address with USCIS and USPS will not forward your mail from USCIS . Please update your information with both USCIS and USPS.

If you fall into any of the categories below, please read the information in the corresponding section. However, most individuals can change their address in two ways:

  • Through a USCIS online account , regardless of whether you filed your form online or by paper. This is the best method for near real-time processing of your change of address request; or
  • Filing Form AR-11, Alien’s Change of Address Card , by paper (if you do not fall under one of the categories below).

To comply with statutory protections, USCIS has special procedures in place if you previously filed or have a pending or approved VAWA self-petition, Form I-751 Abuse Waiver, petition for U nonimmigrant status, application for T nonimmigrant status, or Form I-765V for employment authorization for certain abused nonimmigrant spouses. Please visit the Change of Address Procedures for VAWA/T/U Cases and Form I-751 Abuse Waivers page for information on how to change your address.

If you are a U.S. citizen or national, we strongly encourage you to update your address if you have a pending case. Follow the guidance at the top of this page.

If you are a U.S. citizen or national and have submitted an affidavit of support for another person, you must submit Form I-865, Sponsor’s Notice of Change of Address , within 30 days of your move.

If you are a civil surgeon and need to update your address, please use the email address you received on your approval notification. For more information, see our USCIS Civil Surgeon page.

If you are an attorney of record/registered representative, do not complete Form AR-11. Instead, go to our Filing Your Form G-28 page for information on updating your address.

Informed Delivery® - Change of Address

Change Informed Delivery to a New Address

If I move and change my address, what do I need to do to continue to receive notifications?

After you submit an Official Change of Address (online at moversguide.usps.com , in-person at a Post Office™, or through your mail carrier), you will receive an email and a physical letter with a 9-digit alpha-numeric code requesting confirmation of your change of address. If USPS determines that there is a usps.com ® account that corresponds to the information in the change of address submission, access to Informed Delivery® will be temporarily suspended. If your new address is within a participating ZIP Code™ location and the feature is available at your new address, you will be able to resume notification emails once you confirm your change of address by following the instructions in your Change of Address validation letter. Receiving Notifications for Old Address

Why am I receiving mail images, and package notifications, for my former address?

It is likely that your usps.com ® profile is not updated with your current address. The best way to prevent this issue is to submit an Official Change of Address online at moversguide.usps.com , in person at a Post Office™, or through your carrier. This will allow you to easily transfer your Informed Delivery® account to your new address if the United States Postal Service® can match your Change of Address and online usps.com account details.

If you have already moved and did not submit an Official Change of Address, please update your address in your  usps.com profile. Once you update your address, the Informed Delivery notifications from your old address will be discontinued.

Informed Delivery Access Suspended

Why is my access to Informed Delivery® suspended?

When the Postal Service detects that a permanent Official Change of Address has a corresponding usps.com account, access to your Informed Delivery account will be temporarily suspended. Access is suspended to prevent unauthorized access to your mail or package information until your permanent change of address is confirmed. You will be able to easily resume access at the address where you currently reside by following instructions in the change of address confirmation letter(s).

Change of Address Validation Codes

How do I confirm my Official Change of Address if my access to Informed Delivery® has been suspended?

When the Postal Service® detects that an Official Change of Address submission has a corresponding usps.com  account, access to Informed Delivery for the online account will be temporarily suspended until the change of address is confirmed. Two confirmation letters containing unique validation codes will be mailed to each address listed on your official change of address submission (these are referred to as your "old address" and "new address" on your Official Change of Address form).

  • If you already moved to your “new address,” visit reg.usps.com/restoreaccess to enter the validation code listed on the physical letter that was mailed to your new address. This will automatically restore your access to Informed Delivery at your new home, if the feature is available at your new address. Only enter the validation code pertaining to the address where you reside, which is where you receive Informed Delivery notifications. If you received a letter at your “old address,” and you are not the addressee, you may discard the letter for the address and no action is required.
  • If you did not move and need to restore your Informed Delivery access at your “old address”, visit reg.usps.com/restoreaccess to enter the validation code listed on the letter that was mailed to you at your current address.
  • If you recently submitted an Official Change of Address and have completed your move, but still have access to Informed Delivery, you must edit the profile on your usps.com account to match your current address. Your access to Informed Delivery will be discontinued at your old address and you will be able to complete identity verification at your new address to restore your access.

Why do letters need to be mailed to my old and new addresses? Can the Change of Address validation codes be emailed to me?

No. Since the Official Change of Address process is associated with a physical move of an individual or family, the Postal Service® needs to ensure that you are able to receive mail at the address where you intend to use Informed Delivery®. Email cannot be used to verify your physical residence.

Where can I find my Change of Address validation code?

When the Postal Service® detects that an Official Change of Address has a corresponding usps.com® account, two confirmation letters containing unique validation codes will be mailed to each address listed on your Official Change of Address submission. These are referred to as your "old address" and "new address" on your Official Change of Address form. Each letter displays an alphanumeric (letters and numbers) code in the middle of the letter. Be sure to use the validation code from the letter received at the address where you will be residing to restore your Informed Delivery® access, if the feature is available at that address.

How long does it take to receive a letter containing my Change of Address validation code?

When the Postal Service® detects that an Official Change of Address has a matching online usps.com® account with access to Informed Delivery®, two physical letters are generated. Each letter contains a validation code that will restore your Informed Delivery when successfully used, if the feature is available at that address. These letters are then mailed to the old address and new address from the Official Change of Address form and should be received within 3-5 business days of when the services were suspended.

How do I get a new Change of Address validation code?

If you misplaced your validation code or never received it, a second set of validation codes are automatically sent 30 days after the original Change of Address was submitted. A reminder email is sent after 15 days. If you do not receive the second set, you may submit a new Change of Address either online at moversguide.usps.com or in person at a local post office, which will generate a new set of confirmation codes to be mailed to you.

How long do I have to confirm my new address with the Change of Address validation code I received in the mail?

These validation codes are active for a period of 60 days from the move date provided in your Official Change of Address submission (when your access was suspended). Informed Delivery® will remain suspended until one of the validation codes received at the old or new address is entered online. If your validation code expires, you have to go through the identity verification process for your current address on reg.usps.com/preferences to restore your access to Informed Delivery, if available at your address.

I received two Change of Address validation codes. Which one do I use?

Only enter the validation code pertaining to the address where you reside, which is where you will receive Informed Delivery® notifications moving forward. In most cases, this is the new address, or the address to which you are moving. Only use the validation code associated with the old address if you do not actually move or if you did not request an Official Change of Address.

I received a Change of Address validation code in a letter, but the letter is not addressed to me or anyone in my household.

If you are the current resident of this address, but you are not the addressee of the letter you received in the mail, no action is required from you. Your mail information and any online accounts you have with the Postal Service® are safe and have not been affected.

Decided Not to Move

What happens if I don't move?

If you submit an Official Change of Address with the intent to move to a new address but do not actually move, enter the validation code in the letter you received at your current address (“old address” from your change of address submission) to restore your access to Informed Delivery®. You can always submit a new Change of Address if you plan to move again in the future.

How To Notify USCIS (or the NVC) About a Change of Address

According to U.S. immigration law, most non-citizens living in the United States must inform U.S. Citizenship and Immigration Services (USCIS) when they change addresses. This does not mean that you must ask the U.S. government for permission to move houses. You just have to make sure you inform them after you move. Beyond complying with the law, this is important because USCIS will have updated address information for you when they have to mail you an important notice. This article explains how to go about notifying USCIS about a change of address and which foreigners have to do this under the law.

Jonathan Petts

Written by Jonathan Petts .  Written May 25, 2022

Do I Need To Update My Address With USCIS?

If you are not a U.S. citizen, you will likely need to notify U.S. Citizenship and Immigration Services (USCIS) about your change of address. Some U.S. citizens may also need to update their address with USCIS if they are involved in a pending immigration case.

With a  green card  or another approved immigration status, you do not need USCIS’s approval to move to a different residence in the United States. But, you will need to let USCIS know that you have moved to a different location so that they may reach you in the future.

The following groups are not required to submit a USCIS change of address notification:

A visa holders (foreign diplomats)

G visa holders (government representatives of international organizations)

Visa waiver program members (non-immigrants who will be in the United States for less than 30 days)

All other immigration statuses require you to submit updated address information to USCIS. Most foreign nationals and U.S. citizens sponsoring an immigrant have to inform USCIS of any address changes. If you have a pending case, be sure to keep your current address updated with USCIS, as they send essential communications to you over mail.

Conditional and unconditional permanent residents must notify USCIS within 10 days of changing their residential address. Temporary visa holders, such as H-1B employment visa holders, must update their addresses with USCIS no more than 10 days after moving.  U.S. citizens  who are sponsoring immigration applications should report their address change within 30 days of moving.

How To Notify USCIS of a Change of Address

Non-U.S. citizens have two ways to submit a change of address to U.S. Citizenship and Immigration Services (USCIS). You only need to  complete one  of the following two options:

You can submit USCIS’s online Change of Address Form . The form typically takes about five minutes to complete. You may request immediate email confirmation when you fill out the form. You will also receive a mailed confirmation of the address change in the next 15 days. If you filed your original paperwork online, you can choose this option by logging into your USCIS online account .

Another way to register a change of address is to file the paper form Form AR-11 or the “Alien’s Change of Address Card” to USCIS by mail. You must complete the form in black ink and sign the form. The form contains instructions on where you should mail your paperwork.

If you have any non-citizen dependents or other relatives, you must file a  separate  change of address notification for each individual. If you have any pending or recently approved immigration applications or petitions, like  Form I-130  (“Petition for Alien Relative”) or  Form I-485  (“Application to Register Permanent Residence or Adjust Status”), you should also update the old address you listed on those forms. If you update your address online, the USCIS website will give you the option of simultaneously updating your addresses for these applications.

How To Notify the NVC of a Change of Address

Although the U.S. Citizenship and Immigration Services (USCIS) portal gives you the option to update your addresses for pending applications or petitions simultaneously, you will have to directly contact the National Visa Center (NVC) for cases that have already moved to the NVC. For example, if USCIS has approved your  Form I-130  or Form I-129F, Petition for  Alien Fiancé(e) , they have already transitioned your case to the NVC.

You must use the NVC’s  Public Inquiry Form  to inform them of your new address. You should also notify the NVC if your phone number or email address has recently changed.

What Is the Change of Address Process for Victims of Crime?

If U.S. Citizenship and Immigration Service (USCIS) approved your stay in the United States as a victim of domestic violence, human trafficking, or violent crime, you  won’t  file your address change online.

Instead of filing online, you should print out, complete, and use certified, registered, or return receipt mail to send your Form AR-11 to USCIS. You should send your form to the following address:

U.S Citizenship and Immigration Services

Attn: Humanitarian Division

Vermont Service Center

38 River Road

Essex Junction, VT 05479-0001

What Is the Change of Address Process for U.S. citizens?

U.S. citizens who are sponsoring pending applications have three ways to submit a change of address to U.S. Citizenship and Immigration Services (USCIS).  U.S. citizens  will only need to  complete one  of the following three options:

Submit USCIS’s online Change of Address Form . The form typically takes about five minutes to complete. U.S. citizens may request immediate email confirmation when they fill out the form. They will also receive a mailed confirmation of the address change in the next 15 days.

Call 1-800-375-5283 to inform USCIS about an address change.

Submit Form I-865 , the Sponsor’s Notice of Change of Address, to USCIS by mail. All sponsoring U.S. citizen family members must complete this form separately even if they all live at the same address.

In some cases, a sponsoring U.S. citizen spouse may have temporarily moved abroad. Sponsoring spouses must prove to the U.S. government that the United States is their official country of residence. Sponsoring spouses who move abroad temporarily should still provide a U.S. address for all communications from USCIS. They should not provide their temporary address for their stay abroad because USCIS will never send mail to a non-U.S. address.

If a sponsoring spouse cannot receive postal mail in the United States, they should provide USCIS with the address of a close relative or friend. Usually, USCIS only mails notices when they approve  Form I-130 , Petition for Alien Relative, and when they forward green card application materials to the National Visa Center (NVC).

Once the NVC receives a sponsoring spouse’s application materials, the sponsoring spouse must provide any updated addresses to the NVC and not USCIS. They may do so by completing the NVC’s  Public Inquiry Form .

Is a USPS Change of Address the Same as a USCIS Change of Address?

A U.S. Postal Service (USPS) change of address is not the same as a U.S. Citizenship and Immigration Services (USCIS) change of address. When you contact USPS to change your mailing address, USPS does not notify USCIS. A USPS change of address will have no impact on the contact information that USCIS has on file for you. Most USCIS mailings aren’t forwarded by USPS, so you risk missing out on essential communications by not directly submitting a change of address with USCIS.

What Is the Penalty for Not Notifying USCIS of a Change of Address?

If you are a non-citizen who falls under one of the immigration statuses that requires you to notify U.S. Citizenship and Immigration Services (USCIS) of your address change, you must comply. Failing to update your address is a misdemeanor punishable by a fine of up to $200 and up to 30 days in jail.

Green card holders who willfully fail to report a change of address may even face deportation by USCIS. If you are a permanent resident and you fail to provide USCIS with your updated address within 10 days of moving, you risk deportation unless you can prove that:

Your failure to update your address with USCIS was “reasonably excusable.”

Your failure to update your address with USCIS was not “willful.”

Currently, U.S. immigration officials rarely pursue deportation of those who fail to change their address in time, but this may change in the future. You should always be safe by reporting your change of address and not risking your status in the United States.

U.S. citizen sponsors who do not report their address change within 30 days will not face legal prosecution but may cause USCIS to delay processing the immigrant’s application.

Even if you must submit your address change late, you should do so. If you did not submit an address change in the past, you should do so now and each time you move in the future. It’s always better late than never.

On Sept. 28, USCIS launched a new Enterprise Change of Address (E-COA) self-service tool to allow customers to update their address with USCIS more easily. With E-COA, most individuals with a USCIS online account can update their mailing and physical address with USCIS for pending applications, petitions, or requests in a single place, eliminating the need to update the address in multiple places, fill out a paper AR-11, Alien’s Change of Address Card, call the Contact Center, or visit a USCIS Field or Asylum Office.

Change of Address

Have you moved? Help us ensure that you receive any notices or documents without delay. Most applicants with pending applications or petitions (except A and G visa holders and visa waiver visitors) should notify us as soon as possible, no more than 10 days after your move. In order to use this self-serve tool a valid email address is required. If you are entering the United States on an immigrant visa, we will mail your Green Card to the mailing address in the U.S. you provided at the time of your immigrant visa interview or when you were admitted entry into the United States. If you move after you arrive in the U.S., please update your address. The Form Number to select for an address change on a USCIS Immigrant Fee payment is “IVF” or “OS155A”. If you electronically filed your case and have a USCIS online account, you should update your address in your USCIS online account. If you previously submitted a paper case and the receipt number began with IOE, you can create an account at myaccount.uscis.gov , link your case with an Online Access Code, and update your address. Use this web form to request a new Online Access Code: my.uscis.gov/account/v1/needhelp . If you are in immigration proceedings, you must separately notify the Immigration Court of any address changes. Filing a change of address request with USCIS does not update your address with the Immigration Court. For detailed instructions on how to change your address, please visit www.uscis.gov/addresschange . This web page has specific directions for victims of crime, Form I-751 Abuse Waivers, U.S. citizens, civil surgeons, and legal representatives. Note: If you do not have a receipt number, you may respond NO in order to submit the AR-11 for an address change only. This action will not update the address online for a pending case.

There are several ways to tell us your address has changed:

If you filed a joint return and are still residing with the same spouse, both you and your spouse should provide your names, social security numbers, new address and signatures on the form or statement.

If you filed a joint return and you now have separate addresses, each of you should notify us of your new, separate addresses.

Authorized representatives filing a form or written statement to change an address for a taxpayer must attach a copy of their power of attorney or Form 2848, Power of Attorney and Declaration of Representative . Unauthorized third parties can't change a taxpayer's address.

Changes of address through the U.S. Postal Service (USPS) may update your address of record on file with us based on what they retain in their National Change of Address (NCOA) database. However, even when you notify the USPS, not all post offices forward government checks, so you should still notify us.

For changes of address relating to an employment tax return, we issue confirmation notices (Notices 148A and 148B ) for the change to both the new and former address.

It can generally take four to six weeks after receipt for a change of address request to fully process, however there may be delays .
