When you're applying to college, even small decisions can feel high-stakes. This is especially true for the college essay, which often feels like the most personal part of the application. You may agonize over your college application essay format: the font, the margins, even the file format. Or maybe you're agonizing over how to organize your thoughts overall. Should you use a narrative structure? Five paragraphs?

In this comprehensive guide, we'll go over the ins and outs of how to format a college essay on both the micro and macro levels. We'll discuss minor formatting issues like headings and fonts, then discuss broad formatting concerns like whether or not to use a five-paragraph essay, and if you should use a college essay template.

How to Format a College Essay: Font, Margins, Etc.

Some of your formatting concerns will depend on whether you will be cutting and pasting your essay into a text box on an online application form or attaching a formatted document. If you aren't sure which you'll need to do, check the application instructions. Note that the Common Application does currently require you to copy and paste your essay into a text box.

Most schools also allow you to send in a paper application, which theoretically gives you increased control over your essay formatting. However, I generally don't advise sending in a paper application (unless you have no other option) for a couple of reasons:

Most schools state that they prefer to receive online applications. While it typically won't affect your chances of admission, it is wise to comply with institutional preferences in the college application process where possible. It tends to make the whole process go much more smoothly.

Paper applications can get lost in the mail. Certainly there can also be problems with online applications, but you'll be aware of the problem much sooner than if your paper application gets diverted somehow and then mailed back to you. By contrast, online applications let you be confident that your materials were received.

Regardless of how you will end up submitting your essay, you should draft it in a word processor. This will help you keep track of word count, let you use spell check, and so on.

Next, I'll go over some of the concerns you might have about the correct college essay application format, whether you're copying and pasting into a text box or attaching a document, plus a few tips that apply either way.

Formatting Guidelines That Apply No Matter How You End Up Submitting the Essay:

Unless it's specifically requested, you don't need a title. It will just eat into your word count.

Avoid cutesy, overly colloquial formatting choices like ALL CAPS or ~unnecessary symbols~ or, heaven forbid, emoji and #hashtags. Your college essay should be professional, and anything too cutesy or casual will come off as immature.

Why College Essay Templates Are a Bad Idea

You might see college essay templates online that offer guidelines on how to structure your essay and what to say in each paragraph. I strongly advise against using a template. It will make your essay sound canned and bland—two of the worst things a college essay can be. It's much better to think about what you want to say, and then talk through how to best structure it with someone else and/or make your own practice outlines before you sit down to write.

You can also find tons of successful sample essays online. Looking at these to get an idea of different styles and topics is fine, but again, I don't advise closely patterning your essay after a sample essay. You will do the best if your essay really reflects your own original voice and the experiences that are most meaningful to you.

College Application Essay Format: Key Takeaways

There are two levels of formatting you might be worried about: the micro (fonts, headings, margins, etc) and the macro (the overall structure of your essay).

Tips for the micro level of your college application essay format:

  • Always draft your essay in a word processing software, even if you'll be copy-and-pasting it over into a text box.
  • If you are copy-and-pasting it into a text box, make sure your formatting transfers properly, your paragraphs are clearly delineated, and your essay isn't cut off.
  • If you are attaching a document, make sure your font is easily readable, your margins are standard 1-inch, your essay is 1.5 or double-spaced, and your file format is compatible with the application specs.
  • There's no need for a title unless otherwise specified—it will just eat into your word count.

Tips for the macro level of your college application essay format :

  • There is no super-secret college essay format that will guarantee success.
  • In terms of structure, it's most important that you have an introduction that makes it clear where you're going and a conclusion that wraps up with a main point. For the middle of your essay, you have lots of freedom, just so long as it flows logically!
  • I advise against using an essay template, as it will make your essay sound stilted and unoriginal.

MLA Format: Everything You Need to Know Here

Welcome to an overview of “What is MLA Format?” in relation to paper formatting. You’ll find in-depth guidelines, examples, and visual samples to help you easily format your paper. This guide does not serve as a reference for MLA citation format.

Guidelines for Formatting a Paper in MLA

  • Use white 8 ½  x 11” paper.
  • Make 1 inch margins on the top, bottom, and sides.
  • The first word in every paragraph should be indented one half inch.
  • Indent set-off or block quotations one half inch from the left margin.
  • Use any type of font that is easy to read, such as Times New Roman. Make sure that italics look different from the regular typeface.
  • Use 12-point size.
  • Double space the entire research paper, even the Works Cited page.
  • Leave one space after periods and other punctuation marks, unless your instructor tells you to leave two spaces.

MLA Format Background

The Modern Language Association (MLA) is an organization responsible for developing MLA format. It was developed as a means for researchers, students, and scholars in the literature and language fields to uniformly format their papers and assignments. This uniform, or consistent, method to developing a paper or assignment allows for easy reading. Today, MLA is not only used in literature and language subject areas; many others have adopted it as well.

The Modern Language Association released the 9th and most current edition of their MLA Handbook in April 2021. The Handbook provides thorough instructions on citing, as well as guidelines for submitting work that adheres to the Modern Language Association’s rules and standards. Formatting the Header in MLA

To create a header for your first page, follow these steps:

  • Begin one inch from the top of the first page and flush with the left margin.
  • Type your name, your instructor’s name, the course name and number, and the date on separate lines, using double spaces between each.
  • Double space once more and center the title. Do NOT underline, bold, or type the title in all capital letters. Only italicize words that would normally be italicized in the text. Example: Character Development in The Great Gatsby
  • Do not place a period after the title or after any headings
  • Double space between the title and first lines of the text

MLA Formating Paper

General Paper Formatting

Paper choice.

While many professors, instructors, and publications allow electronic submission, some prefer printed, hard copies of papers. This section focuses on the type of paper to use for printed submission.

If you choose to print your paper, use white paper only. Do not use ivory, off-white, or any other shades or colors.

Choose a standard, high quality paper to print your project on. Do not use cardstock. It is not necessary to use resum é paper. Use typical, high quality printer or copy paper.

When it comes to size, 8 ½-by-11-inch paper is the recommended size. If you’d like to use a different size, ask your teacher prior to submission.

Use One-Inch Margins in MLA

Use one-inch margins around the entire page. The running head should be the only item seen in the one inch margin (see below for more on running heads).

Most word processing programs automatically default to using one inch margins. Check the page settings section of the program to locate the margin size.

Indenting Paragraphs in MLA

Indent the first word in every paragraph. Sentences should begin one half inch from the left margin.

It is not necessary to manually measure half an inch. Use the “tab” button on the keyboard to create a half inch space.

Double Space Paragraphs in MLA

MLA research paper format requires that the entire research paper or MLA format essay includes double-spaced lines. Double-spaced lines should be found in between the written body of the work, in the heading, and also on the MLA reference page.

While it may seem tempting to place a few extra lines between the heading, title, and beginning of the paper, lines should all be double spaced.

Font and Font Size in MLA

In an MLA paper, it is acceptable to use any font type that is easy to read. Many source types, such as books and articles, use fonts that are easy to read, so if you’re seeking an appropriate font style, look at other sources for guidance. Two of the most commonly used fonts are Arial and Times New Roman.

It is important for the reader to be able to distinguish the difference between italicized and regular font, so if you choose a font style different than Arial or Times New Roman, make sure the difference between the two type styles is evident.

The use of a 12-point font size is recommended as this is the default size for many word processing programs. It is acceptable to use another standard size, such as 11-point or 11.5-point.

Some professors or instructors will provide guidance on how to secure hard copies of projects. If your instructor does not provide you with any expectations or guidance, a simple staple in the top left corner should suffice. If a stapler is not available, some instructors allow paper or binder clips.

Do not fold the top left corner down to secure the pages together. The page could easily unfold, causing a mess of papers. While binders and plastic holders are cute, in reality, they add bulk to a professor or instructor who may like to take the papers home for grading purposes. Keep the binding simple and clean. Staples work best, and binder and paper clips are the next best option.

As always, follow any instructions your professor or teacher may provide. The guidelines found here are simply recommendations.

MLA Heading & Title Page Instructions

The web page “Formatting a Research Paper” gives two options when it comes to creating the header for your project:

  • An MLA format heading can be placed at the top of the first page
  • A title page can grace the front of the assignment. If you choose to create a title page, keep in mind that there aren’t any official title page or cover page guidelines in MLA format. See more information below.

If choosing option one, creating an MLA heading, you’ll need to include four main components:

  • Your full name
  • Your instructor’s name
  • The name and number of the course or class
  • The assignment’s due date

The first item typed on the paper should be your full name.

  • Position your name one inch from the top and left margins of the page.
  • Add a double space beneath your name, and type the name of your instructor.
  • Below the professor or instructor’s name should be a double space, followed by the name of the course, class, or section number (if available).
  • Below it, include another double space and add the assignment’s due date (Day Month Year).

Here’s an example:

The assignment’s title should be placed below the due date, after a double space. Align the title so it sits in the center of the MLA format paper. The title should be written in standard lettering, without underlines, bold font, italicized font, or any quotation marks. Only include italics or quotation marks if your title includes the title of another source.

*Note: The quotation marks here are around the title of a speech included in the paper’s title.

Most research papers use a standard MLA format heading, like the one seen above. If your instructor requires you to create a standalone title page, ask him or her for specifications. MLA does not have specific instructions for developing an MLA title page. We recommend you use an MLA header for your project.

If your teacher or professor requires a standalone title page, but has not provided any guidance or specifications, here are a few suggestions from EasyBib.com and this MLA guide :

  • Center and double space all of the text on your page.
  • Place the name of your school at the top of the page.
  • Skip down to about the center of the page and type the title of your paper. Do not bold the title, italicize the entire title, place quotation marks around it, or type the title out in capital letters.
  • Use italics for the titles of any sources in the title of your paper. Example: An Analysis of Mythical Creatures in Harry Potter and the Goblet of Fire
  • first letter of the title
  • first letter of the last word
  • first letter of any adjectives, adverbs, nouns, pronouns, and verbs
  • If your paper has a subtitle, include on the next line below your title.
  • Skip down to the bottom third of the page and add your name, the the name of your instructor, the name/number of the course or class, and the assignment’s due date on four separate lines.
  • Keep the font size at 12 pt., or a size close to it, to make it look professional.
  • Use the same font as the text of the paper. The Modern Language Association recommends any font that is easy to read and has a clear distinction between italics and standard font. Times New Roman and Arial are recommended, but many other fonts work as well.
  • Include a page number in the top right corner of the paper. For more information on how to style page numbers, check out the next section, “Running Head and Page Numbers.”
  • We do not recommend adding any images or cover art to the title page.

Running Head & Page Numbers in MLA

A running head is a brief heading that is placed in the top right corner of every page in a project. The Modern Language Association Style Center (online) states that the running head consists of:

  • Last name of the paper’s author
  • Page number

General tips to keep in mind:

  • The running head is placed in the upper right-hand corner, half an inch from the top margin and one inch from the right margin of the page.
  • Type your last name before the page number.
  • The last name and page number should be separated by a single space.
  • Do not place the word “page” or use an abbreviation, such as p. or pg., before the page number.
  • Quite often, the running head begins on the second page, but your instructor may ask you to include the running head on the first page of the assignment. As always, if your instructor provides you with specific directions, follow his or her guidelines.

APA formatting page number

Before adding this information manually onto every single page, check to see if the word processor you’re using has the capability to automatically add this information for you. Try looking in the settings area where page numbers or headers can be added or modified.

Google Docs: Adding a header

  • Go to the menu section “Insert.”
  • Select “Page numbers” and select the option that places the page number in the upper-right corner.
  • A page number will appear; your cursor will blink next to it.
  • Move your cursor to the left of the page number.
  • Type your last name. Add a space between your name and the page number.
  • You should now have a properly formatted header on every page!

Microsoft Word Document: Adding a header

  • Double-click in the space at the top of the page (where the page number is).
  • OR Go to the “Insert” menu, select “Header,” and select “Edit Header.”
  • Type your last name next to page number. If it isn’t already right-aligned, go to the “Home” menu and right-align your name.

Quotations in MLA

Quotes are added into assignments to help defend an argument, prove a point, add emphasis, or simply liven up a project.

Quotes should not take up the majority of your paper or assignment. Quotes should be sprinkled sparingly throughout, and quotes longer than 4 lines should be formatted as MLA block quotes . Use direct quotes from outside sources to enhance and expand on your own writing and ideas.

Words from quotes belong to the individual who spoke or wrote them, so it is essential to credit that individual’s work. Credit him or her by adding what is called an “in-text citation” into the body of the project.

There are three ways to add quotes: 1. With the author’s name in the sentence (a citation in prose).

Dan Gutman shares a glimpse into the overall plot by stating, “I didn’t know it at the time, but a baseball card—for me—could function like a time machine” (5).

In the above example, Dan Gutman is the author of the book that this quote is pulled from.

2. Without the author’s name in the sentence (a parenthetical citation).

The main character’s confusing experience is realized and explained when he states “I didn’t know it at the time, but a baseball card—for me—could function like a time machine” (Gutman 5).

In the above example, Dan Gutman’s name isn’t included in the sentence. It’s included in the parentheses at the end of the sentence. This is an example of a proper MLA style citation in the body of a project.

3. In a block quote, which is used when a large quote, of 4 lines or more, is added into a project.

Using footnotes and endnotes

The Modern Language Association generally promotes the use of references as described in the sections above, but footnotes and endnotes are also acceptable forms of references to use in your paper.

Footnotes and endnotes are helpful to use in a variety of circumstances. Here are a few scenarios when it may seem appropriate to use this type of referencing:

  • When you are referring to a number of various sources, by various authors, in a section of your paper. In this situation, it is a good idea to use a footnote or endnote to share information for parenthetical references. This will encourage the reader to stay focused on the text of the research paper, instead of having to read through all of the reference information.
  • When you are sharing additional information that doesn’t quite fit into the scope of the paper, but is beneficial for the reader. These types of footnotes and endnotes are helpful when explaining translations, adding background information, or sharing counterexamples to research.

To include a footnote or endnote, add a superscript number at the end of the sentence the footnote or endnote refers to. They can be included mid-sentence if necessary, but be sure to add it after any punctuation, such as commas or periods. Find a location that doesn’t distract the reader from the content and flow of the paper.

Within the text example:

Numerous well-known children’s books include characters from a wide range of races and ethnicities, thus promoting diversity and multiculturalism.¹

At the bottom of the page (footnote) or at the end of the section (endnote):

¹See Isadora, Parr, and Velazquez. While Parr’s work features characters of various colors, such as pink or blue, children easily correlate it with individuals of different races and ethnicities.

On the last page of the assignment, the writer includes the full references for the books by Isadora, Parr, and Velazquez.

Paraphrases in MLA

Paraphrases are created when text or speech from another source are added into a project, but the writer chooses to summarize them and weave in his or her own writing and writing style.

Even though the writer modifies the information from another source, it is still necessary to credit the source using proper format ( Handbook 98). Paraphrased information uses the same MLA reference format as stated in the section directly above this one.

Here is an acceptable paraphrase:

Original text:

“Stay hungry. Stay foolish.” Steve Jobs

Paraphrase:

Steve Jobs encouraged students at Stanford to continue with their determination, drive, and ambitious behavior. They should never be simply satisfied with the status quo. They should continue to push themselves despite possible obstacles and failures.

To develop a well-written paraphrase, follow these simple, step-by-step instructions.

  • Find a phrase, sentence, paragraph, or section of original text you’d like to turn into a paraphrase.
  • Read the text carefully and make sure you fully comprehend its meaning. A writer can only develop a well-written paraphrase if the information has been fully grasped and understood. If you’re having difficulty understanding the information, take a few minutes to read up on tricky words and background information. If all else fails, ask a friend to see if they’re able to make sense of the concepts.
  • After analyzing and completely understanding the original text, put it to the side. Take a moment to think about what you’ve read and connect the idea to your own assignment.
  • Now that the information is completely understood, take a moment to rewrite what you’ve read, in your own words and writing style. Do not simply substitute words in the original text with synonyms. That’s plagiarism! Show off and demonstrate your ability to process the original information, connect it to the content in your paper, and write it in your own individual and unique writing style.
  • Include an in-text reference next to the paraphrase. All paraphrases include references, similar to direct quotes. See the “Quotations” section of this guide to learn how to properly attribute your paraphrased information.
  • Give yourself a pat on the back! Paraphrasing is an important part of the research and writing process.

Wondering if it’s better to quote or paraphrase?

An essential part of the research process involves adding direct quotes and paraphrases into projects. Direct quotes provide word-for-word evidence and allow writers to use another author’s eloquent words and language in their own projects. When it comes to paraphrases, writers are able to take a block of text and shrink the scope of it into the their papers. Paper writers can also use paraphrases to demonstrate their ability to analyze and reiterate information in a meaningful and relevant way.

If you’re wondering which one is better to consistently use, quotes or paraphrases, there’s a clear winner. Paraphrases come out on top. Sure, direct quotes are incredibly beneficial, but copying and pasting too many of these into a project can cause a reader to lose sight of the writer’s own voice. Mixing your own voice with another author’s too much can make for choppy and disjointed reading.

The ultimate goal of a research project is to have your voice and research merged together as one. Paraphrases allow just that. When you combine information from outside sources with your own writing style, it demonstrates your ability as a researcher to showcase your understanding and analyzation of a topic.

Remember, whether you’re adding direct quotes or paraphrases into a project, both types of additions need references. References are placed after the quotes and paraphrases, and also at the end of an assignment.

Using Abbreviations in MLA

Abbreviations are commonly used in many source types including websites, blog posts, books, and journal articles. It is acceptable to use abbreviations in all of these sources.

When it comes to school and research assignments, however, the MLA   Handbook states that abbreviations should be used rarely in the prose of your paper (293). Spelling out abbreviations into their full words and meanings is recommended. This ensures understanding and avoids any confusion from your reader.

There are times when you may feel it is perfectly acceptable to use an abbreviation rather than its typed out counterpart in a paper. If you do abbreviate, be sure you are using commonly accepted abbreviations, which you can find in the dictionary. You can also review Appendix 1 in the  MLA Handbook .

General Abbreviation Tips

  • Human Immunodeficiency Virus can be abbreviated to HIV, not H.I.V.
  • United States should be US, not U.S.
  • Digital video disc should be DVD, not D.V.D.
  • For lower case abbreviations, it is acceptable to include periods between the letters.
  • The abbreviation, “For example” = e.g.
  • If there is a mix of lower case and upper case letters, do not use periods if the majority of the letters are upper case. Examples include PhD and EdD

Abbreviating Months

Type out entire month names when being used in the body of a research paper or assignment.

She rented out the beach house from May through September

When it comes to references, MLA bibliography format requires months longer than four letters to be abbreviated.

  • July = July
  • November = Nov.

Other abbreviations that are perfectly acceptable to use in a bibliography (not the body of a project) include:

  • p. or pp. for page and page numbers
  • ch. for chapter
  • ed. for edition
  • trans. for translation or translated
  • vol. for volume
  • no. for number
  • rev. for revised

Again, these abbreviations should only be used in the final page(s) of a project, the MLA Works Cited list. They should not be used in the body of a project.

Abbreviating Publishers

One of the quirkiest things about this particular style is how publisher names are structured on the final page of references. Certain words are abbreviated, some words are omitted, and other words are written in full.

Words describing what type of business the publisher is are omitted from the works cited. Here’s a breakdown of the words that should be excluded:

  • Co. (Company)
  • Corp. (Corporation)
  • Inc. (Incorporated)
  • Ltd. (Limited)
  • The (when at the beginning of the name)

If a publisher’s name contains the words “University” and “Press” (or the equivalent in another language), the words should be abbreviated to the letters “U” and “P” in your citation. But if only one of the words appears, it should be written out normally.

Abbreviating Titles

Certain classical and biblical works are abbreviated in a bibliography, but also in any parenthetical references in the text.

The official handbook provides a lengthy list, spanning over multiple pages, of the preferred abbreviations to use for classical and biblical works ( Handbook 295-301), but here’s a quick snapshot of some of the commonly used ones:

Hebrew Bible or Old Testament = OT

  • Deut. = Deuteronomy
  • Gen. = Genesis
  • Lev. = Leviticus
  • Num. = Numbers
  • Ps. = Psalms

New Testament = NT

  • 1 Cor. = 1 Corinthians
  • Jas. = James
  • Matt. = Matthew

Shakespeare:

  • Ado = Much Ado about Nothing
  • 3H6 = Henry VI, Part 3
  • JC = Julius Caesar
  • Mac. = Macbeth
  • MND = A Midsummer Night’s Dream
  • Oth. = Othello
  • Rom. = Romeo and Juliet

Again, the titles above are allowed to be abbreviated both in references in parentheses in the body of a project and also on the final page of references. If you’re wondering why, it’s because they’re cited often and it’s unnecessary to type out the entire title names.

Formatting Numbers in MLA

Use of numerals.

If the project calls for frequent use of numbers (such as a scientific study or statistics), use numerals that precede measurements.

Arabic Numbers

When including a number in a paper, spell out the number if it can be written as one word (such as six ) or two words (such as sixty-two ). For fractions, decimals, or longer numbers, type them out using digits. For larger numbers, write the number itself ( Handbook 82-84).

If the number comes before a unit of measurement or label, type the number using digits.

Starting a sentence with a number is generally frowned upon. Try modifying the sentence so that the number, or number word, is found elsewhere.

Instead of:

225 children were found in the warehouse, some malnourished and diseased.

Use this sentence:

A total of 225 children were found in the warehouse, some malnourished and diseased.

If modifying the sentence is not possible or does not work well with the flow of the assignment or paper, type out the written number:

Two hundred twenty five children were found in the warehouse, some malnourished and diseased.

Do not include any ISBN numbers in your paper.

Outline Format

The Modern Language Association does not have any requirements regarding the structure of an outline. If your teacher asks you to create an MLA outline, we recommend using roman numerals, capital and lowercase letters, and numbers.

Using Images, Tables, & Musical Scores in MLA

Photographs, data sets, tables, graphs, and other images are often added into projects or papers to promote or aid understanding. They provide meaningful visuals for the reader. If the illustration or visual image does not enhance the quality of the paper, do not include it in the project.

Tables and illustrations should be placed as close as possible to the text that they most closely refer to.

For an image to be significant and easily identifiable, place it as close as possible to the text in the project where it is discussed.

It is not acceptable to simply place an image in a project without including identifiable information. All images must include information about its origin.

Here are the directions to properly attribute an image:

  • Assign an Arabic number. The image closest to the beginning of the project should be labeled as Fig. 1. The next image in the project should be Fig. 2. and so on.
  • Provide a caption. The caption should be a brief explanation or the title of the contents of the image. Place the caption directly next to the label.
  • Immediately following the caption, it is acceptable to include attribution information. If the image is not discussed further in the rest of the paper or project, it is acceptable to include the MLA bibliography format citation below the image and omit it from the bibliography or MLA format works cited page.

In the text of the project or paper where the figure is discussed, include the label in parentheses to ensure the reader knows where to find the figure in your paper.

In the text:

Sarah’s tattoo design was filled with two of her favorite flowers: lilies and daffodils along a thinly curved vine (fig. 1).

When adding a table or data set into a project, it is formatted a little differently. Above the data set, include the label “Table” with an Arabic numeral, and title it. The table number and title should be located flush left and on separate lines. The first table seen in the project is labeled as Table 1. The second table in the project is Table 2, and so on. The table’s title should be written in title case form (the first letter of each word is capitalized, except for small, insignificant words).

Underneath the table, provide the source and any notes. Notes should be labeled with a letter, rather than a numeral, so the reader is able to differentiate between the notes of the text and the notes of the table.

The information included above and below any images or table should be double spaced, similar to the rest of the project or paper.

Musical Scores

Musical scores need to be labeled as well. When including a musical score in a project, label musical scores with “Ex.” which is short for example. This label should be placed below the musical score. Next to the abbreviation “Ex.”, assign the score an Arabic numeral. The first musical score in the project should be labeled as Ex. 1. The second musical score found in an assignment should be labeled as Ex. 2., and so on.

If possible, provide a caption after to the label. If the caption below the sheet music includes enough information about the source, it is not necessary to include the full reference at the end of the assignment.

Using Lists in MLA

It’s appropriate to add lists into an MLA format essay as long as the proper rules are followed.

Lists created using MLA essay format look different than a grocery list or any other type of vertical listing of items. Items in a list are included in your prose, rather than the traditional vertical style.

Often, you will use a colon between the introductory sentence and the list. But you should not include a colon if the first item in the list is part of the sentence.

Here is an example of how a list may look incorporated into the prose of a research project or assignment:

William Shakespeare wrote numerous plays, many of which were considered tragedies: Romeo and Juliet , Hamlet , Macbeth , Othello , Julius Caesar , and King Lear .

MLA Works Cited Format

  • The top of the page should include the running head and the page number.

If you’re simply looking for the general structure for full references, which are found on the final pages of projects, here’s the proper order:

Author’s Last name, Author’s First name. “Title of Source.”* Title of Container , Names of other contributors along with their specific roles, version of the source (if it differs from the original or is unique), any key numbers associated with the source that aren’t dates (such as journal issue numbers or volume numbers), Name of the Publisher, publication date, location (such as the URL or page numbers).

*Note: A title may be in italics instead of quotation marks, depending of the type of source. The general rule is that works that are self-contained (like books, journals, or television shows) are formatted in italics. Works that are part of a larger work (like articles, chapters, or specific episodes) are formatting in quotation marks.

“What in the world are containers?”

Containers are what hold the source. If you’re creating a reference for a chapter in a book, the title of the chapter is the title of the source , and the container is the title of the book . The book holds the chapter, so it’s the container. If you’re searching for how to cite a website, here’s a tip: the title of the source is the name of the individual page and the title of the container is the name of the full website.

“This seems like a lot of information for a reference. Is it all necessary?”

The short answer is “No!” When citing, only include the components that help the reader locate the exact same source themselves.

It isn’t necessary to go digging for items such as numbers, version types, or names of other individuals or contributors associated with the source if they aren’t applicable. If you think it’s beneficial for the reader, then include it.

Edits and Proofreading

Editing and proofreading your assignment prior to submission is an incredibly important step in the research process. Editing involves checking the paper for the following items:

  • Spelling : Are all words spelled correctly? Review all proper names, places, and other unique words to ensure correct spelling. When finished, run the project through a spell checker. Many word processing programs, such as Microsoft Word and Google Drive, provide a free spell checking feature. While spell checks are beneficial, they do not always spot every mistake, so make sure you take the time to read through the assignment carefully. If you’re still not sure if your project contains proper spelling, ask a friend to read through it. They may find a mistake you missed!
  • Grammar : Check your assignment to make sure you’ve included proper word usage. There are numerous grammar checkers available to review your project prior to submission. Again, take the time to review any recommendations from these programs prior to accepting the suggestions and revisions.
  • Punctuation : Check to make sure the end of every sentence has an ending punctuation mark. Also make sure commas, hyphens, colons, and other punctuation marks are placed in the appropriate places.
  • Attribution : Do all quotes and paraphrases include a citation? Did you create an in-text citation for each individual piece of information?

The works-cited list provides the reader full information so that a reader can locate the source for further use.

Basic formatting

The works-cited list appears at the end of the paper, after any endnotes if they are present.

Page margins

All margins (top, bottom, left, and right) should be set at 1 inch.

Running head

Write the running head in the top right of the page at 0.5 inch from the top. Use the running head “Surname Page #.”

The font should be clear enough to read. For example, Times New Roman font set to 12 points.

Formatting entries

Entries should be double-spaced, including a double-space between the heading and the first entry. If any entry runs over more than a line, indent the subsequent line(s) 0.5 inch from the left margin.

Formatting the title

The title should be “Works Cited.” Center the title. Do not bold, italicize, or underline the title. If you cite only one source in the list, the title should be “Work Cited.” If you include sources that you only consulted and didn’t cite directly, the title should be changed accordingly to “Works Cited and Consulted.”

Arranging works cited

Works-cited-list entries are arranged alphabetically by the author’s last name (or the editor’s last name for entire edited collections). Double-space all entries. Begin each entry flush with the left margin. If any entry runs over more than one line, indent the subsequent line(s) 0.5 inch from the left margin (sometimes called a hanging indent).

An in-text citation is a short citation that is placed in the text. It is styled in two ways: a citation in prose or a parenthetical citation.

The basic element needed for an in-text citation is the author’s name . The publication year is not required in in-text citations. Sometimes, page numbers or line numbers are also included, especially when directly quoting text from the source being cited. When including a page number, do not include a comma or any other punctuation mark between the author’s surname and the page number.

Parenthetical citations usually add only the author’s surname at the end of the sentence in parentheses. Sometimes they include a page number or other locator. An example of a parenthetical citation is given below:

The spiritual geography of the landscape is explained (Cooper).

If you want to cite a chapter number, a scene, or a line number, follow the abbreviation guidelines below:

When including a more specific locator number rather than a page number, place a comma between the author’s surname and the label.

(Cooper, ch. 2).

Here are a few examples of in-text citations for sources with different numbers or types of authors:

Use only the surname of the author in parenthetical citations. If you want to add a page number (or another indicator of the place in a work), add it after the author’s surname without any punctuation between the surname and the page number.

(Abraham 7).

Two authors

Add only the surnames of the authors. Use “and” to separate the two authors.

(Langmuir and Einstein).

Three or more authors

Add only the surname of the first author followed by “et al.”

(Low et al.).

Corporate author

Shorten the organization name wherever possible, excluding any initial articles and using the shortest noun phrase (e.g., shorten Literary Society of Tamil Culture to Literary Society).

(Literary Society).

If there is no author for the source, use the source title in place of the author’s surname.

When you add such in-text citations, italicize the text of the title. If the source title is longer than a noun phrase, use a shortened version of the title. For example, the title Fantastic Beasts and Where to Find Them is shortened to Fantastic Beasts .

The college application essay has become the most important part of applying to college. In this article, we will go over the  best college essay format for getting into top schools, including how to structure the elements of a college admissions essay: margins, font, paragraphs, spacing, headers, and organization. 

We will focus on commonly asked questions about the best college essay structure. Finally, we will go over essay formatting tips and examples.

General College Essay Format Rules

Before talking about how to format your college admission essays, we need to talk about general college essay formatting rules.

Pay attention to word count

It has been well-established that the most important rule of college application essays is to  not go over the specific Application Essay word limit .  The word limit for the Common Application essay is typically 500-650 words.

Not only may it be impossible to go over the word count (in the case of the  Common Application essay , which uses text fields), but admissions officers often use software that will throw out any essay that breaks this rule. Following directions is a key indicator of being a successful student. 

Refocusing on the essay prompt and eliminating unnecessary adverbs, filler words, and prepositional phrases will help improve your essay.

On the other hand, it is advisable to use almost every available word. The college essay application field is very competitive, so leaving extra words on the table puts you at a disadvantage. Include an example or anecdote near the end of your essay to meet the total word count.

Do not write a wall of text: use paragraphs

Here is a brutal truth:  College admissions counselors only read the application essays that help them make a decision .  Otherwise, they will not read the essay at all. The problem is that you do not know whether the rest of your application (transcripts, academic record, awards, etc.) will be competitive enough to get you accepted.

A very simple writing rule for your application essay (and for essay editing of any type) is to  make your writing readable by adding line breaks and separate paragraphs.

Line breaks do not count toward word count, so they are a very easy way to organize your essay structure, ideas, and topics. Remember, college counselors, if you’re lucky, will spend 30 sec to 1 minute reading your essay. Give them every opportunity to understand your writing.

Do not include an essay title 

Unless specifically required, do not use a title for your personal statement or essay. This is a waste of your word limit and is redundant since the essay prompt itself serves as the title.

Never use overly casual, colloquial, or text message-based formatting like this: 

THIS IS A REALLY IMPORTANT POINT!. #collegeapplication #collegeessay.

Under no circumstances should you use emojis, all caps, symbols, hashtags, or slang in a college essay. Although technology, texting, and social media are continuing to transform how we use modern language (what a great topic for a college application essay!), admissions officers will view the use of these casual formatting elements as immature and inappropriate for such an important document.

How To Format A College Application Essay

There are many  tips for writing college admissions essays . How you upload your college application essay depends on whether you will be cutting and pasting your essay into a text box in an online application form or attaching a formatted document.

Save and upload your college essay in the proper format

Check the application instructions if you’re not sure what you need to do. Currently, the Common Application requires you to copy and paste your essay into a text box.

There are three main formats when it comes to submitting your college essay or personal statement:

If submitting your application essay in a text box

For the Common Application, there is no need to attach a document since there is a dedicated input field. You still want to write your essay in a word processor or Google doc. Just make sure once you copy-paste your essay into the text box that your line breaks (paragraphs), indents, and formatting is retained. 

  • Formatting like  bold , underline, and  italics  are often lost when copy-pasting into a text box.
  • Double-check that you are under the word limit.  Word counts may be different within the text box .
  • Make sure that paragraphs and spacing are maintained;  text input fields often undo indents and double-spacing .
  • If possible, make sure the font is standardized.  Text input boxes usually allow just one font . 

If submitting your application essay as a document

When attaching a document, you must do more than just double-check the format of your admissions essay. You need to be proactive and make sure the structure is logical and will be attractive to readers.

Microsoft Word (.DOC) format

If you are submitting your application essay as a file upload, then you will likely submit a .doc or .docx file. The downside is that MS Word files are editable, and there are sometimes conflicts between different MS Word versions (2010 vs 2016 vs Office365). The upside is that Word can be opened by almost any text program.

This is a safe choice if maintaining the  visual  elements of your essay is important. Saving your essay as a PDF prevents any formatting issues that come with Microsoft Word, since older versions are sometimes incompatible with the newer formatting. 

Although PDF viewing programs are commonly available, many older readers and Internet users (who will be your admissions officers) may not be ready to view PDFs.

  • Use 1-inch margins . This is the default setting for Microsoft Word. However, students from Asia using programs like Hangul Word Processor will need to double-check.
  • Use a standard serif font.  These include Times New Roman, Courier, and Garamond. A serif font adds professionalism to your essay.
  • Use standard 12-font size. 
  • Use 1.5- or double-spacing.  Your application essay should be readable. Double spaces are not an issue as the essay should already fit on one page.
  • Add a Header  with your First Name, Last Name, university, and other required information.
  • Clearly   separate your paragraphs.  By default, just press ‘ENTER’ twice.

Sections Of A College Admissions Essay

University admissions protocols usually allow you to choose the format and style of your writing. Despite this, the general format of “Introduction-Body-Conclusion” is the most common structure. This is a common format you can use and adjust to your specific writing style.

College Application Essay Introduction

Typically, your first paragraph should introduce you or the topic that you will discuss. You must have a killer opener if you want the admissions committees to pay attention. 

Essays that use rhetorical tools, factual statements, dialog, etc. are encouraged. There is room to be creative since many application essays specifically focus on past learning experiences.

College Application Essay Body

Clearly answering the essay prompt is the most important part of the essay body. Keep reading over the prompt and making sure everything in the body supports it. 

Since personal statement essays are designed to show you are as a person and student, the essay body is also where you talk about your experiences and identity.

Make sure you include the following life experiences and how they relate to the essay prompt. Be sure to double-check that they relate back to the essay prompt. A college admissions essay is NOT an autobiography:

Personal challenges

  • How did you overcome them?
  • How or how much do past challenges define your current outlook or worldview? 
  • What did you learn about yourself when you failed?

Personal achievements and successes

  • What people helped you along the way?
  • What did you learn about the nature of success

Lessons learned

  • In general, did your experiences inform your choice of university or major?

Personal beliefs

  • Politics, philosophy, and religion may be included here, but be careful when discussing sensitive personal or political topics. 
  • Academic goals
  • Personal goals
  • Professional goals
  • How will attending the university help you achieve these goals?

College Application Essay Conclusion

The conclusion section is a call to action directly aimed at the admissions officers. You must demonstrate why you are a great fit for the university, which means you should refer to specific programs, majors, or professors that guided or inspired you. 

In this “why this school” part of the essay, you can also explain why the university is a great fit for  your  goals. Be straightforward and truthful, but express your interest in the school boldly.

I have been subjected to these monotonous views three times a week, driving two hours every other day to Sunrise and back to my house in Miami, Florida—all to practice for my competitive soccer team in hopes of receiving a scholarship to play soccer at the next level. 

The Introduction sets up a clear, visceral memory and communicates a key extracurricular activity. 

When I first began these mini road trips, I would jam out to my country playlist and sing along with my favorite artists, and the trek would seem relatively short. However, after listening to “Beautiful Crazy” by Luke Combs for the 48th time in a week, the song became as repetitive as the landscape I was driving through. Changing genres did not help much either; everything I played seemed to morph into the same brain-numbing sound.  Eventually, I decided to do what many peers in my generation fail to do: turn off the distractions, enjoy the silence, and immerse myself in my own thoughts. In the end, this seemingly simple decision led to a lot of personal growth and tranquility in my life. 

The first part of the Body connects the student’s past experience with the essay prompt: personal growth and challenging assumptions.

Although I did not fully realize it at the time, these rides were the perfect opportunity to reflect on myself and the people around me. I quickly began noticing the different personalities surrounding me in the flow of traffic, and this simple act of noticing reminded me that I was not the only human on this planet that mattered. I was just as unimportant as the woman sitting in the car next to mine. Conversely, I also came to appreciate how a gesture as simple as letting another driver merge into your lane can impact a stranger’s day. Maybe the other driver is late for a work interview or rushing to the hospital because their newborn is running a high fever and by allowing them to advance in the row of cars, you made their day just a little less stressful. I realized that if I could improve someone else’s day from my car,  I could definitely be a kinder person and take other people’s situations into consideration—because you never know if someone is having one of the worst days of their lives and their interaction with you could provide the motivation they need to keep going on . 

This part uses two examples to support the writer’s answer to the essay prompt. It ends the paragraph with a clear statement.

Realizing I was not the only being in the universe that mattered was not the only insight I attained during these drives. Over and over, I asked myself why I had chosen to change soccer clubs, leaving Pinecrest, the team I had played on for 8 years with my best friends and that was only a 10-minute drive from my house, to play for a completely unfamiliar team that required significantly more travel.  Eventually, I came to understand that I truly enjoy challenging myself and pushing past complacency . One of my main goals in life is to play and experience college soccer—that, and to eventually pursue a career as a doctor. Ultimately, leaving my comfort zone in Pinecrest, where mediocrity was celebrated, to join a team in Sunrise, where championships were expected and college offers were abundant, was a very positive decision in my life. 

This part clearly tells how the experience shaped the writer as a person. The student’s personality can be directly attributed to this memory. It also importantly states personal and academic goals.

Even if I do not end up playing college soccer, I know now that I will never back down from any challenge in my life; I am committed to pushing myself past my comfort zone. These car rides have given me insight into how strong I truly am and how much impact I can have on other people’s lives. 

The Conclusion restates the overall lesson learned.

College Admission Essay Example 2

The next essay asks the reader to use leadership roles or extracurricular activities and describe the experience, contribution, and what the student learned about themselves.

As I release the air from the blood-pressure monitor’s valve, I carefully track the gauge, listening for the faint “lub-dub” of  Winnie’s heart. Checking off the “hypertensive” box on his medical chart when reading 150/95, I then escort Winnie to the blood sugar station. This was the typical procedure of a volunteer at the UConn Migrant Farm Worker Clinic. Our traveling medical clinic operated at night, visiting various Connecticut farms to provide healthcare for migrant workers. Filling out charts, taking blood pressure, and recording BMI were all standard procedures, but the relationships I built with farmers such as Winnie impacted me the most.

This Introduction is very impactful. It highlights the student’s professional expertise as a healthcare worker and her impact on marginalized communities. It also is written in the present tense to add impact.

While the clinic was canceled this year due to COVID-19, I still wanted to do something for them. During a PPE-drive meeting this July, Winnie recounted his family history. I noticed his eyebrows furrow with anxiety as he spoke about his family’s safety in Tierra Blanca, Mexico. I realized that Winnie lacked substantial information about his hometown, and fear-mongering headlines did nothing to assuage his fears. After days of searching, I discovered that his hometown, Guanajuato, reported fewer cases of COVID-19 in comparison with surrounding towns. I then created a color-coded map of his town, showing rates across the different districts. Winnie’s eyes softened, marveling at the map I made for him this August. I didn’t need to explain what he saw: Guanajuato, his home state, was pale yellow, the color I chose to mark the lowest level of cases. By making this map, I didn’t intend to give him new hope; I wanted to show him where hope was.

The student continues to tell the powerful story of one of her patients. This humbles and empowers the student, motivating her in the next paragraph.

This interaction fueled my commitment to search for hope in my journey of becoming a public health official. Working in public health policy, I hope to tackle complex world problems, such as economic and social barriers to healthcare and find creative methods of improving outcomes in queer and Latinx communities. I want to study the present and potential future intervention strategies in minority communities for addressing language barriers to information including language on posters and gendered language, and for instituting social and support services for community youth. These stepping stones will hopefully prepare me for conducting professional research for the Medical Organization for Latino Advancement. I aspire to be an active proponent of healthcare access and equity for marginalized groups, including queer communities. I first learned about the importance of recognizing minority identities in healthcare through my bisexual sister, Sophie, and her nonbinary friend, Gilligan. During discussions with her friends, I realized the importance of validating diverse gender expressions in all facets of my life.

Here, the past experience is directly connected to future academic and professional goals, which themselves are motivated by a desire to increase access among communities as well as personal family experiences. This is a strong case for why personal identity is so important.

My experiences with Winnie and my sister have empowered me to be creative, thoughtful, and brave while challenging the assumptions currently embedded in the “visual vocabulary” of both the art and science fields. I envision myself deconstructing hegemonic ideas of masculinity and femininity and surmounting the limitations of traditional perceptions of male and female bodies as it relates to existing healthcare practices. Through these subtle changes, I aim to make a large impact.

The Conclusion positions the student as an impactful leader and visionary. This is a powerful case for the admissions board to consider.

The purpose of tables and figures in documents is to enhance your readers' understanding of the information in the document; usually, large amounts of information can be communicated more efficiently in tables or figures. Tables are any graphic that uses a row and column structure to organize information, whereas figures include any illustration or image other than a table.

General guidelines

Visual material such as tables and figures can be used quickly and efficiently to present a large amount of information to an audience, but visuals must be used to assist communication, not to use up space, or disguise marginally significant results behind a screen of complicated statistics. Ask yourself this question first: Is the table or figure necessary? For example, it is better to present simple descriptive statistics in the text, not in a table.

Relation of Tables or Figures and Text

Because tables and figures supplement the text, refer in the text to all tables and figures used and explain what the reader should look for when using the table or figure. Focus only on the important point the reader should draw from them, and leave the details for the reader to examine on their own.

Documentation

If you are using figures, tables and/or data from other sources, be sure to gather all the information you will need to properly document your sources.

Integrity and Independence

Each table and figure must be intelligible without reference to the text, so be sure to include an explanation of every abbreviation (except the standard statistical symbols and abbreviations).

Organization, Consistency, and Coherence

Number all tables sequentially as you refer to them in the text (Table 1, Table 2, etc.), likewise for figures (Figure 1, Figure 2, etc.). Abbreviations, terminology, and probability level values must be consistent across tables and figures in the same article. Likewise, formats, titles, and headings must be consistent. Do not repeat the same data in different tables.

Data in a table that would require only two or fewer columns and rows should be presented in the text. More complex data is better presented in tabular format. In order for quantitative data to be presented clearly and efficiently, it must be arranged logically, e.g. data to be compared must be presented next to one another (before/after, young/old, male/female, etc.), and statistical information (means, standard deviations, N values) must be presented in separate parts of the table. If possible, use canonical forms (such as ANOVA, regression, or correlation) to communicate your data effectively.

Elements of Tables

Number all tables with Arabic numerals sequentially. Do not use suffix letters (e.g. Table 3a, 3b, 3c); instead, combine the related tables. If the manuscript includes an appendix with tables, identify them with capital letters and Arabic numerals (e.g. Table A1, Table B2).

Like the title of the paper itself, each table must have a clear and concise title. Titles should be written in italicized title case below the table number, with a blank line between the number and the title. When appropriate, you may use the title to explain an abbreviation parenthetically.

Keep headings clear and brief. The heading should not be much wider than the widest entry in the column. Use of standard abbreviations can aid in achieving that goal. There are several types of headings:

  • Stub headings describe the lefthand column, or stub column , which usually lists major independent variables.
  • Column headings describe entries below them, applying to just one column.
  • Column spanners are headings that describe entries below them, applying to two or more columns which each have their own column heading. Column spanners are often stacked on top of column headings and together are called decked heads .
  • Table Spanners cover the entire width of the table, allowing for more divisions or combining tables with identical column headings. They are the only type of heading that may be plural.

All columns must have headings, written in sentence case and using singular language (Item rather than Items) unless referring to a group (Men, Women). Each column’s items should be parallel (i.e., every item in a column labeled “%” should be a percentage and does not require the % symbol, since it’s already indicated in the heading). Subsections within the stub column can be shown by indenting headings rather than creating new columns:

The body is the main part of the table, which includes all the reported information organized in cells (intersections of rows and columns). Entries should be center aligned unless left aligning them would make them easier to read (longer entries, usually). Word entries in the body should use sentence case. Leave cells blank if the element is not applicable or if data were not obtained; use a dash in cells and a general note if it is necessary to explain why cells are blank.   In reporting the data, consistency is key: Numerals should be expressed to a consistent number of decimal places that is determined by the precision of measurement. Never change the unit of measurement or the number of decimal places in the same column.

There are three types of notes for tables: general, specific, and probability notes. All of them must be placed below the table in that order.

General  notes explain, qualify or provide information about the table as a whole. Put explanations of abbreviations, symbols, etc. here.

Example:  Note . The racial categories used by the US Census (African-American, Asian American, Latinos/-as, Native-American, and Pacific Islander) have been collapsed into the category “non-White.” E = excludes respondents who self-identified as “White” and at least one other “non-White” race.

Specific  notes explain, qualify or provide information about a particular column, row, or individual entry. To indicate specific notes, use superscript lowercase letters (e.g.  a ,  b ,  c ), and order the superscripts from left to right, top to bottom. Each table’s first footnote must be the superscript  a .

Probability  notes provide the reader with the results of the tests for statistical significance. Asterisks indicate the values for which the null hypothesis is rejected, with the probability ( p value) specified in the probability note. Such notes are required only when relevant to the data in the table. Consistently use the same number of asterisks for a given alpha level throughout your paper.

If you need to distinguish between two-tailed and one-tailed tests in the same table, use asterisks for two-tailed p values and an alternate symbol (such as daggers) for one-tailed p values.

Borders 

Tables should only include borders and lines that are needed for clarity (i.e., between elements of a decked head, above column spanners, separating total rows, etc.). Do not use vertical borders, and do not use borders around each cell. Spacing and strict alignment is typically enough to clarify relationships between elements.

If using tables from an external source, copy the structure of the original exactly, and cite the source in accordance with  APA style .

  • Is the table necessary?
  • Does it belong in the print and electronic versions of the article, or can it go in an online supplemental file?
  • Are all comparable tables presented consistently?
  • Are all tables numbered with Arabic numerals in the order they are mentioned in the text? Is the table number bold and left-aligned?
  • Are all tables referred to in the text?
  • Is the title brief but explanatory? Is it presented in italicized title case and left-aligned?
  • Does every column have a column heading? Are column headings centered?
  • Are all abbreviations; special use of italics, parentheses, and dashes; and special symbols explained?
  • Are the notes organized according to the convention of general, specific, probability?
  • Are table borders correctly used (top and bottom of table, beneath column headings, above table spanners)?
  • Does the table use correct line spacing (double for the table number, title, and notes; single, one and a half, or double for the body)?
  • Are entries in the left column left-aligned beneath the centered stub heading? Are all other column headings and cell entries centered?
  • Are confidence intervals reported for all major point estimates?
  • Are all probability level values correctly identified, and are asterisks attached to the appropriate table entries? Is a probability level assigned the same number of asterisks in all the tables in the same document?
  • If the table or its data are from another source, is the source properly cited? Is permission necessary to reproduce the table?

Figures include all graphical displays of information that are not tables. Common types include graphs, charts, drawings, maps, plots, and photos. Just like tables, figures should supplement the text and should be both understandable on their own and referenced fully in the text. This section details elements of formatting writers must use when including a figure in an APA document, gives an example of a figure formatted in APA style, and includes a checklist for formatting figures.

Preparing Figures

In preparing figures, communication and readability must be the ultimate criteria. Avoid the temptation to use the special effects available in most advanced software packages. While three-dimensional effects, shading, and layered text may look interesting to the author, overuse, inconsistent use, and misuse may distort the data, and distract or even annoy readers. Design properly done is inconspicuous, almost invisible, because it supports communication. Design improperly, or amateurishly, done draws the reader’s attention from the data, and makes him or her question the author’s credibility. Line drawings are usually a good option for readability and simplicity; for photographs, high contrast between background and focal point is important, as well as cropping out extraneous detail to help the reader focus on the important aspects of the photo.

Parts of a Figure

All figures that are part of the main text require a number using Arabic numerals (Figure 1, Figure 2, etc.). Numbers are assigned based on the order in which figures appear in the text and are bolded and left aligned.

Under the number, write the title of the figure in italicized title case. The title should be brief, clear, and explanatory, and both the title and number should be double spaced.

The image of the figure is the body, and it is positioned underneath the number and title. The image should be legible in both size and resolution; fonts should be sans serif, consistently sized, and between 8-14 pt. Title case should be used for axis labels and other headings; descriptions within figures should be in sentence case. Shading and color should be limited for clarity; use patterns along with color and check contrast between colors with free online checkers to ensure all users (people with color vision deficiencies or readers printing in grayscale, for instance) can access the content. Gridlines and 3-D effects should be avoided unless they are necessary for clarity or essential content information.

Legends, or keys, explain symbols, styles, patterns, shading, or colors in the image. Words in the legend should be in title case; legends should go within or underneath the image rather than to the side. Not all figures will require a legend.

Notes clarify the content of the figure; like tables, notes can be general, specific, or probability. General notes explain units of measurement, symbols, and abbreviations, or provide citation information. Specific notes identify specific elements using superscripts; probability notes explain statistical significance of certain values.

  • Is the figure necessary?
  • Does the figure belong in the print and electronic versions of the article, or is it supplemental?
  • Is the figure simple, clean, and free of extraneous detail?
  • Is the figure title descriptive of the content of the figure? Is it written in italic title case and left aligned?
  • Are all elements of the figure clearly labeled?
  • Are the magnitude, scale, and direction of grid elements clearly labeled?
  • Are parallel figures or equally important figures prepared according to the same scale?
  • Are the figures numbered consecutively with Arabic numerals? Is the figure number bold and left aligned?
  • Has the figure been formatted properly? Is the font sans serif in the image portion of the figure and between sizes 8 and 14?
  • Are all abbreviations and special symbols explained?
  • If the figure has a legend, does it appear within or below the image? Are the legend’s words written in title case?
  • Are the figure notes in general, specific, and probability order? Are they double-spaced, left aligned, and in the same font as the paper?

  • Has written permission for print and electronic reuse been obtained? Is proper credit given in the figure caption?
  • Have all substantive modifications to photographic images been disclosed?
  • Are the figures being submitted in a file format acceptable to the publisher?
  • Have the files been produced at a sufficiently high resolution to allow for accurate reproduction?

What this handout is about.

This handout will describe how to use figures and tables to present complicated information in a way that is accessible and understandable to your reader.

Do I need a figure/table?

When planning your writing, it is important to consider the best way to communicate information to your audience, especially if you plan to use data in the form of numbers, words, or images that will help you construct and support your argument.  Generally speaking, data summaries may take the form of text, tables or figures. Most writers are familiar with textual data summaries and this is often the best way to communicate simple results. A good rule of thumb is to see if you can present your results clearly in a sentence or two. If so, a table or figure is probably unnecessary. If your data are too numerous or complicated to be described adequately in this amount of space, figures and tables can be effective ways of conveying lots of information without cluttering up your text. Additionally, they serve as quick references for your reader and can reveal trends, patterns, or relationships that might otherwise be difficult to grasp.

So what’s the difference between a table and a figure anyway?

Tables present lists of numbers or text in columns and can be used to synthesize existing literature, to explain variables, or to present the wording of survey questions. They are also used to make a paper or article more readable by removing numeric or listed data from the text. Tables are typically used to present raw data, not when you want to show a relationship between variables.

Figures are visual presentations of results. They come in the form of graphs, charts, drawings, photos, or maps.  Figures provide visual impact and can effectively communicate your primary finding. Traditionally, they are used to display trends and patterns of relationship, but they can also be used to communicate processes or display complicated data simply.  Figures should not duplicate the same information found in tables and vice versa.

Using tables

Tables are easily constructed using your word processor’s table function or a spread sheet program such as Excel. Elements of a table include the Legend or Title, Column Titles, and the Table Body (quantitative or qualitative data). They may also include subheadings and footnotes. Remember that it is just as important to think about the organization of tables as it is to think about the organization of paragraphs. A well-organized table allows readers to grasp the meaning of the data presented with ease, while a disorganized one will leave the reader confused about the data itself, or the significance of the data.

Title: Tables are headed by a number followed by a clear, descriptive title or caption. Conventions regarding title length and content vary by discipline. In the hard sciences, a lengthy explanation of table contents may be acceptable. In other disciplines, titles should be descriptive but short, and any explanation or interpretation of data should take place in the text. Be sure to look up examples from published papers within your discipline that you can use as a model. It may also help to think of the title as the “topic sentence” of the table—it tells the reader what the table is about and how it’s organized. Tables are read from the top down, so titles go above the body of the table and are left-justified.

Column titles: The goal of column headings is to simplify and clarify the table, allowing the reader to understand the components of the table quickly. Therefore, column titles should be brief and descriptive and should include units of analysis.

Table body: This is where your data are located, whether they are numerical or textual. Again, organize your table in a way that helps the reader understand the significance of the data. Be sure to think about what you want your readers to compare, and put that information in the column (up and down) rather than in the row (across). In other words, construct your table so that like elements read down, not across. When using numerical data with decimals, make sure that the decimal points line up. Whole numbers should line up on the right.

Other table elements

Tables should be labeled with a number preceding the table title; tables and figures are labeled independently of one another. Tables should also have lines demarcating different parts of the table (title, column headers, data, and footnotes if present). Gridlines or boxes should not be included in printed versions. Tables may or may not include other elements, such as subheadings or footnotes.

Quick reference for tables

Tables should be:

  • Centered on the page.
  • Numbered in the order they appear in the text.
  • Referenced in the order they appear in the text.
  • Labeled with the table number and descriptive title above the table.
  • Labeled with column and/or row labels that describe the data, including units of measurement.
  • Set apart from the text itself; text does not flow around the table.

Using figures

Figures can take many forms. They may be graphs, diagrams, photos, drawings, or maps. Think deliberately about your purpose and use common sense to choose the most effective figure for communicating the main point. If you want your reader to understand spatial relationships, a map or photograph may be the best choice. If you want to illustrate proportions, experiment with a pie chart or bar graph. If you want to illustrate the relationship between two variables, try a line graph or a scatterplot (more on various types of graphs below). Although there are many types of figures, like tables, they share some typical features: captions, the image itself, and any necessary contextual information (which will vary depending on the type of figure you use).

Figure captions

Figures should be labeled with a number followed by a descriptive caption or title. Captions should be concise but comprehensive. They should describe the data shown, draw attention to important features contained within the figure, and may sometimes also include interpretations of the data. Figures are typically read from the bottom up, so captions go below the figure and are left-justified.

The most important consideration for figures is simplicity. Choose images the viewer can grasp and interpret clearly and quickly. Consider size, resolution, color, and prominence of important features. Figures should be large enough and of sufficient resolution for the viewer to make out details without straining their eyes. Also consider the format your paper will ultimately take. Journals typically publish figures in black and white, so any information coded by color will be lost to the reader.  On the other hand, color might be a good choice for papers published to the web or for PowerPoint presentations. In any case, use figure elements like color, line, and pattern for effect, not for flash.

Additional information

Figures should be labeled with a number preceding the table title; tables and figures are numbered independently of one another. Also be sure to include any additional contextual information your viewer needs to understand the figure. For graphs, this may include labels, a legend explaining symbols, and vertical or horizontal tick marks. For maps, you’ll need to include a scale and north arrow. If you’re unsure about contextual information, check out several types of figures that are commonly used in your discipline.

Quick reference for figures

Figures should be:

  • Labeled (under the figure) with the figure number and appropriate descriptive title (“Figure” can be spelled out [“Figure 1.”] or abbreviated [“Fig. 1.”] as long as you are consistent).
  • Referenced in the order they appear in the text (i.e. Figure 1 is referenced in the text before Figure 2 and so forth).
  • Set apart from the text; text should not flow around figures.

Every graph is a figure but not every figure is a graph. Graphs are a particular set of figures that display quantitative relationships between variables. Some of the most common graphs include bar charts, frequency histograms, pie charts, scatter plots, and line graphs, each of which displays trends or relationships within and among datasets in a different way. You’ll need to carefully choose the best graph for your data and the relationship that you want to show. More details about some common graph types are provided below. Some good advice regarding the construction of graphs is to keep it simple. Remember that the main objective of your graph is communication. If your viewer is unable to visually decode your graph, then you have failed to communicate the information contained within it.

Pie charts are used to show relative proportions, specifically the relationship of a number of parts to the whole. Use pie charts only when the parts of the pie are mutually exclusive categories and the sum of parts adds up to a meaningful whole (100% of something). Pie charts are good at showing “big picture” relationships (i.e. some categories make up “a lot” or “a little” of the whole thing). However, if you want your reader to discern fine distinctions within your data, the pie chart is not for you. Humans are not very good at making comparisons based on angles. We are much better at comparing length, so try a bar chart as an alternative way to show relative proportions. Additionally, pie charts with lots of little slices or slices of very different sizes are difficult to read, so limit yours to 5-7 categories.

The chart shows the relative proportion of fifteen elements in Martian soil, listed in order from “most” to “least”: oxygen, silicon, iron, magnesium, calcium, sulfur, aluminum, sodium, potassium, chlorine, helium, nitrogen, phosphorus, beryllium, and other. Oxygen makes up about ⅓ of the composition, while silicon and iron together make up about ¼. The remaining slices make up smaller proportions, but the percentages aren’t listed in the key and are difficult to estimate. It is also hard to distinguish fifteen colors when comparing the pie chart to the color coded key.

The chart shows the relative proportion of five leisure activities of Venusian teenagers (tanning, trips to Mars, reading, messing with satellites, and stealing Earth cable). Although each of the five slices are about the same size (roughly 20% of the total), the percentage of Venusian teenagers engaging in each activity varies widely (tanning: 80%, trips to Mars: 40%, reading: 12%, messing with satellites: 30%, stealing Earth cable: 77%). Therefore, there is a mismatch between the labels and the actual proportion represented by each activity (in other words, if reading represents 12% of the total, its slice should take up 12% of the pie chart area), which makes the representation inaccurate. In addition, the labels for the five slices add up to 239% (rather than 100%), which makes it impossible to accurately represent this dataset using a pie chart.

Bar graphs are also used to display proportions. In particular, they are useful for showing the relationship between independent and dependent variables, where the independent variables are discrete (often nominal) categories. Some examples are occupation, gender, and species. Bar graphs can be vertical or horizontal. In a vertical bar graph the independent variable is shown on the x axis (left to right) and the dependent variable on the y axis (up and down). In a horizontal one, the dependent variable will be shown on the horizontal (x) axis, the independent on the vertical (y) axis. The scale and origin of the graph should be meaningful. If the dependent (numeric) variable has a natural zero point, it is commonly used as a point of origin for the bar chart. However, zero is not always the best choice. You should experiment with both origin and scale to best show the relevant trends in your data without misleading the viewer in terms of the strength or extent of those trends.

The graph shows the number of male and female spaceship crew members for five different popular television series: Star Trek (1965), Battlestar (1978), Star Trek: TNG (1987), Stargate SG-1 (1997), and Firefly (2002). Because the television series are arranged chronologically on the x-axis, the graph can also be used to look for trends in these numbers over time.

Although the number of crew members for each show is similar (ranging from 9 to 11), the proportion of female and male crew members varies. Star Trek has half as many female crew members as male crew members (3 and 6, respectively), Battlestar has fewer than one-fourth as many female crew members as male crew members (2 and 9, respectively), Star Trek: TNG has four female crew members and six male crew members, Stargate SG-1 has less than one-half as many female crew members as male crew members (3 and 7, respectively), and Firefly has four female and five male crew members.

Frequency histograms/distributions

Frequency histograms are a special type of bar graph that show the relationship between independent and dependent variables, where the independent variable is continuous, rather than discrete. This means that each bar represents a range of values, rather than a single observation. The dependent variables in a histogram are always numeric, but may be absolute (counts) or relative (percentages). Frequency histograms are good for describing populations—examples include the distribution of exam scores for students in a class or the age distribution of the people living in Chapel Hill. You can experiment with bar ranges (also known as “bins”) to achieve the best level of detail, but each range or bin should be of uniform width and clearly labeled.

XY scatter plots

Scatter plots are another way to illustrate the relationship between two variables. In this case, data are displayed as points in an x,y coordinate system, where each point represents one observation along two axes of variation. Often, scatter plots are used to illustrate correlation between two variables—as one variable increases, the other increases (positive correlation) or decreases (negative correlation). However, correlation does not necessarily imply that changes in one variable cause changes in the other. For instance, a third, unplotted variable may be causing both. In other words, scatter plots can be used to graph one independent and one dependent variable, or they can be used to plot two independent variables. In cases where one variable is dependent on another (for example, height depends partly on age), plot the independent variable on the horizontal (x) axis, and the dependent variable on the vertical (y) axis. In addition to correlation (a linear relationship), scatter plots can be used to plot non-linear relationships between variables.

The scatter plot shows the relationship between temperature (x-axis, independent variable) and the number of UFO sightings (y-axis, dependent variable) for 53 separate data points. The temperature ranges from about 0°F and 120°F, and the number of UFO sightings ranges from 1 to 10. The plot shows a low number of UFO sightings (ranging from 1 to 4) at temperatures below 80°F and a much wider range of the number of sightings (from 1 to 10) at temperatures above 80°F. It appears that the number of sightings tends to increase as temperature increases, though there are many cases where only a few sightings occur at high temperatures.

XY line graphs

Line graphs are similar to scatter plots in that they display data along two axes of variation. Line graphs, however, plot a series of related values that depict a change in one variable as a function of another, for example, world population (dependent) over time (independent). Individual data points are joined by a line, drawing the viewer’s attention to local change between adjacent points, as well as to larger trends in the data. Line graphs are similar to bar graphs, but are better at showing the rate of change between two points. Line graphs can also be used to compare multiple dependent variables by plotting multiple lines on the same graph.

The line graph shows the age (in years) of the actor of each Doctor Who regeneration for the first through the eleventh regeneration. The ages range from a maximum of about 55 in the first regeneration to a minimum of about 25 in the eleventh regeneration. There is a downward trend in the age of the actors over the course of the eleven regenerations.

General tips for graphs

Strive for simplicity. Your data will be complex. Don’t be tempted to convey the complexity of your data in graphical form. Your job (and the job of your graph) is to communicate the most important thing about the data. Think of graphs like you think of paragraphs—if you have several important things to say about your data, make several graphs, each of which highlights one important point you want to make.

Strive for clarity. Make sure that your data are portrayed in a way that is visually clear. Make sure that you have explained the elements of the graph clearly. Consider your audience. Will your reader be familiar with the type of figure you are using (such as a boxplot)? If not, or if you’re not sure, you may need to explain boxplot conventions in the text. Avoid “chartjunk.” Superfluous elements just make graphs visually confusing. Your reader does not want to spend 15 minutes figuring out the point of your graph.

Strive for accuracy. Carefully check your graph for errors. Even a simple graphical error can change the meaning and interpretation of the data. Use graphs responsibly. Don’t manipulate the data so that it looks like it’s saying something it’s not—savvy viewers will see through this ruse, and you will come off as incompetent at best and dishonest at worst.

How should tables and figures interact with text?

Placement of figures and tables within the text is discipline-specific. In manuscripts (such as lab reports and drafts) it is conventional to put tables and figures on separate pages from the text, as near as possible to the place where you first refer to it. You can also put all the figures and tables at the end of the paper to avoid breaking up the text. Figures and tables may also be embedded in the text, as long as the text itself isn’t broken up into small chunks. Complex raw data is conventionally presented in an appendix. Be sure to check on conventions for the placement of figures and tables in your discipline.

You can use text to guide the reader in interpreting the information included in a figure, table, or graph—tell the reader what the figure or table conveys and why it was important to include it.

When referring to tables and graphs from within the text, you can use:

  • Clauses beginning with “as”: “As shown in Table 1, …”
  • Passive voice: “Results are shown in Table 1.”
  • Active voice (if appropriate for your discipline): “Table 1 shows that …”
  • Parentheses: “Each sample tested positive for three nutrients (Table 1).”

Writing an essay ? It may enhance your argument to include some images, as long as they’re directly relevant to the essay’s narrative. But how do you format images in an essay? Read on for tips on inserting and organizing images, creating captions, and referencing.

Inserting Images

To insert an image into the text using Microsoft Word:

●  Place the cursor where you want to add a picture.

●  Go to Insert > Pictures .

●  Click on This Device to add pictures from your own computer or select Online Pictures to search for a picture from the internet.

●  Select the image you wish to use and click Insert .

Organizing Images

There are two common methods of organizing images in your essay: you can either place them next to the paragraph where they are being discussed (in-text), or group them all together at the end of the essay (list of figures). It can be clearer to display images in-text, but remember to refer to your university style guide for its specifications on formatting images.

Whichever method you decide upon, always remember to refer directly to your images in the text of your essay. For example:

●  An example of Cubism can be seen in Figure 1.

●  Cubist paintings have been criticized for being overly abstract (see Figure 1).

●  Many paintings of this style, including those by Picasso (Figure 1), are very abstract.

Every image that you include in your essay needs to have a caption. This is so that the reader can identify the image and where it came from. Each caption should include the following:

●  A label (e.g., Figure 1 ).

●  A description of the image, such as “Picasso’s Guernica ,” or “ Guernica : One of Picasso’s most famous works.”

●  The source of the image. Even if you have created the image yourself, you should attribute it correctly (for example, “photo by author”).

Creating Captions Using Microsoft Word

If you are using Word, it’s very simple to add a caption to an image. Simply follow the steps below:

●  Click on the image.

●  Open the References toolbar and click Insert Caption .

You can also add a caption manually.

Referencing Captions

At this point, you’ll need to refer to your style guide again to check which referencing system you’re using. As mentioned above, all sources should be clearly identified within the caption for the image. However, the format for captions will vary depending on your style guide. Here, we give two examples of common style guides:

  • APA 7th Edition

The format for a caption in APA style is as follows:

Note. By Creator’s Initials, Last Name (Year), format. Site Name (or Museum, Location). URL

The image format refers to whether it’s a photograph, painting, or map you are citing. If you have accessed the image online, then you should give the site name, whereas if you have viewed the image in person, you should state the name and location of the museum. The figure number and title should be above the image, as shown:

If you were to refer to the image in the text of your essay, simply state the creator’s last name and year in parentheses:

(Picasso, 1937).

Remember that you should also include the details of the image in your reference list .

MLA style dictates that an image caption should be centered, and each figure labeled as “Fig.” and numbered. You then have two options for completing the caption:

1. Follow the Works Cited format for citing an image, which is as follows:

Creator’s Last Name, First Name. “Image Title.” Website Name , Day Month Year, URL.

2. Provide key information about the source, such as the creator, title, and year.

In this case, we have followed option 1:

When referring to the image in the text of the essay, you need only cite the creator’s last name in parentheses:

When you’re writing an essay that includes a book title, it can be confusing to write the title correctly. However, it’s really easy once you know the rules. How you write the title will vary a little bit depending on the style your instructor assigns and if you are typing or handwriting the essay. Luckily, it's easy to follow the rules for writing a book name in an essay.

Typing an Essay in MLA or Chicago Style Format

Step 1 Capitalize the first letter of all nouns, verbs, and adjectives in the book name.

  • For example, you would write To Kill a Mockingbird , The Lord of the Rings , or Wuthering Heights .

Step 2 Avoid capitalizing articles, prepositions, or coordinating conjunctions.

  • If you have the book name in front of you, you can just copy it down as it is printed.
  • Articles include a, an, and the.
  • Prepositions include at, in, on, of, about, since, from, for, until, during, over, above, under, underneath, below, beneath, near, by, next to, between, among, and opposite.
  • Coordinating conjunctions include the FANBOYS, which are for, and, not, but, or, yet, and

Step 3 Include punctuation in the italics if it’s part of the title.

  • For example, you would write the name of William Faulkner’s novel Absalom, Absalom! with both the comma and the exclamation point in italics.

Step 4 Highlight the book name.

  • If the highlight bar goes away, try again, making sure that you don’t click anywhere on the page after you highlight the book name.

Step 5 Click the italicize icon to format the title.

  • Alternatively, you can press the italicize icon before you type the title.
  • If you’re using Microsoft Word to type your essay, the italicize key may appear if you hover over the highlighted book name.

Step 6 Left click your mouse on another area of the document.

  • If the next word after your title appears italicized when you resume typing, simply highlight it and click the italicize icon to remove the formatting.

Step 7 Use quotation marks instead of italics if the book is part of an anthology.

  • For example, The Lord of the Rings trilogy is sometimes published in one volume. In this case, you could write the name of the first novel as "The Fellowship of the Ring" when citing it in an essay.

Typing an Essay in APA Format

Step 1 Capitalize the first word and all words longer than 4 letters.

  • Capitalize the first letter of the words, not the entire word.
  • If the word is a two-part hyphenated word in the title, you should capitalize both words. For example, you would write Blue River: The Trial of a Mayor-Elect .
  • If there is a dash or colon in the title, you should capitalize the word after the punctuation, regardless of how long the word is. As above, you would write Blue River: The Trial of a Mayor-Elect .

Step 2 Include any punctuation in the italics if it’s part of the book name.

  • For example, you would write Philip K. Dick’s Do Androids Dream of Electric Sheep? with the question mark italicized.

Step 3 Highlight the title.

  • If the book name is not highlighted, left click and drag your cursor again, making sure that you don’t click again anywhere on the page.

Step 4 Click the italicize icon to change the format of the title.

  • If you are using Microsoft Word, the italics icon may appear when you hover over the highlighted book title. It’s okay to click this key.

Step 5 Move your cursor off of the title.

Handwriting an Essay

Step 1 Capitalize the words according to the style format you are using.

  • For MLA and Chicago style essays, capitalize the first word of the book name and every word other than articles, prepositions, or coordinating conjunctions. For example, write The Lord of the Rings .
  • If you’re using APA style, capitalize the first word and all words longer than 4 letters. [9] X Research source This means you would write Public Policy in Local Government .

Step 2 Underline the complete title.

  • If you’re writing on lined paper, it may help to follow along the line of the paper. However, make sure your line is dark enough so that your instructor will see that you properly underlined the book name.

Step 3 Underline punctuation if it’s part of the title.

  • For example, you would write Judy Blume’s Are You There, God? It’s Me, Margaret by underlining the punctuation marks as well as the words.

A figure may be a chart, a graph, a photograph, a drawing, or any other illustration or nontextual depiction. Any type of illustration or image other than a table is referred to as a figure.

Figure Components

  • Number:  The figure number (e.g., Figure 1 ) appears above the figure in bold (no period finishing).
  • Title: The figure title appears one double-spaced line below the figure number in Italic Title Case  (no period finishing).
  • Image: The image portion of the figure is the chart, graph, photograph, drawing, or illustration itself.
  • Legend: A figure legend, or key, if present, should be positioned within the borders of the figure and explain any symbols used in the figure image.
  • Note: A note may appear below the figure to describe contents of the figure that cannot be understood from the figure title, image, and/or legend alone (e.g., definitions of abbreviations, copyright attribution). Not all figures include notes. Notes are flush left, non-italicised. If present they begin with Note. (italicised, period ending). The notes area will include reference information if not an original figure, and copyright information as required.

General rules

  • In the text, refer to every figure by its number, no italics, but with a capital "F" for "Figure". For example, "As shown in Figure 1, ..." 
  • There are two options for the placement of figures in a paper. The first option is to place all figures on separate pages after the reference list. The second option is to embed each figure within the text.
  • If you reproduce or adapt a figure from another source (e.g., an image you found on the internet), you should include a copyright attribution in the figure note, indicating the origin of the reproduced or adapted material, in addition to a reference list entry for the work. Include a permission statement (Reprinted or Adapted with permission) only if you have sought and obtained permission to reproduce or adapt material in your figure. A permission statement is not required for material in the public domain or openly licensed material. For student course work, AUT assignments and internal assessments, a permission statement is also not needed, but copyright attribution is still required.
  • Important note for postgraduate students and researchers: If you wish to reproduce or adapt figures that you did not create yourself in your thesis, dissertation, exegesis, or other published work, you must obtain permission from the copyright holder/s, unless the figure is in the public domain (copyright free), or licensed for use with a Creative Commons or other open license. Works under a  Creative Commons licence  should be cited accordingly. See Using works created by others for more information.

Not every reference to an artwork needs a reference list entry. For example, if you refer to a famous painting, as below, it would not need a reference.

Finding image details for your figure caption or reference

  • clicking on or hovering your mouse over the image
  • looking at the bottom of the image
  • looking at the URL
  • If there is no title, create a short descriptive one yourself and put it in square brackets e.g. [...]

Instead, Asian Americans’ lived experiences are in part shaped by where they were born, how connected they are to their family’s ethnic origins, and how others – both Asians and non-Asians – see and engage with them in their daily lives. Yet despite diverse experiences, backgrounds and origins, shared experiences and common themes emerged when we asked: “What does it mean to be Asian in America?”

In the fall of 2021, Pew Research Center undertook the largest focus group study it had ever conducted – 66 focus groups with 264 total participants – to hear Asian Americans talk about their lived experiences in America. The focus groups were organized into 18 distinct Asian ethnic origin groups, fielded in 18 languages and moderated by members of their own ethnic groups. Because of the pandemic, the focus groups were conducted virtually, allowing us to recruit participants from all parts of the United States. This approach allowed us to hear a diverse set of voices – especially from less populous Asian ethnic groups whose views, attitudes and opinions are seldom presented in traditional polling. The approach also allowed us to explore the reasons behind people’s opinions and choices about what it means to belong in America, beyond the preset response options of a traditional survey.

The terms “Asian,” “Asians living in the United States” and “Asian American” are used interchangeably throughout this essay to refer to U.S. adults who self-identify as Asian, either alone or in combination with other races or Hispanic identity.

“The United States” and “the U.S.” are used interchangeably with “America” for variations in the writing.

Multiracial participants are those who indicate they are of two or more racial backgrounds (one of which is Asian). Multiethnic participants are those who indicate they are of two or more ethnicities, including those identified as Asian with Hispanic background.

U.S. born refers to people born in the 50 U.S. states or the District of Columbia, Puerto Rico, or other U.S. territories.

Immigrant refers to people who were not U.S. citizens at birth – in other words, those born outside the U.S., Puerto Rico or other U.S. territories to parents who were not U.S. citizens. The terms “immigrant,” “first generation” and “foreign born” are used interchangeably in this report.  

Second generation refers to people born in the 50 states or the District of Columbia with at least one first-generation, or immigrant, parent.

The pan-ethnic term “Asian American” describes the population of about 22 million people living in the United States who trace their roots to more than 20 countries in East and Southeast Asia and the Indian subcontinent. The term was popularized by U.S. student activists in the 1960s and was eventually adopted by the U.S. Census Bureau. However, the “Asian” label masks the diverse demographics and wide economic disparities across the largest national origin groups (such as Chinese, Indian, Filipino) and the less populous ones (such as Bhutanese, Hmong and Nepalese) living in America. It also hides the varied circumstances of groups immigrated to the U.S. and how they started their lives there. The population’s diversity often presents challenges . Conventional survey methods typically reflect the voices of larger groups without fully capturing the broad range of views, attitudes, life starting points and perspectives experienced by Asian Americans. They can also limit understanding of the shared experiences across this diverse population.

Across all focus groups, some common findings emerged. Participants highlighted how the pan-ethnic “Asian” label used in the U.S. represented only one part of how they think of themselves. For example, recently arrived Asian immigrant participants told us they are drawn more to their ethnic identity than to the more general, U.S.-created pan-ethnic Asian American identity. Meanwhile, U.S.-born Asian participants shared how they identified, at times, as Asian but also, at other times, by their ethnic origin and as Americans.

Another common finding among focus group participants is the disconnect they noted between how they see themselves and how others view them. Sometimes this led to maltreatment of them or their families, especially at heightened moments in American history such as during Japanese incarceration during World War II, the aftermath of 9/11 and, more recently, the COVID-19 pandemic. Beyond these specific moments, many in the focus groups offered their own experiences that had revealed other people’s assumptions or misconceptions about their identity.

Another shared finding is the multiple ways in which participants take and express pride in their cultural and ethnic backgrounds while also feeling at home in America, celebrating and blending their unique cultural traditions and practices with those of other Americans.

This focus group project is part of a broader research agenda about Asians living in the United States. The findings presented here offer a small glimpse of what participants told us, in their own words, about how they identify themselves, how others see and treat them, and more generally, what it means to be Asian in America.

One of the topics covered in each focus group was how participants viewed their own racial or ethnic identity. Moderators asked them how they viewed themselves, and what experiences informed their views about their identity. These discussions not only highlighted differences in how participants thought about their own racial or ethnic background, but they also revealed how different settings can influence how they would choose to identify themselves. Across all focus groups, the general theme emerged that being Asian was only one part of how participants viewed themselves.

Many participants described a complicated relationship with the pan-ethnic labels “Asian” or “Asian American.” For some, using the term was less of an active choice and more of an imposed one, with participants discussing the disconnect between how they would like to identify themselves and the available choices often found in formal settings. For example, an immigrant Pakistani woman remarked how she typically sees “Asian American” on forms, but not more specific options. Similarly, an immigrant Burmese woman described her experience of applying for jobs and having to identify as “Asian,” as opposed to identifying by her ethnic background, because no other options were available. These experiences highlight the challenges organizations like government agencies and employers have in developing surveys or forms that ask respondents about their identity. A common sentiment is one like this:

“I guess … I feel like I just kind of check off ‘Asian’ [for] an application or the test forms. That’s the only time I would identify as Asian. But Asian is too broad. Asia is a big continent. Yeah, I feel like it’s just too broad. To specify things, you’re Taiwanese American, that’s exactly where you came from.”

Smaller ethnic groups default to ‘Asian’ since their groups are less recognizable

Other participants shared how their experiences in explaining the geographic location and culture of their origin country led them to prefer “Asian” when talking about themselves with others. This theme was especially prominent among those belonging to smaller origin groups such as Bangladeshis and Bhutanese. A Lao participant remarked she would initially say “Asian American” because people might not be familiar with “Lao.”

“​​[When I fill out] forms, I select ‘Asian American,’ and that’s why I consider myself as an Asian American. [It is difficult to identify as] Nepali American [since] there are no such options in forms. That’s why, Asian American is fine to me.”

But for many, ‘Asian’ as a label or identity just doesn’t fit

Many participants felt that neither “Asian” nor “Asian American” truly captures how they view themselves and their identity. They argue that these labels are too broad or too ambiguous, as there are so many different groups included within these labels. For example, a U.S.-born Pakistani man remarked on how “Asian” lumps many groups together – that the term is not limited to South Asian groups such as Indian and Pakistani, but also includes East Asian groups. Similarly, an immigrant Nepalese man described how “Asian” often means Chinese for many Americans. A Filipino woman summed it up this way:

“Now I consider myself to be both Filipino and Asian American, but growing up in [Southern California] … I didn’t start to identify as Asian American until college because in [the Los Angeles suburb where I lived], it’s a big mix of everything – Black, Latino, Pacific Islander and Asian … when I would go into spaces where there were a lot of other Asians, especially East Asians, I didn’t feel like I belonged. … In media, right, like people still associate Asian with being East Asian.”

Participants also noted they have encountered confusion or the tendency for others to view Asian Americans as people from mostly East Asian countries, such as China, Japan and Korea. For some, this confusion even extends to interactions with other Asian American groups. A Pakistani man remarked on how he rarely finds Pakistani or Indian brands when he visits Asian stores. Instead, he recalled mostly finding Vietnamese, Korean and Chinese items.

Among participants of South Asian descent, some identified with the label “South Asian” more than just “Asian.” There were other nuances, too, when it comes to the labels people choose. Some Indian participants, for example, said people sometimes group them with Native Americans who are also referred to as Indians in the United States. This Indian woman shared her experience at school:

“I love South Asian or ‘Desi’ only because up until recently … it’s fairly new to say South Asian. I’ve always said ‘Desi’ because growing up … I’ve had to say I’m the red dot Indian, not the feather Indian. So annoying, you know? … Always a distinction that I’ve had to make.”

Participants with multiethnic or multiracial backgrounds described their own unique experiences with their identity. Rather than choosing one racial or ethnic group over the other, some participants described identifying with both groups, since this more accurately describes how they see themselves. In some cases, this choice reflected the history of the Asian diaspora. For example, an immigrant Cambodian man described being both Khmer/Cambodian and Chinese, since his grandparents came from China. Some other participants recalled going through an “identity crisis” as they navigated between multiple identities. As one woman explained:

“I would say I went through an identity crisis. … It’s because of being multicultural. … There’s also French in the mix within my family, too. Because I don’t identify, speak or understand the language, I really can’t connect to the French roots … I’m in between like Cambodian and Thai, and then Chinese and then French … I finally lumped it up. I’m just an Asian American and proud of all my roots.”

In other cases, the choice reflected U.S. patterns of intermarriage. Asian newlyweds have the highest intermarriage rate of any racial or ethnic group in the country. One Japanese-origin man with Hispanic roots noted:

“So I would like to see myself as a Hispanic Asian American. I want to say Hispanic first because I have more of my mom’s culture in me than my dad’s culture. In fact, I actually have more American culture than my dad’s culture for what I do normally. So I guess, Hispanic American Asian.”

Other identities beyond race or ethnicity are also important

Focus group participants also talked about their identity beyond the racial or ethnic dimension. For example, one Chinese woman noted that the best term to describe her would be “immigrant.” Faith and religious ties were also important to some. One immigrant participant talked about his love of Pakistani values and how religion is intermingled into Pakistani culture. Another woman explained:

“[Japanese language and culture] are very important to me and ingrained in me because they were always part of my life, and I felt them when I was growing up. Even the word itadakimasu reflects Japanese culture or the tradition. Shinto religion is a part of the culture. They are part of my identity, and they are very important to me.”

For some, gender is another important aspect of identity. One Korean participant emphasized that being a woman is an important part of her identity. For others, sexual orientation is an essential part of their overall identity. One U.S.-born Filipino participant described herself as “queer Asian American.” Another participant put it this way:

“I belong to the [LGBTQ] community … before, what we only know is gay and lesbian. We don’t know about being queer, nonbinary. [Here], my horizon of knowing what genders and gender roles is also expanded … in the Philippines, if you’ll be with same sex, you’re considered gay or lesbian. But here … what’s happening is so broad, on how you identify yourself.”

Immigrant identity is tied to their ethnic heritage

Participants born outside the United States tended to link their identity with their ethnic heritage. Some felt strongly connected with their ethnic ties due to their citizenship status. For others, the lack of permanent residency or citizenship meant they have stronger ties to their ethnicity and birthplace. And in some cases, participants said they held on to their ethnic identity even after they became U.S. citizens. One woman emphasized that she will always be Taiwanese because she was born there, despite now living in the U.S.

For other participants, family origin played a central role in their identity, regardless of their status in the U.S. According to some of them, this attitude was heavily influenced by their memories and experiences in early childhood when they were still living in their countries of origin. These influences are so profound that even after decades of living in the U.S., some still feel the strong connection to their ethnic roots. And those with U.S.-born children talked about sending their kids to special educational programs in the U.S. to learn about their ethnic heritage.

“Yes, as for me, I hold that I am Khmer because our nationality cannot be deleted, our identity is Khmer as I hold that I am Khmer … so I try, even [with] my children today, I try to learn Khmer through Zoom through the so-called Khmer Parent Association.”

Navigating life in America is an adjustment

Many participants pointed to cultural differences they have noticed between their ethnic culture and U.S. culture. One of the most distinct differences is in food. For some participants, their strong attachment to the unique dishes of their families and their countries of origin helps them maintain strong ties to their ethnic identity. One Sri Lankan participant shared that her roots are still in Sri Lanka, since she still follows Sri Lankan traditions in the U.S. such as preparing kiribath (rice with coconut milk) and celebrating Ramadan.

For other participants, interactions in social settings with those outside their own ethnic group circles highlighted cultural differences. One Bangladeshi woman talked about how Bengalis share personal stories and challenges with each other, while others in the U.S. like to have “small talk” about TV series or clothes.

Many immigrants in the focus groups have found it is easier to socialize when they are around others belonging to their ethnicity. When interacting with others who don’t share the same ethnicity, participants noted they must be more self-aware about cultural differences to avoid making mistakes in social interactions. Here, participants described the importance of learning to “fit in,” to avoid feeling left out or excluded. One Korean woman said:

“Every time I go to a party, I feel unwelcome. … In Korea, when I invite guests to my house and one person sits without talking, I come over and talk and treat them as a host. But in the United States, I have to go and mingle. I hate mingling so much. I have to talk and keep going through unimportant stories. In Korea, I am assigned to a dinner or gathering. I have a party with a sense of security. In America, I have nowhere to sit, and I don’t know where to go and who to talk to.”

And a Bhutanese immigrant explained:

“In my case, I am not an American. I consider myself a Bhutanese. … I am a Bhutanese because I do not know American culture to consider myself as an American. It is very difficult to understand the sense of humor in America. So, we are pure Bhutanese in America.”

Language was also a key aspect of identity for the participants. Many immigrants in the focus groups said they speak a language other than English at home and in their daily lives. One Vietnamese man considered himself Vietnamese since his Vietnamese is better than his English. Others emphasized their English skills. A Bangladeshi participant felt that she was more accepted in the workplace when she does more “American” things and speaks fluent English, rather than sharing things from Bangladeshi culture. She felt that others in her workplace correlate her English fluency with her ability to do her job. For others born in the U.S., the language they speak at home influences their connection to their ethnic roots.

“Now if I go to my work and do show my Bengali culture and Asian culture, they are not going to take anything out of it. So, basically, I have to show something that they are interested in. I have to show that I am American, [that] I can speak English fluently. I can do whatever you give me as a responsibility. So, in those cases I can’t show anything about my culture.”

“Being bi-ethnic and tri-cultural creates so many unique dynamics, and … one of the dynamics has to do with … what it is to be Americanized. … One of the things that played a role into how I associate the identity is language. Now, my father never spoke Spanish to me … because he wanted me to develop a fluency in English, because for him, he struggled with English. What happened was three out of the four people that raised me were Khmer … they spoke to me in Khmer. We’d eat breakfast, lunch and dinner speaking Khmer. We’d go to the temple in Khmer with the language and we’d also watch videos and movies in Khmer. … Looking into why I strongly identify with the heritage, one of the reasons is [that] speaking that language connects to the home I used to have [as my families have passed away].”

Balancing between individualistic and collective thinking

For some immigrant participants, the main differences between themselves and others who are seen as “truly American” were less about cultural differences, or how people behave, and more about differences in “mindset,” or how people think . Those who identified strongly with their ethnicity discussed how their way of thinking is different from a “typical American.” To some, the “American mentality” is more individualistic, with less judgment on what one should do or how they should act . One immigrant Japanese man, for example, talked about how other Japanese-origin co-workers in the U.S. would work without taking breaks because it’s culturally inconsiderate to take a break while others continued working. However, he would speak up for himself and other workers when they are not taking any work breaks. He attributed this to his “American” way of thinking, which encourages people to stand up for themselves.

Some U.S.-born participants who grew up in an immigrant family described the cultural clashes that happened between themselves and their immigrant parents. Participants talked about how the second generation (children of immigrant parents) struggles to pursue their own dreams while still living up to the traditional expectations of their immigrant parents.

“I feel like one of the biggest things I’ve seen, just like [my] Asian American friends overall, is the kind of family-individualistic clash … like wanting to do your own thing is like, is kind of instilled in you as an American, like go and … follow your dream. But then you just grow up with such a sense of like also wanting to be there for your family and to live up to those expectations, and I feel like that’s something that’s very pronounced in Asian cultures.”

Discussions also highlighted differences about gender roles between growing up in America compared with elsewhere.

“As a woman or being a girl, because of your gender, you have to keep your mouth shut [and] wait so that they call on you for you to speak up. … I do respect our elders and I do respect hearing their guidance but I also want them to learn to hear from the younger person … because we have things to share that they might not know and that [are] important … so I like to challenge gender roles or traditional roles because it is something that [because] I was born and raised here [in America], I learn that we all have the equal rights to be able to speak and share our thoughts and ideas.”

U.S. born have mixed ties to their family’s heritage

“I think being Hmong is somewhat of being free, but being free of others’ perceptions of you or of others’ attempts to assimilate you or attempts to put pressure on you. I feel like being Hmong is to resist, really.” Pa Houa , documentary participant

How U.S.-born participants identify themselves depends on their familiarity with their own heritage, whom they are talking with, where they are when asked about their identity and what the answer is used for. Some mentioned that they have stronger ethnic ties because they are very familiar with their family’s ethnic heritage. Others talked about how their eating habits and preferred dishes made them feel closer to their ethnic identity. For example, one Korean participant shared his journey of getting closer to his Korean heritage because of Korean food and customs. When some participants shared their reasons for feeling closer to their ethnic identity, they also expressed a strong sense of pride with their unique cultural and ethnic heritage.

“I definitely consider myself Japanese American. I mean I’m Japanese and American. Really, ever since I’ve grown up, I’ve really admired Japanese culture. I grew up watching a lot of anime and Japanese black and white films. Just learning about [it], I would hear about Japanese stuff from my grandparents … myself, and my family having blended Japanese culture and American culture together.”

Meanwhile, participants who were not familiar with their family’s heritage showed less connection with their ethnic ties. One U.S.-born woman said she has a hard time calling herself Cambodian, as she is “not close to the Cambodian community.” Participants with stronger ethnic ties talked about relating to their specific ethnic group more than the broader Asian group. Another woman noted that being Vietnamese is “more specific and unique than just being Asian” and said that she didn’t feel she belonged with other Asians. Some participants also disliked being seen as or called “Asian,” in part because they want to distinguish themselves from other Asian groups. For example, one Taiwanese woman introduces herself as Taiwanese when she can, because she had frequently been seen as Chinese.

Some in the focus groups described how their views of their own identities shifted as they grew older. For example, some U.S.-born and immigrant participants who came to the U.S. at younger ages described how their experiences in high school and the need to “fit in” were important in shaping their own identities. A Chinese woman put it this way:

“So basically, all I know is that I was born in the United States. Again, when I came back, I didn’t feel any barrier with my other friends who are White or Black. … Then I got a little confused in high school when I had trouble self-identifying if I am Asian, Chinese American, like who am I. … Should I completely immerse myself in the American culture? Should I also keep my Chinese identity and stuff like that? So yeah, that was like the middle of that mist. Now, I’m pretty clear about myself. I think I am Chinese American, Asian American, whatever people want.”

Identity is influenced by birthplace

“I identified myself first and foremost as American. Even on the forms that you fill out that says, you know, ‘Asian’ or ‘Chinese’ or ‘other,’ I would check the ‘other’ box, and I would put ‘American Chinese’ instead of ‘Chinese American.’” Brent , documentary participant

When talking about what it means to be “American,” participants offered their own definitions. For some, “American” is associated with acquiring a distinct identity alongside their ethnic or racial backgrounds, rather than replacing them. One Indian participant put it this way:

“I would also say [that I am] Indian American just because I find myself always bouncing between the two … it’s not even like dual identity, it just is one whole identity for me, like there’s not this separation. … I’m doing [both] Indian things [and] American things. … They use that term like ABCD … ‘American Born Confused Desi’ … I don’t feel that way anymore, although there are those moments … but I would say [that I am] Indian American for sure.”

Meanwhile, some U.S.-born participants view being American as central to their identity while also valuing the culture of their family’s heritage.

Many immigrant participants associated the term “American” with immigration status or citizenship. One Taiwanese woman said she can’t call herself American since she doesn’t have a U.S. passport. Notably, U.S. citizenship is an important milestone for many immigrant participants, giving them a stronger sense of belonging and ultimately calling themselves American. A Bangladeshi participant shared that she hasn’t received U.S. citizenship yet, and she would call herself American after she receives her U.S. passport.

Other participants gave an even narrower definition, saying only those born and raised in the United States are truly American. One Taiwanese woman mentioned that her son would be American since he was born, raised and educated in the U.S. She added that while she has U.S. citizenship, she didn’t consider herself American since she didn’t grow up in the U.S. This narrower definition has implications for belonging. Some immigrants in the groups said they could never become truly American since the way they express themselves is so different from those who were born and raised in the U.S. A Japanese woman pointed out that Japanese people “are still very intimidated by authorities,” while those born and raised in America give their opinions without hesitation.

“As soon as I arrived, I called myself a Burmese immigrant. I had a green card, but I still wasn’t an American citizen. … Now I have become a U.S. citizen, so now I am a Burmese American.”

“Since I was born … and raised here, I kind of always view myself as American first who just happened to be Asian or Chinese. So I actually don’t like the term Chinese American or Asian American. I’m American Asian or American Chinese. I view myself as American first.”

“[I used to think of myself as] Filipino, but recently I started saying ‘Filipino American’ because I got [U.S.] citizenship. And it just sounds weird to say Filipino American, but I’m trying to … I want to accept it. I feel like it’s now marry-able to my identity.”

For others, American identity is about the process of ‘becoming’ culturally American

Immigrant participants also emphasized how their experiences and time living in America inform their views of being an “American.” As a result, some started to see themselves as Americans after spending more than a decade in the U.S. One Taiwanese man considered himself an American since he knows more about the U.S. than Taiwan after living in the U.S. for over 52 years.

But for other immigrant participants, the process of “becoming” American is not about how long they have lived in the U.S., but rather how familiar they are with American culture and their ability to speak English with little to no accent. This is especially true for those whose first language is not English, as learning and speaking it without an accent can be a big challenge for some. One Bangladeshi participant shared that his pronunciation of “hot water” was very different from American English, resulting in confusions in communication. By contrast, those who were more confident in their English skills felt they can better understand American culture and values as a result, leading them to a stronger connection with an American identity.

“[My friends and family tease me for being Americanized when I go back to Japan.] I think I seem a little different to people who live in Japan. I don’t think they mean anything bad, and they [were] just joking, because I already know that I seem a little different to people who live in Japan.”

“I value my Hmong culture, and language, and ethnicity, but I also do acknowledge, again, that I was born here in America and I’m grateful that I was born here, and I was given opportunities that my parents weren’t given opportunities for.”

During the focus group discussions about identity, a recurring theme emerged about the difference between how participants saw themselves and how others see them. When asked to elaborate on their experiences and their points of view, some participants shared experiences they had with people misidentifying their race or ethnicity. Others talked about their frustration with being labeled the “model minority.” In all these discussions, participants shed light on the negative impacts that mistaken assumptions and labels had on their lives.

All people see is ‘Asian’

For many, interactions with others (non-Asians and Asians alike) often required explaining their backgrounds, reacting to stereotypes, and for those from smaller origin groups in particular, correcting the misconception that being “Asian” means you come from one of the larger Asian ethnic groups. Several participants remarked that in their own experiences, when others think about Asians, they tend to think of someone who is Chinese. As one immigrant Filipino woman put it, “Interacting with [non-Asians in the U.S.], it’s hard. … Well, first, I look Spanish. I mean, I don’t look Asian, so would you guess – it’s like they have a vision of what an Asian [should] look like.” Similarly, an immigrant Indonesian man remarked how Americans tended to see Asians primarily through their physical features, which not all Asian groups share.

Several participants also described how the tendency to view Asians as a monolithic group can be even more common in the wake of the COVID-19 pandemic.

“The first [thing people think of me as] is just Chinese. ‘You guys are just Chinese.’ I’m not the only one who felt [this] after the COVID-19 outbreak. ‘Whether you’re Japanese, Korean, or Southeast Asian, you’re just Chinese [to Americans]. I should avoid you.’ I’ve felt this way before, but I think I’ve felt it a bit more after the COVID-19 outbreak.”

At the same time, other participants described their own experiences trying to convince others that they are Asian or Asian American. This was a common experience among Southeast Asian participants.

“I have to convince people I’m Asian, not Middle Eastern. … If you type in Asian or you say Asian, most people associate it with Chinese food, Japanese food, karate, and like all these things but then they don’t associate it with you.”

The model minority myth and its impact

“I’ve never really done the best academically, compared to all my other Asian peers too. I never really excelled. I wasn’t in honors. … Those stereotypes, I think really [have] taken a toll on my self-esteem.” Diane , documentary participant

Across focus groups, immigrant and U.S.-born participants described the challenges of the seemingly positive stereotypes of Asians as intelligent, gifted in technical roles and hardworking. Participants often referred to this as the “model minority myth.”

The label “model minority” was coined in the 1960s and has been used to characterize Asian Americans as financially and educationally successful and hardworking when compared with other groups. However, for many Asians living in the United States, these characterizations do not align with their lived experiences or reflect their socioeconomic backgrounds. Indeed, among Asian origin groups in the U.S., there are wide differences in economic and social experiences. 

Academic research on the model minority myth has pointed to its impact beyond Asian Americans and towards other racial and ethnic groups, especially Black Americans, in the U.S. Some argue that the model minority myth has been used to justify policies that overlook the historical circumstances and impacts of colonialism, slavery, discrimination and segregation on other non-White racial and ethnic groups.

Many participants noted ways in which the model minority myth has been harmful. For some, expectations based on the myth didn’t match their own experiences of coming from impoverished communities. Some also recalled experiences at school when they struggled to meet their teachers’ expectations in math and science.

“As an Asian person, I feel like there’s that stereotype that Asian students are high achievers academically. They’re good at math and science. … I was a pretty mediocre student, and math and science were actually my weakest subjects, so I feel like it’s either way you lose. Teachers expect you to fit a certain stereotype and if you’re not, then you’re a disappointment, but at the same time, even if you are good at math and science, that just means that you’re fitting a stereotype. It’s [actually] your own achievement, but your teachers might think, ‘Oh, it’s because they’re Asian,’ and that diminishes your achievement.”

Some participants felt that even when being Asian worked in their favor in the job market, they encountered stereotypes that “Asians can do quality work with less compensation” or that “Asians would not complain about anything at work.”

“There is a joke from foreigners and even Asian Americans that says, ‘No matter what you do, Asians always do the best.’ You need to get A, not just B-plus. Otherwise, you’ll be a disgrace to the family. … Even Silicon Valley hires Asian because [an] Asian’s wage is cheaper but [they] can work better. When [work] visa overflow happens, they hire Asians like Chinese and Indian to work in IT fields because we are good at this and do not complain about anything.”

Others expressed frustration that people were placing them in the model minority box. One Indian woman put it this way:

“Indian people and Asian people, like … our parents or grandparents are the ones who immigrated here … against all odds. … A lot of Indian and Asian people have succeeded and have done really well for themselves because they’ve worked themselves to the bone. So now the expectations [of] the newer generations who were born here are incredibly unrealistic and high. And you get that not only from your family and the Indian community, but you’re also getting it from all of the American people around you, expecting you to be … insanely good at math, play an instrument, you know how to do this, you know how to do that, but it’s not true. And it’s just living with those expectations, it’s difficult.”

Whether U.S. born or immigrants, Asians are often seen by others as foreigners

“Being only not quite 10 years old, it was kind of exciting to ride on a bus to go someplace. But when we went to Pomona, the assembly center, we were stuck in one of the stalls they used for the animals.” Tokiko , documentary participant

Across all focus groups, participants highlighted a common question they are asked in America when meeting people for the first time: “Where are you really from?” For participants, this question implied that people think they are “foreigners,” even though they may be longtime residents or citizens of the United States or were born in the country. One man of Vietnamese origin shared his experience with strangers who assumed that he and his friends are North Korean. Perhaps even more hurtful, participants mentioned that this meant people had a preconceived notion of what an “American” is supposed to look like, sound like or act like. One Chinese woman said that White Americans treated people like herself as outsiders based on her skin color and appearance, even though she was raised in the U.S.

Many focus group participants also acknowledged the common stereotype of treating Asians as “forever foreigners.” Some immigrant participants said they felt exhausted from constantly being asked this question by people even when they speak perfect English with no accent. During the discussion, a Korean immigrant man recalled that someone had said to him, “You speak English well, but where are you from?” One Filipino participant shared her experience during the first six months in the U.S.:

“You know, I spoke English fine. But there were certain things that, you know, people constantly questioning you like, oh, where are you from? When did you come here? You know, just asking about your experience to the point where … you become fed up with it after a while.”

U.S.-born participants also talked about experiences when others asked where they are from. Many shared that they would not talk about their ethnic origin right away when answering such a question because it often led to misunderstandings and assumptions that they are immigrants.

“I always get that question of, you know, ‘Where are you from?’ and I’m like, ‘I’m from America.’ And then they’re like, ‘No. Where are you from-from ?’ and I’m like, ‘Yeah, my family is from Pakistan,’ so it’s like I always had like that dual identity even though it’s never attached to me because I am like, of Pakistani descent.”

One Korean woman born in the U.S. said that once people know she is Korean, they ask even more offensive questions such as “Are you from North or South Korea?” or “Do you still eat dogs?”

In a similar situation, this U.S.-born Indian woman shared her responses:

“I find that there’s a, ‘So but where are you from?’ Like even in professional settings when they feel comfortable enough to ask you. ‘So – so where are you from?’ ‘Oh, I was born in [names city], Colorado. Like at [the hospital], down the street.’ ‘No, but like where are you from?’ ‘My mother’s womb?’”

Ignorance and misinformation about Asian identity can lead to contentious encounters

“I have dealt with kids who just gave up on their Sikh identity, cut their hair and groomed their beard and everything. They just wanted to fit in and not have to deal with it, especially [those] who are victim or bullied in any incident.” Surinder , documentary participant

In some cases, ignorance and misinformation about Asians in the U.S. lead to inappropriate comments or questions and uncomfortable or dangerous situations. Participants shared their frustration when others asked about their country of origin, and they then had to explain their identity or correct misunderstandings or stereotypes about their background. At other times, some participants faced ignorant comments about their ethnicity, which sometimes led to more contentious encounters. For example, some Indian or Pakistani participants talked about the attacks or verbal abuse they experienced from others blaming them for the 9/11 terrorist attacks. Others discussed the racial slurs directed toward them since the COVID-19 pandemic in 2020. Some Japanese participants recalled their families losing everything and being incarcerated during World War II and the long-term effect it had on their lives.

“I think like right now with the coronavirus, I think we’re just Chinese, Chinese American, well, just Asian American or Asians in general, you’re just going through the same struggles right now. Like everyone is just blaming whoever looks Asian about the virus. You don’t feel safe.”

“At the beginning of the pandemic, a friend and I went to celebrate her birthday at a club and like these guys just kept calling us COVID.”

“There [were] a lot of instances after 9/11. One day, somebody put a poster about 9/11 [in front of] my business. He was wearing a gun. … On the poster, it was written ‘you Arabs, go back to your country.’ And then someone came inside. He pointed his gun at me and said ‘Go back to your country.’”

“[My parents went through the] internment camps during World War II. And my dad, he was in high school, so he was – they were building the camps and then he was put into the Santa Anita horse track place, the stables there. And then they were sent – all the Japanese Americans were sent to different camps, right, during World War II and – in California. Yeah, and they lost everything, yeah.”

As focus group participants contemplated their identity during the discussions, many talked about their sense of belonging in America. Although some felt frustrated with people misunderstanding their ethnic heritage, they didn’t take a negative view of life in America. Instead, many participants – both immigrant and U.S. born – took pride in their unique cultural and ethnic backgrounds. In these discussions, people gave their own definitions of America as a place with a diverse set of cultures, with their ethnic heritage being a part of it.

Despite the challenges of adapting to life in America for immigrant participants or of navigating their dual cultural identity for U.S.-born ones, focus group participants called America their home. And while participants talked about their identities in different ways – ethnic identity, racial (Asian) identity, and being American – they take pride in their unique cultures. Many also expressed a strong sense of responsibility to give back or support their community, sharing their cultural heritage with others on their own terms.

“Right now it has been a little difficult. I think it has been for all Asians because of the COVID issue … but I’m glad that we’re all here [in America]. I think we should be proud to be here. I’m glad that our families have traveled here, and we can help make life better for communities, our families and ourselves. I think that’s really a wonderful thing. We can be those role models for a lot of the future, the younger folks. I hope that something I did in the last years will have impacted either my family, friends or students that I taught in other community things that I’ve done. So you hope that it helps someplace along the line.”

“I am very proud of my culture. … There is not a single Bengali at my workplace, but people know the name of my country. Maybe many years [later] – educated people know all about the country. So, I don’t have to explain that there is a small country next to India and Nepal. It’s beyond saying. People after all know Bangladesh. And there are so many Bengali present here as well. So, I am very proud to be a Bangladeshi.”

Where home is

When asked about the definition of home, some immigrant participants said home is where their families are located. Immigrants in the focus groups came to the United States by various paths, whether through work opportunities, reuniting with family or seeking a safe haven as refugees. Along their journey, some received support from family members, their local community or other individuals, while others overcame challenges by themselves. Either way, they take pride in establishing their home in America and can feel hurt when someone tells them to “go back to your country.” In response, one Laotian woman in her mid-40s said, “This is my home. My country. Go away.”

“If you ask me personally, I view my home as my house … then I would say my house is with my family because wherever I go, I cannot marry if I do not have my family so that is how I would answer.”

“[If somebody yelled at me ‘go back to your country’] I’d feel angry because this is my country! I live here. America is my country. I grew up here and worked here … I’d say, ‘This is my country! You go back to your country! … I will not go anywhere. This is my home. I will live here.’ That’s what I’d say.”

‘American’ means to blend their unique cultural and ethnic heritage with that in the U.S.

Both U.S.-born and immigrant participants in the focus groups shared their experiences of navigating a dual cultural environment between their ethnic heritage and American culture. A common thread that emerged was that being Asian in America is a process of blending two or more identities as one.

“Yeah, I want to say that’s how I feel – because like thinking about it, I would call my dad Lao but I would call myself Laotian American because I think I’m a little more integrated in the American society and I’ve also been a little more Americanized, compared to my dad. So that’s how I would see it.”

“I mean, Bangladeshi Americans who are here, we are carrying Bangladeshi culture, religion, food. I am also trying to be Americanized like the Americans. Regarding language, eating habits.”

“Just like there is Chinese American, Mexican American, Japanese American, Italian American, so there is Indian American. I don’t want to give up Indianness. I am American by nationality, but I am Indian by birth. So whenever I talk, I try to show both the flags as well, both Indian and American flags. Just because you make new relatives but don’t forget the old relatives.”

This cross-ethnic, comparative qualitative research project explores the identity, economic mobility, representation, and experiences of immigration and discrimination among the Asian population in the United States. The analysis is based on 66 focus groups we conducted virtually in the fall of 2021 and included 264 participants from across the U.S. More information about the groups and analysis can be found in this appendix .

    The terms "Asian," "Asians living in the United States" and "Asian American" are used interchangeably throughout this essay to refer to U.S. adults who self-identify as Asian, either alone or in combination with other races or Hispanic identity. "The United States" and "the U.S." are used interchangeably with "America" for variations in the writing.
