Today that letterhead is known in electronic correspondence as a header, and for an individual seeking a job it should include your name, occupation, address, phone number and email. 

The main purpose of a header is to let a prospective employer know how to contact you if they want to. But it has an important secondary purpose — to give your letter some visual flair. 

You DON’T want to write the body of your letter in purple text, but you CAN include a light splash of color somewhere in your header. You can be a bit creative here in your use of typography, layout and white space, and it should make your letter look better overall.

Including your complete home address at the beginning of your cover letter is unnecessary and can potentially raise data protection concerns. It is advisable to share your address only when you have reached the job offer stage. Additionally, the inclusion of an inside address is outdated and takes up valuable space in your cover letter, making it less effective.

Align document styles

Your resume and cover letter should be a matching set, designed to be paired, and that means you should use the same fonts, font sizes and formatting styles in both. 

The headers on both should be similar if not identical, making it obvious that they came from the same person at the same time. If you’re blowing the dust off a two-year-old resume and mailing it with a new cover letter that uses totally different fonts and styles, that’s not going to work well.

Cover letter greeting / salutation

“Dear Mr. [X],” “Dear Ms. [Y],” or “Dear Dr. [Z]” are all appropriate ways to write the greeting of your cover letter, also known as a salutation. In a proper business letter, the greeting is generally followed by a colon rather than a comma.

The era of email has relaxed these rules somewhat, so that nowadays “Greetings” or even “Hello” are sometimes substituted for “Dear.” But it’s a bit risky to mess with success, and you want to avoid being too informal in a letter asking for a job.

If you happen to know the person you’re writing to, it may be perfectly acceptable to address that individual by first name. But bear in mind that hiring decisions are often made by multiple people, so think about this entire group in writing your letter.

You should always try to address your cover letter to a named individual, even if no name is specified in the job listing that got your attention. 

People like to read their own names, and it shows both attention to detail and respect if you’ve gone to the trouble of finding out who makes the hiring decisions at the company where you want to work. 

A reasonable amount of research through Google, social media or the employer’s website should give you some information (if you’re an introverted person - sometimes even a call to the company itself). However, it’s vitally important to stay within the boundaries of propriety and common sense. You never know what company policies are regarding privacy.

If in doubt - use more generic but equally friendly phrases like “Dear <Company Name> Hiring Team” or  “Dear <Company Name> Team”.

Goal of the cover letter greeting: Set a professional, but friendly, tone by making a direct personal connection with the employer, using the recipient’s name if possible.

Cover letter introduction

Your first paragraph should start the engine of your letter with a “Vroom!” Using provocative, lively language, you want to identify the job you’re seeking and suggest why you would be a great candidate to fill it. 

Pay close attention to your tone of voice, which should be energetic and confident, but never arrogant or too familiar. Use bold and informative statements about yourself and the reason you’re applying for this job.

Goal of the cover letter introduction: Pique the interest of hiring managers with a confident, energetic preview of your qualifications that motivates further reading.

Cover letter body

The central two or three paragraphs of your cover letter must make the case as to why you are an excellent candidate to fill this job. 

The body of your letter should emphasize your work experience, education, special skills and any other qualifications worth mentioning.  

In discussing your past experience, try to be as specific as possible, using facts and figures where appropriate. Don’t just say where you worked and when, but describe your primary achievements on the job. 

Try to include at least one short little story about some challenge you faced in a past job, what action you took and how you achieved a satisfactory resolution.

Also, if you’ve done your homework on the employer you’re targeting, it can be really helpful to discuss specific challenges that you know this employer faces, and to suggest how your contributions could help address these issues.

Aim of the cover letter body: Highlight your most relevant achievements in relatable terms that translate to potential benefits for this employer.

Cover letter conclusion and call to action

Close on a positive, enthusiastic note that contains some kind of “call to action.” Declare that you would be delighted to come in for an interview, or perhaps even ask if you could call within the next couple of weeks to follow up. 

Plant the thought in your correspondent’s head that s/he should take some action as a result of your letter and not just lay it aside. Let that person know that you are not just randomly sending out resumes, but that you’re really interested in this job in particular and you’re confident you would be an excellent candidate.

Goal of the cover letter conclusion: End on a positive, self-assured note with a call to action that ideally results in an interview.

Cover letter sign-off

Finish with “Sincerely,” “All my best,” or a similar phrase, insert a space below that, and type your name. If you like, you can insert a digital signature here, though in electronic correspondence this is not considered necessary.

Don’t give up on new federal application, advocates for college aid urge

WASHINGTON — Though the new version of the form to apply for federal financial student aid has had its fair share of highly publicized hiccups, U.S. Under Secretary of Education James Kvaal says the department has made a lot of progress in the past couple of months.

The Free Application for Federal Student Aid — known as FAFSA — got a makeover after Congress passed the FAFSA Simplification Act in late 2020. But users faced glitches and technical errors during the Dec. 30 soft launch and past the Jan. 8 official debut for the 2024-25 form, which covers the upcoming school year.

Advocates voiced concerns over the form’s failure to adjust for inflation , its formula miscalculation and its tax data errors , prompting processing delays the department has worked to fix. The federal agency has also taken steps to address major issues that prevented parents without Social Security numbers from completing the form.

“We’re fixing things at a rapid pace, and we’ve been keeping the community updated. We have an issues guide on the website that lets people know the problems we’re aware of and what the potential solutions are. In almost every case now, there is a way for students to submit the form,” Kvaal told States Newsroom in an interview.

“It may be a customer service experience that is not what we originally designed, and so we’re gonna continue to try and make this process easier and faster for all students, including those whose parents may not have Social Security numbers, but it is possible now for everyone to submit a FAFSA,” Kvaal said.

He oversees higher education and financial aid, including the Office of Federal Student Aid, which is the largest student financial aid provider in the country.

More than 11 million FAFSA submissions

Kvaal said the department has already received more than 11 million FAFSA submissions for the 2024-25 school year.

Last week, the department said it has made “significant progress” in closing the gap in FAFSA submissions to an 8% decrease compared to this time last year, down from a nearly 40% decrease in March.

For both undergraduate and graduate students, the FAFSA form is a key indicator for financial aid eligibility, which comes in the form of grants, loans, work-study funds and scholarships.

The form is also not exclusive to first-year college students, and those already enrolled must renew their application each academic year.

“It’s still not perfect for all applicants”

Though the department has made progress to address major known issues, “the system, certainly six months after it opened, is still not a totally functioning system,” according to MorraLee Keller, senior director of strategic programming at the National College Attainment Network, a nonprofit membership and advocacy organization.

“Right now, the form is working for a lot of applicants, but it’s still not perfect for all applicants,” she added.

The organization monitors FAFSA completion for graduating high school seniors nationally and compares those figures to the previous school year. Keller said “one thing that we’re seeing is the class of ‘24, at this point in time, is almost 13 percentage points behind in the rate at which the seniors have filed a FAFSA” this past academic year.

“We are significantly behind in the number of FAFSAs, particularly for our graduating seniors, so that is ultimately probably going to have an impact in enrollment because completing a FAFSA is a pretty good indicator about whether you plan to enroll in college this fall,” Keller said.

Tennessee, Louisiana, Illinois, Washington, D.C., and Texas have the highest percentages of high school seniors completing the FAFSA form, according to NCAN’s tracker. Nevada, Florida, Arizona, Utah and Alaska have the lowest percentages.

Meanwhile, Kvaal said he thinks “it’s important to note that just about everybody can get their FAFSA through the process now.” He added that “there are some specific instructions that people in certain situations need to follow carefully” and encouraged applicants to pay careful attention to the instructions and help hints.

“The FAFSA is broadly available, and it’s not accurate to say that there are students who can’t get through them,” he said.

New strategy

In early May, the federal agency launched the FAFSA Student Support Strategy , which has now provided more than “$30 million in funding and counting and has reached more than 180 organizations across the country” in an attempt to get more students to complete the form, according to the department .

The department also recently announced that Jeremy Singer, current president of the College Board, would serve as the new FAFSA executive advisor.

In late May, U.S. Education Secretary Miguel Cardona said the department has taken steps aimed at “modernizing” the Office of Federal Student Aid, including the department’s search for a new chief operating officer, per a news release . That person would replace Richard Cordray , who, in the midst of backlash and criticism toward the department over the botched rollout, said in April he would depart.

Part of the department’s efforts, according to Cardona, also include conducting a “full-scale review” of the Office of Federal Student Aid’s “current and historical organization, management, staffing, workflow structures, business processes, and operations” and hiring an independent consulting firm.

The department is also reviewing “contracts and acquisition procedures” in an effort to hold vendors accountable, Cardona said.

If I haven’t filled out the 2024-25 FAFSA form, what should I do?

Though students have until June 30, 2025, to complete the 2024-25 FAFSA form, deadlines vary based on individual colleges and states.

Kvaal encouraged anyone considering college this fall to visit Studentaid.gov and fill out the FAFSA as soon as possible.

“If you had been hearing that there were challenges with the form or people were encountering obstacles, we’ve made a lot of progress in making the form work in recent weeks, and most people, their form is getting through in one to three days, and we’re sending information to colleges that they need to make financial aid offers,” he said.

Keller also encouraged families to not give up on completing the form.

“The time is not gone — get your FAFSA filed this summer if you want to go to school this fall,” she said.

Welfare offices and other agencies in 49 US states are providing voter registration forms to migrants without requiring proof of citizenship , leading Republicans and conservatives to call for swift federal action to stop the handouts.

Every state but Arizona — which recently passed a law barring the practice on state but not federal forms — gives applicants for either welfare benefits, driver’s licenses, or in some cases, mail-in ballots voter registration forms without demanding proof of citizenship.

There is currently no requirement on federal voting forms to provide proof of US citizenship , though it is illegal to falsely claim one is a citizen or for a non-citizen to cast a ballot in a federal election.

But millions of migrants with humanitarian parole, refugee or asylum status are eligible for benefits that would bring them to the offices where voter registration takes place.

The National Voter Registration Act (NVRA) of 1993 ordered states to register voters at the Department of Motor Vehicles (DMV) and agencies where Americans apply for public benefits — and those offices are required by federal law to hand over the registration forms along with the application papers.

If an applicant attests that they are a US citizen, that is considered valid on its face and the person is registered to vote.

The House Administration Committee last month approved the Safeguard American Voter Eligibility (SAVE) Act to require states to receive proof of citizenship when anyone registers to vote by mail, at a DMV or a welfare agency office.

“While Biden and radical progressive Democrats give ISIS and criminals an app to literally schedule their illegal entry, Republicans must fight any chance of illegal voter registration until we can mass deport,” Rep. Chip Roy (R-Texas), who introduced the measure, told The Post.

“As President Biden has welcomed millions of illegal aliens through our borders, including sophisticated criminal syndicates and foreign adversaries, it is incumbent upon Congress to implement greater enforcement measures that secure the voter registration process and ensure only American citizens decide the outcome of American elections,” House Speaker Mike Johnson (R-La.) said in a statement following its approval.

“It is undeniable that the current structure makes it possible for illegal immigrants and non-citizens to vote — and the American people have no way of knowing how widespread the problem may be,” Ryan Walker, executive vice president at the conservative Heritage Foundation’s sister group, Heritage Action, told The Post.

“The SAVE Act puts all of these issues to rest and gives Americans confidence that our elections are decided on a more even playing field,” Walker said.

House Republican leaders have yet to schedule a floor vote for the measure, though one Hill source suggested to The Post it could come up before the August recess.

The left-leaning Campaign Legal Center has opposed the SAVE Act as a “shameful” measure that will “undermine trust in the electoral process,” dismissing concerns over non-citizen voting and declaring it has not taken place “at any meaningful level.”

“It’s a fabrication being peddled, for personal and political gain, by leaders who should know better,” said Campaign Legal Center executive director Adav Noti in a statement as the House Administration Committee prepared to consider the SAVE Act.

“Shameful bills like the Safeguard American Voter Eligibility (SAVE) Act often result in eligible US citizens being incorrectly prevented from voting or being forced to jump through additional hoops to exercise their freedom to vote. Campaign Legal Center opposes this bill,” Noti added.

But federal prosecutions , state investigations and audits have shown in recent years that thousands of non-citizens are being registered.

In Georgia, one of several battleground states that delivered Biden his victory in the 2020 election, left-wing voter groups sued Secretary of State Brad Raffensperger earlier this year for trying to implement citizenship verification methods.

Hundreds of non-Americans have since been caught after casting ballots in races ranging from the local to the presidential, and subsequently purged from voter rolls.

Hans von Spakovsky, a former member of the Federal Election Commission (FEC) and manager of the Election Law Reform Initiative at the Heritage Foundation, presented many such examples in testimony to the House committee ahead of the panel’s May 23 approval of the SAVE Act.

“It’s a real problem, not an imaginary problem,” von Spakovsky told The Post.

The numbers are not enough to change election results — even in critical swing states like Pennsylvania — but they are enough to cause consternation as a record-breaking number of migrants have entered the US every year since 2021.

Hundreds of migrants wait in front of the wall to be able to turn themselves in to the border patrol in American territory, to request humanitarian asylum.

That figure is expected to rise to 8 million by October of this year.

At the same time, the Biden administration has expanded access to health care and other benefits, such as the Supplemental Nutrition Assistance Program , putting many migrants within reach of voter registration.

At least 19 states and Washington, DC, also allow non-citizens to obtain driver’s licenses , according to the National Conference of State Legislatures, a move that Biden supported during his 2020 presidential campaign.

In March, a federal judge upheld the Arizona law requiring proof of citizenship on state registration forms — with federal forms only requiring a signed statement confirming US citizenship to comply with the NVRA.

Carveouts in the SAVE Act also still allow for reasonable accommodations to be made for disabled people who may have a different name on their identity documents, or those who are US citizens but lack documentation and may make a signed attestation.

The bill would also force states to kick non-citizens off voter rolls, which can be verified through access to federal databases at the Department of Homeland Security and the Social Security Administration.

“What I’ve seen over the years is [federal agencies] put up all kinds of red tape to make it difficult for state election officials to access their databases,” von Spakovsky noted. “This bill tries to override that too.”

“Congress has the authority to deal with this issue,” he added, pointing out that the Constitution empowers US lawmakers to sort out questions about naturalization at both the state and federal level.

Von Spakovsky believes that if the SAVE Act successfully amends the NVRA, proof-of-citizenship laws would “get passed in a lot of states” — such as New Hampshire, where such a bill is under consideration .

The SAVE Act would further allow Americans to bring civil lawsuits against election officials who don’t have their agencies demand proof-of-citizenship documents.

A spokesperson for Rep. Joe Morelle (D-NY), the lone Democrat who opposed the bill in committee proceedings, did not respond to a request for comment.

Even if it passes the House, the SAVE Act will face an uphill battle for consideration by the Democrat-controlled Senate, though several Republican members of the upper chamber have already signaled their support.

“Preventing non-citizens and illegal aliens from registering and voting in American elections should be a 100% issue in Congress,” Sen. Mike Lee (R-Utah) told The Post.

“Unfortunately, Democrats have taken the stance that it never happens — which is false — so we shouldn’t give states the tools to ensure it doesn’t happen — which is absurd,” Lee said.

“The SAVE Act would defend election integrity and preserve public trust in the voting process,” he added, “something we need now more than ever.”

  • Both parents or guardians must approve that we can issue a passport to a child, and go with the child to apply in person.
  • If one or both parents or guardians cannot apply with their child, you will need to show us more documents.
  • You cannot renew your child's passport using Form DS-82.
  • Passports for children under age 16 are only valid for 5 years. 

Steps to Apply

Tips to complete your child's form :

  • Do not sign your child's form until asked to do so by a passport acceptance agent or employee. 
  • You can apply for a passport book , a passport card , or both documents.
  • You may ask for a larger passport book with more visa pages, at no extra cost, by checking the 'large book' box at the top of the DS-11.

2. Get Evidence of U.S. Citizenship (and a photocopy)

Your evidence must be an original or replacement copy. The document must have the official seal or stamp of the office which issued it. You must submit one of the following documents for your child:

  • Issued by the city, county, or state of birth
  • Lists applicant's full name, date of birth, and place of birth
  • Lists the parent(s)' full names
  • Has the date filed with registrar's office (must be within one year of birth)
  • Has the registrar's signature
  • Has the seal or stamp of the city, county, or state which issued it
  • Consular Report of Birth Abroad or Certification of Birth
  • Certificate of Citizenship
  • Please note you must also provide a document, such as a birth certificate, that lists the parent(s) or legal guardian(s) of the child. Full validity means the document is or was valid for 10 years for adults and 5 years for children under 16.

Paper only : You cannot submit digital evidence of U.S. citizenship such as a mobile or electronic birth certificate. You must submit physical evidence of U.S. citizenship and a photocopy of the document. 

Returning your child's document : We will return your child's document in a separate mailing up to 8 weeks after you receive the new passport.

Tips for making a photocopy :

  • Black and white (no color)
  • Use 8.5 inch by 11 inch paper
  • Use a single side of the paper

If you do not submit a photocopy, you must submit a second copy of your citizenship evidence. We will keep this copy for our records.

3. Show Your Relationship to Your Child

You must submit a document that lists the parent(s) or legal guardian(s) of the child. Examples include:

  • U.S. birth certificate (also evidence of U.S. citizenship)
  • Foreign birth certificate
  • Adoption decree
  • Divorce or custody decree
  • A court order

Some documents, like a U.S. birth certificate, show  both  U.S. citizenship and parental relationship. These documents must be originals or certified copies (not photocopies).

You and your child may have different last names, as long as the document showing your relationship to your child lists your full name.

If your name is different than the one on the document showing your relationship to your child, submit proof of your legal name change.

4. Get a Photo ID (and a photocopy)

Both parents or guardians must bring a physical, photo ID and a photocopy of it. If your photo ID is from a different state than the state in which you are applying, bring a second photo ID. 

You must show at least  one  of these photo IDs:

  • Valid or expired, undamaged U.S. passport book or passport card 
  • In-state, fully valid driver's license or enhanced driver's license with photo
  • Certificate of Naturalization 
  • Certificate of Citizenship 
  • Government employee ID (city, county, state, or federal)
  • U.S. military or military dependent ID
  • Current (valid) foreign passport
  • Matricula Consular (Mexican Consular ID) used by a parent of a U.S. citizen child applicant
  • U.S. Permanent Resident Card (Green Card) used by a parent of a U.S. citizen child applicant
  • Trusted Traveler IDs (including valid Global Entry, FAST, SENTRI, and NEXUS cards)
  • Enhanced Tribal Cards and Native American tribal photo IDs
  • In-state, fully-valid learner's permit with photo
  • In-state, fully-valid non-driver ID with photo
  • Temporary driver's license with photo

5. Show More Documents (if both parents or guardians cannot apply)

  • Both parents or guardians must approve that we can issue a passport to a child, and go with the child to apply in person.
  • If one or both parents or guardians cannot apply in person with their child, you will need to show more documents.

6. Provide a Photo

You must provide one photo with your child's application. Go to our  Passport Photo page  for photo requirements and to see examples of photos. 

  • Do not attach or staple your child's photo to the form. The acceptance agent or passport employee will review the photo and staple it to your form.

  • A company which offers photo services
  • Home. Ask your friend or family member to take your child's photo. Print it on glossy or matte photo quality paper. 

7. Calculate Fees

When applying using Form DS-11, you will pay two separate fees - an application fee and an execution (acceptance) fee. You will pay the application fee to the U.S. Department of State, and the execution (acceptance) fee to the facility which takes your application. 

  • Add $60 to your application fee if you want  expedited service .
  • Add $19.53 to your application fee if you want us to ship your completed passport in 1-2 days after we issue it.

8. Find Location to Apply

In the United States:

  • Traveling in more than 3 weeks?  Go to a  passport acceptance facility  such as a post office, library, or local government office. Check with the facility to see if you need to make an appointment. 
  • Traveling in less than 3 weeks?   Make an appointment  to apply at a passport agency or center.

In another country:

  • Contact your  U.S. embassy or consulate .

9. Track Your Application Status

You can  subscribe to email updates  about your application status, and  learn more about each status update .

It may take 2 weeks from the day you apply until your child's application status is “In Process.”

How will you send my child's passport and supporting documents.

You will get multiple mailings. The number of mailings depends on what document(s) you asked for.

Passport Book : You may get your new passport and citizenship documents in two mailings. You may wait 8 weeks after getting your passport before you get a second mailing with your citizenship documents. We will return the passport book using a trackable delivery service.

Passport Card : You may get your new passport card and your citizenship documents in two mailings. You may wait 8 weeks after getting your passport before you get a second mailing with your citizenship documents. We only send the passport card via First Class Mail. We do not send cards using 1-2 day delivery services.

Both a Passport Book and Card : You may get three separate mailings:

  • New passport book
  • New passport card

Contacting Us : If you have been waiting more than 8 weeks for your documents, call us at  1-877-487-2778  to report that you have not received your documents. 

If you want us to reimburse you for a lost supporting document, you must contact us within 90 days of the date which we mailed your passport. You will also need to provide a receipt to show the cost of replacing the document. 

Can I pay for faster delivery and return shipping?

Yes. You may choose one or both of the following shipment options:

  • Delivering application to us : Pay for Priority Mail Express for faster shipping. The price for this service varies depending on the area of the country.
  • Returning the passport to you : Pay $19.53 for 1-2 day delivery. This means you will receive your passport   1-2 days after we send it. Include this fee with your check or money order payable to the U.S. Department of State. Do not submit a return envelope to us with postage pre-paid. 

You may receive your passport and supporting documents in separate mailings. If you are renewing a passport card, we will send it to you via First Class Mail. We do not use 1-2 day delivery services if you only applied for a passport card.

What countries require Form DS-3053 "Statement of Consent" to be notarized at an embassy or consulate?
