The good news, however, is that there is still scope for your manuscript to be accepted subsequently—an outcome which is far more desirable than a complete rejection ! How can you improve the chances of your manuscript getting accepted upon resubmission? A well-written cover letter accompanying your manuscript can definitely help!

So, what is a cover letter?

A cover letter is a brief document that introduces your research, submitted along with the manuscript. Here are a few important points to note about it:

  • It is usually written and submitted by the corresponding author.
  • It is required by most peer-review journals.
  • It should include the name of the editor and the journal, the importance of the manuscript, and other relevant details.
  • It should include the date of and a brief statement to note the resubmission

What tips should you follow to write a cover letter for resubmission?

Here are some important tips you can follow to ensure that your cover letter is appreciated by the editors and prompts them to revisit your work:

The cover letter to the editor should be brief, formal, and polite. Even if the remarks on your manuscript are rude, do not get upset. Remember that they are not a criticism of you as an individual, but about your work. They are meant only to improve your work.

Provide accurate details

Include your manuscript details such as the title, the corresponding authors’ names, the manuscript number, and a brief statement to note the resubmission.

Draw attention to the changes made

Highlight all the changes you have made to the manuscript. This will form a positive impression on the editor and encourage him/her to consider that your resubmitted work is fit for publication. For example: “I have made every attempt to fully address these comments in the revised manuscript.”

Be positive in your approach

After mentioning the changes you have made to your work, acknowledge that your reviewer’s comments and feedback have helped you enrich your manuscript. For example: “I believe the additional analyses discussed above have helped to substantially improve my manuscript.”

Respond to specific comments

Make sure that you respond to every comment of the reviewers or the editor separately. In case you were unable to make the changes, explain or state the reasons underlying the same. For example: “This is a good point that has led to a rewrite of this section of the paper. As suggested, I agree that…”

Express gratitude

Include a note of thanks to the editor for the opportunity to improve and resubmit your manuscript. For example: “I would also like to take this opportunity to express my gratitude/thanks to the reviewers for the positive feedback and helpful comments that supported these revisions.”

Add a preview for the content

Do not forget to add an at-a-glance roadmap on how and where to check for revisions in the manuscript. It will make it easier for the editor or reviewers to go through the draft. For example: “Below, I have outlined how I have handled Reviewer 1’s comments. I have reiterated each suggestion in (bold/italics).”

Writing a Cover Letter and Response to Reviewers

The main purpose of your response to reviewers is to tell the editors how you have revised your manuscript since your initial submission.   You should address each suggested revision made by the reviewers and explain how you have chosen to respond.  The document should be formatted in such a way that the editors can easily track changes made to your manuscript.  It should be organized by reviewer (e.g., Reviewer 1, Reviewer 2) and address the reviews point-by-point.  Comments and responses should be clearly distinguishable.

For example:

1.Your manuscript contains grammatical errors.  For example, on page 3, you used “their” when you should  have used “there.”

We have thoroughly proofread the manuscript and corrected all grammatical errors.

2. The second paragraph of your introduction needs more details about findings by Owl and colleagues (2017).  Be sure to explain their operational definition of “school spirit.”

We agree with Reviewer 1’s assessment of this paragraph and have decided to expand upon it.  We have provided a more detailed summary of Owl and colleagues’ findings, including the operational definition they used for “school spirit” for their study.

1. On pages 1 and 6, you did not include the year of publication in an in-text citation.

We have included years of publication as they correspond to the sources listed on the references page.

2. Two of the sources in your references lack a hanging indentation.

This error has been corrected; all sources are correctly formatted with hanging indentations.

Unless otherwise specified in the email your received from the editors, you may choose whether or not to make any suggested changes.  However, even if you do not change something that has been suggested, you must still address the suggestion in your response, and you must provide a compelling argument for your decision.

1. “Theatre” should be spelled “theater” because “theatre” is not the standard American English spelling.  This is a repeating occurrence.

While Reviewer 1 is correct that most Americans do spell the word “theater,” scholars in my field would accept the use of “theatre” in the context in which I use it in this manuscript.  Thus, I have chosen not to change this spelling.

Additionally, you should:

  • Use a professional letter format (i.e., address the correct audience, state your purpose, and be signed by the author(s) of the manuscript) for your cover letter.
  • Use a professional tone (i.e., use polite wording throughout the cover letter and response to reviewers, including when making your case for choosing not to follow a reviewer’s suggestion).
  • Make sure you have made any changes both within the manuscript AND described them within your response.
  • Make all changes and resubmit your manuscript, cover letter, and response to reviewers within the time frame allotted by the editors.

The cover letter accompanying your journal submission is your chance to lobby on behalf of your manuscript. The letter is far from just a formality and should be written with the same care as your manuscript's text (if not more). Ultimately, your cover letter is designed to influence the decision of the editor to send your manuscript out for peer review. The letter will argue that your manuscript is a good fit for the journal you are submitting it to and highlight your most important findings. A cover letter should be written like a standard business letter :

Address the editor formally by name, if known. Include your contact information, as well. This information is probably available through the journal's online submission system, but it is proper to provide it in the cover letter, too.

Begin your cover letter with a paragraph that states the name of the manuscript and the names of the authors. You can also describe what type of manuscript your submission is (research article, review, case report, etc.). In this first paragraph and the next, describe the rationale behind your study and the major findings from your research. You can refer to prior work that you have published if it is directly related.

Next, write a short paragraph that explains why your manuscript would be a good fit for the journal. Do not simply state that your manuscript is “of interest to the field” or “novel.” Address specific aspects of the journal's Aims & Scope statement. If the journal expresses interest in research with a clinical application, be sure to highlight the importance of your work in terms of clinical implications. If the journal mentions that it focuses on nanostructured materials, explain how your work involved such materials. Even if your work is not a perfect fit for the journal, be sure to address some of the Aims & Scope statement, and explain why your manuscript would be of interest to the journal's readers.

Finally, close with a brief paragraph indicating the following:

  • The manuscript is original (i.e., you wrote it, not copied it)
  • No part of the manuscript has been published before, nor is any part of it under consideration for publication at another journal
  • There are no conflicts of interest to disclose
  • A list of potential reviewers (only if requested by the journal)
  • Any researchers who should NOT review your manuscript

Together, this information provides assurance to the editor that your manuscript merits consideration for publication in their journal and that you are interested specifically in their journal. Sometimes great science will be reviewed regardless of the cover letter, but a well written cover letter is useful for the vast majority of scientists who want to make their research stand out.

How to write an effective cover letter.

When authors submit their papers to Nature Computational Science , they have the option to upload a cover letter to accompany their submission. Interestingly, while most authors choose to upload one, many of the cover letters that we receive lack the sort of information that we are often looking for. Hence, we would like to use this Editorial to provide guidance to our authors and readers on what to include — and on what not to include — in a cover letter.

The cover letter provides an excellent opportunity to briefly discuss the importance of the submitted manuscript and why it is appropriate for the journal. While our editorial team consists of professional, full-time editors with diverse scientific backgrounds and PhD degrees, and who are fully capable of assessing various types of work, we encourage our authors to provide more information that can help us to further understand the importance of the problem being addressed, the novelty of the method and results, and the practical value of the proposed approach. Of course, it goes without saying that the manuscript itself should be clear on these aspects, but the cover letter provides more space for authors to point out related work and to explain in more detail the scientific advance reported in the paper.

It is important to note that cover letters are visible to the editors but not to referees. Accordingly, authors can (and should!) use cover letters to provide confidential information, such as conflicts of interest and suggestions of referees, and to identify any related manuscripts that are in press or that were submitted elsewhere. Authors can also indicate in the cover letter whether or not they have engaged in discussions about their work with one of our editors; this can be used by the chief editor when assigning a primary editor to the manuscript, for example.

Considerations regarding data and code availability are also useful to include in a cover letter. At Nature Computational Science , we see both data and code as essential aspects of a manuscript, and as a matter of fact, we perform code peer review . On that account, if there are any limitations on sharing data and code that editors should be aware of, this can be brought to our attention in the cover letter.

Of course, cover letters are not only used during the first stage of submission. When working on a revised version of a manuscript, authors can reply to our revision requests in a cover letter; they can also better explain which reviewers’ requests they addressed and which requests were not addressed (and why) in a more confidential manner. If authors decide to appeal against our decision on a manuscript, the cover letter should be used to explain in detail the scientific arguments for reconsideration.

Some words of caution are worth highlighting. While there is no specific word limit for cover letters, authors should be mindful to not overload editors with information. The text should be concise and lay out the main points that complement the submitted manuscript: authors should steer clear of repeating information that is already present in the abstract and introduction. In addition, there are some pieces of information that should be ideally avoided in a cover letter, such as endorsements from other researchers, statements overselling the proposed approach (no paradigm shifts, please!), and blunt comparisons with other papers published by the Nature Portfolio family: the focus should be primarily on the scientific arguments when explaining the significance of the research.

While some may consider cover letters an archaic form of communication, at Nature Computational Science we deem them to be an important asset to the submission process, and we encourage all of our authors to consider writing one when submitting their manuscripts.

When you submit a manuscript to a journal, you often must include a cover letter. The cover letter is a formal way to communicate with the editor of your chosen journal and is an excellent opportunity to highlight what makes your research new and publication-worthy. The objective of a manuscript cover letter is to compel the publication’s chief editor to accept the manuscript based on the understanding that the manuscript offers a solution to solve an unmet need in the specific field.

Why you need a cover letter for manuscript submission

  • To compel : Like writing a professional cover letter when applying for a job, a manuscript cover letter should be written persuasively to help point out all the noteworthy qualities of the manuscript. A well-written cover letter can help your paper reach the next stage following the submission, which is the peer-review stage.
  • To state importance : Specify what impact and contribution the manuscript can bring to the specific field. An effective method to do so is to emphasize the unmet need and show how the manuscript has resolved that unmet need.
  • To influence : The language of the cover letter should be written in a way that makes the publication feel special that they have been chosen to publish the manuscript.

What you should include in your cover letter

A manuscript cover letter should follow a clear structure to make sure the audience can read the content easily. Given its importance, it is worth spending some time writing a coherent and persuasive letter. It should include the following sections:

  • Opening remarks . Here you should include the date and then address the Editor-in-Chief by their title.
  • Inquiry request . Here you state the request, including the full title of the manuscript and at least the name of the first author (for example, something like “On behalf of my co-authors, I am submitting the original manuscript entitled [ title of the manuscript ] by [ first author et al. ] for consideration for publication in [ name of the Journal ]).Specify the type of paper you are submitting (e.g., review, research, case study, etc.). Remember that cover letters are separate files from your manuscript, so they should always include essential details like title and authors’ names. Here you should also add a reference to a past inquiry letter (if sent).
  • Background . This should be a high-level background of your topicto introduce why research in this area is important. For example, in the case of a biomedical research paper linked to a disease, you could state the number of people affected, the high health care cost, and the need for treatments.
  • Unmet need . Describe the unmet need (again, for biomedical research, this would be the unmet clinical need) and explain why more publications are needed.
  • Summary of the manuscript . This section should include a summary of the manuscript, clearly highlighting the key findings. Here you should also indicate why the reader of the journal would be interested in the work.
  • Author’s agreement . This section is important and should include something like“All authors have read, edited and contributed to the content of this manuscript. This work has not been previously published and is not being considered for publication elsewhere.”
  • Ending regards . Thank the Editor-in-Chief for their consideration and wrap the letter up. Although any author can correspond with the journal’s editorial staff, cover letters are usually written and signed by the corresponding author of the paper.

Mistakes to avoid

Providing a cover letter to accompany your manuscript submission can be extremely useful for you and for the journal editor. However, to ensure the editor give serious consideration to your publication, there are some mistakes to avoid.

  • Poor formatting, structure and grammar . This is the most important thing. Think about your letter as your manuscript’s (and yours) business card: you want to make a good impression. Before sending a cover letter to the journal of your choice, make sure it does not contain grammar, spelling, and punctuation errors. Additionally, it should be laid out in a nice and readable format and easy to follow. Avoid using too much jargon or acronyms and keep the language straightforward.
  • Overselling your work . While it is important to highlight the innovative nature of your research, it is equally important not to overvalue your work and sound arrogant.
  • Not adhering to the journal’s guidelines . Every journal has its own guidelines when it comes to manuscript preparation, and the same is true for the cover letter. Before you start to write, check your chosen journal’s guidelines carefully and make sure you adhere to what is requested. For example, some journals want the author to suggest potential reviewers or to include a shortlist of similar papers previously published by the journal. Some journals require that you include specific statements and disclosure (e.g., compliance with ethical standards, conflicts of interest, agreement to terms of submission, copyright sign-over, etc.). If you don’t follow their rule, it is not a first good impression.
  • Copying your abstract into the cover letter . They are two different things with two different objectives. The aim of the cover letter is to state the significance of the work and why it belongs to that specific journal.
  • Making it too “vague” . Remember, the editor will always have their readership in mind; therefore, you should not be vague and use a “copy-paste” cover letter. Instead, you should tailor it to the specific journal you are targeting and highlight why your work fits within the journal’s scope. You can usually find the scope of the journal on their website.
  • Claiming you are the first one showing something while in reality it has already been shown . This mistake is more common than you might think, and it will annoy the editor and make them question your entire work. Often these mistakes are made unintentionally, so make sure you have checked and double-checked the current literature before sending your manuscript. As every researcher knows, manuscript writing is a long process, and it could well be that you miss some just-off-the-press papers in the several months/years from the beginning of the project to the completion of the manuscript.
  • Providing a long biography of yourself and your career. Unless specifically requested, this should not be included in a cover letter.
  • Making the cover letter too long . As a general rule, a cover letter should not be longer than a single printed page. You must be selective to make your key points stand out and also not to waste a busy editor’s valuable time.

How to increase chances of your manuscript being accepted 

A great way to increase the chances of your manuscript being accepted is to send a manuscript inquiry letter to gauge interest and receive initial comments from the Editor-in-Chief prior to the actual submission of a manuscript. The objective of sending a manuscript inquiry letter is to influence the target journal to be interested in reviewing/accepting the manuscript. An inquiry letter should have three main sections: introduction and top-line message, a captivating synthesis of the manuscript, and the inquiry followed by a wrap-up.

A manuscript inquiry letter should catch the editor’s attention and communicate that your research is something new and innovative, which has the potential to change the field. Key words include “novel”, “state-of-the-art”, “exciting”, “first”, “first ever”, “never shown before”, “ground-breaking”, “potential paradigm shift”.

You should write the inquiry letter as soon as the target journal is identified, and the author group determines the key messages/data of the manuscript. On the other hand, you should write the cover letter when the manuscript is completed and ready for submission. It is always a good idea to ask an experienced and published colleague to read your manuscript inquiry and cover letter and give you honest feedback about them.

In this post, we discuss some of the important points to consider when preparing a cover letter to accompany the submission of your manuscript to a journal.

What is a cover letter and why is it important?

Most journals require a cover letter to be submitted when you submit a manuscript that you wish to be considered for publication. A common thing that authors sometimes do, however, is to treat the cover letter as an afterthought, something to be written quickly, perhaps just copying and pasting parts of the abstract. This is a mistake. The cover letter is a vital part of the submission process – it may even be the only part of your submission that a busy editor at a top journal will read!

Bearing this in mind, your cover letter must capture a reader’s attention. That way, they may be sufficiently interested to go on and read your abstract, and potentially your entire manuscript. It is therefore essential to spend some time preparing your cover letter.

Tips on how to prepare the perfect cover letter

  • Keep your cover letter brief – ideally, it should be no longer than one page.
  • Address your cover letter to the Editor-in-Chief of your target journal. Their name can be found on the journal’s website.
  • At the top of your letter, include the date, the Editor-in-Chief’s full name, and the full name of the journal. Make sure you use their correct title (for example Doctor or Professor) – and make sure you spell their name correctly!
  • The letter itself should begin with “Dear” and the title and name of the Editor-in-Chief.
  • Your cover letter should focus on what is original or unique about your work and the question or problem your research has addressed. Importantly, you should make it clear why your manuscript will be of interest to the readership of your target journal.
  • If you and your co-authors have no competing interests to declare, you should add a sentence saying this. You should also state that all authors have agreed to the manuscript being submitted, and that it is not under consideration for publication in another journal.
  • To end your cover letter, sign off with “Yours Sincerely”, followed by your title (for example Doctor or Professor) and your full name. This should be followed by your contact details – your professional email address will usually be sufficient.

Common errors to avoid when preparing your cover letter

  • Don’t be tempted to simply copy and paste some (or all!) of your abstract.
  • Don’t describe your manuscript as a “first draft”.
  • Don’t write “Please find attached…” Instead, write something like “We are writing with regard to our manuscript entitled “( the title of your manuscript )”.
  • Avoid using too much jargon or a lot of abbreviations or acronyms.
  • Check carefully for any spelling and grammar errors – ideally, have someone else proofread your cover letter before submitting it.

Instead, check to see whether the journal’s Instructions for Authors have any cover letter requirements (e.g. disclosures, statements, potential reviewers). Then, write a letter that explains why the editor would want to publish your manuscript. The following structure covers all the necessary points that need to be included.

  • If known, address the editor who will be assessing your manuscript by their name. Include the date of submission and the journal you are submitting to.
  • First paragraph: include the title of your manuscript and the type of manuscript it is (e.g. review, research, case study). Then briefly explain the background to your study, the question you sought out to answer and why.
  • Second paragraph: you should concisely explain what was done, the main findings and why they are significant.
  • Third paragraph: here you should indicate why the readers of the journal would be interested in the work. Take your cues from the journal’s aims and scope. For example if the journal requires that all work published has broad implications explain how your study fulfils this. It is also a good idea to include a sentence on the importance of the results to the field.
  • To conclude state the corresponding author and any journal specific requirements that need to be complied with (e.g. ethical standards).

TIP: All cover letters should contain these sentences:

  • We confirm that this manuscript has not been published elsewhere and is not under consideration by another journal.
  • All authors have approved the manuscript and agree with its submission to [insert the name of the target journal].

Submission checklist

Before submitting your manuscript, thoroughly check its quality one more time. Evaluate it critically—could anything be done better?

Be sure that:

  • The manuscript follows the Instructions for Authors
  • All files are in the correct file format and of the appropriate resolution or size
  • The spelling and grammar are correct
  • You have contact information for all authors
  • You have written a persuasive cover letter

Each letter to an editor is unique, so the following letters are only examples, but they will provide you with ideas about how to format and word your own replies to academic and scientific editors. The letters are completely fictional, with invented names and situations. The complete addresses may not be necessary if you’re communicating with an editor via email, as is so often the case these days, but I’ve included them to show the layout of a formal letter. For your own mailing address, it would be best to use university or department letterhead if available and provide your personal name, phone number and email address beneath the letterhead.

The first letter (A.1) posits that the editor is interested in the article and thinks it appropriate for the journal, but has pointed out a number of problems with the formatting, structure and referencing style of the paper as the reason for not accepting it. Whether or not the paper will be reconsidered or accepted if the necessary revisions are done remains uncertain, so the letter aims to confirm that the paper will be seriously reconsidered and ideally accepted if the necessary changes are made. It does this by thanking the editor for his helpful advice, indicating that the author understands the problems and is in the process of correcting them, and asking whether the editor would like to reconsider the paper for publication.

Assuming that the first letter received a positive response, the second letter (A.2) is designed to accompany the revised paper once all the necessary changes to formatting, structure and referencing have been made. It explains exactly what’s been done to correct the problems, addressing all of the concerns about the format, structure and references raised by the editor. It also explains one change that may prove problematic and offers an alternative solution. Finally, it verifies that a professional proofreader has checked the article and indicates a willingness on the part of the author to make any further changes that may be necessary to facilitate successful publication.

Letter a.2: resubmitting a paper after necessary revisions have been made.

March 15, 2020

Further to our correspondence a couple of weeks ago, I’m attaching the revised version of my article entitled “Effect of Changing Weather Patterns on Home Insurance Policies: Clients Left Out in the Cold?” I have now completed all of the changes you requested:

  • The numerical style of in-text referencing has been changed to author-date referencing in APA style.
  • The list of references has been arranged alphabetically by the last names of authors instead of numerically, and other changes to conform to APA style have been made to the references.
  • The article has been restructured to include separate Limitations and Conclusions sections.
  • All headings and subheadings have been adjusted to conform to the requirements indicated in the Journal of Changing Weather author guidelines, including the removal of numbers.
  • All nonstandard abbreviations and acronyms used in the paper have been defined on first use and used consistently thereafter.
  • Abbreviations used in each table have been defined in a note at the bottom of the table.
  • The vertical rules/lines have been removed from all three tables.
  • The tables are now attached as a separate file instead of embedded in the paper.

I should mention, however, that Table 3 seems a little crowded without the vertical lines separating the information in the columns, and I’m concerned that the presentation may not be as clear as it was with the lines. I see that the guidelines indicate that tables should be on a vertical/portrait page, but I also notice that a few articles in the printed version of the Journal of Changing Weather feature tables on a horizontal/landscape page, so perhaps that would be a good layout for increasing the clarity of Table 3. I’m certainly open to any suggestions you have for this table.

How to write a response to the reviewers of your manuscript

Training programmes for scientists usually include modules on writing a scientific manuscript but rarely pay attention to dealing with comments from reviewers. The two main outcomes of the decision process following submission of a manuscript to a journal are: 1) the journal rejects your manuscript; or 2) the journal shows an interest provided that you adequately deal with the comments of the reviewers (major or minor revision). But how do you deal with these comments and how do you write a rebuttal letter in which you deal with these comments? Is the “reviewer always right” and if not, how do you indicate this? In this article, some suggestions are provided for writing a rebuttal letter based on personal experiences, including my experience as Section Editor for Basic Science for the European Respiratory Journal . Whereas this article is focussed on writing rebuttals to comments on submitted manuscripts, some of its content may also be useful for writing rebuttals for, for example, grant writing.

How to write a response letter

Consider the following: you have submitted a manuscript to a scientific journal, awaited the response from the journal and then you get an e-mail saying that it is nice but not acceptable in its present form. Is this good news or bad news? Actually, it is good news because the journal is apparently interested, and manuscripts rarely get accepted without any comments and subsequent revisions. So, now you have read the comments from the editor and the reviewers. What do you need to do next?

It is essential that you “sleep on it” before starting to write your rebuttal. You should carefully read the accompanying letter from the editor again to find out what they have highlighted in the reviewers' comments and whether any additional points have been raised. Next, read the reviewers' comments again carefully and check the issues raised by the reviewer with the manuscript you submitted. If you feel that none of the comments are worth making changes to your manuscript, you are most likely wrong. Read the comments again and sleep on it again.

The next thing to do is to carefully discuss the comments, a reply and the performance of additional experiments (if applicable) with your co-authors. After you have done that, decided whether and which additional experiments are needed, and you have performed and analysed these experiments, you can start to work on your reply to the comments: the rebuttal letter. Actually, it may be better to start earlier (the sooner the better) because that usually will increase the quality of your response. You can use the outline below to structure your work on the response.

When writing your reply or rebuttal, it is best to keep in mind that the better you structure this, the easier it is for the editor and reviewers to see what you have done. In addition, it helps you not to forget any issue raised by the journal. Here is a suggested outline for writing your response.

  • Include a heading for every page with “Reply to the comments on manuscript [title of your manuscript] [manuscript ID number]” and “[your name] et al. ”
  • Write an introduction to your response to the comments and summarise major changes you have made, and include this with this response or use it for a separate cover letter for the Editor. Do not forget to thank the editor and reviewers for their efforts.
  • 1) Comment 1.1. (for comment 1 from reviewer 1) followed by a copy–paste of the comment or question, or a short summary of the point raised. If the reviewer's comments are not numbered, split the review into individual comments. You can use italics to highlight the comments from the reviewer.
  • 2) Reply 1.1. (the reply to comment 1 from reviewer 1). This is why this is often called a point-by-point reply to the comments.

Prepare this document in the early phase to structure how you handle the comments. In the beginning you can use the “reply” space to simply type what you think the reply should be ( e.g. with keywords) or whether additional experiments are (really) needed.

Here are some ground rules for the content of your reply.

  • Discuss the comments in detail in advance with your co-authors and always send the proposed reply to the comments to your co-authors before submitting it. Carefully consider their comments and suggestions to improve the quality of your rebuttal letter, and remember that you answer on behalf of them.
  • Carefully read the requirements from the journal for submitting a revised version ( e.g. marked-up version).
  • Realise that the reviewer has taken time to evaluate your manuscript and aims to help you to improve it (although it may sometimes appear otherwise). Be polite to the reviewer and editor, and do not be dismissive of their comments. Even if they appear to be making “stupid” remarks and you feel that “they have not understood your paper” or actually missed something. Please realise that this means that one of the key readers of your manuscript has not understood what you wanted to say, so you have to try harder. You can (and should) adapt the manuscript and answer by saying, “this has been clarified in the original manuscript on page x , but maybe we have not made this sufficiently clear. Therefore, we have now stressed this item on …”
  • Always be very specific in your response and address all points raised. A one-line reply is rarely sufficient. However, sometimes, in the case of, for example, an editorial comment or spelling error, you can answer “This has now been amended”, “We agree” or “We apologise for this omission”. If more than one reviewer has raised the same point, refer to this (“this point has been addressed in the reply to comment x of reviewer y ”). Consider including additional information, data or figures for the reviewer that were not included in the manuscript if it helps you to make your point. If you cannot address a point raised by the reviewer, explain why. If you feel that a certain comment is outside the scope of your study, please explain this. If you disagree with the reviewer (yes, this may happen) and/or think that an additional experiment or analysis is not needed, explain why. Carefully consider also mentioning this in the Discussion, for example, in the paragraph with limitations, since readers may share the reviewer's opinion. Never claim to have made changes if you have not done so.
  • If you have been asked to shorten some part of your manuscript, do so. You can even indicate by how much (words or percentage) you have shortened it.
  • Make life easy for the reviewer and the editor. Always indicate where you have made a change in your manuscript in response to the question/comments: “This is now addressed in the Discussion section of the revised manuscript on page x , line y .” If appropriate, cite relevant references in your reply.
  • The response that you write should be directed to the Editor and not to the Reviewers. You should write for instance “We agree with the reviewer …”rather than “We agree with you”. Always refer to the reviewer in third person.

Concluding remarks and further reading

We all know that rejection rates can be high, especially for high-profile journals. Always be aware that your resubmitted and revised manuscript may still be rejected. Writing a response or rebuttal letter, maybe performing additional experiments and revising your manuscript takes time, and there is usually also a deadline from the journal. Organising this process and making best use of the expertise of your co-authors (and the reviewers) increases your chances of being successful in getting your paper published. If your manuscript is rejected, either in its revised or original form, make sure to incorporate suggestions from the reviewers into the manuscript to make it better when you submit it to another journal.

  • Most journals require a cover letter to be submitted with a manuscript
  • Many ask that statements regarding funding, conflicts of interest, or copyright transfer be included in this letter – be sure to comply!
  • Some will ask for a brief overview of your paper – this is your opportunity to summarize your entire manuscript in one or two sentences! Leave out all background or introductory information, and simply state what you found and why it’s important.
  • If a journal accepts different types of articles (reviews, original articles, images), be sure to state what type of article you are submitting
  • Many journals ask authors to suggest reviewers or even editors for their manuscripts: take advantage of this! If you know experts in the field, especially if they are favorable to your hypotheses or studies, suggest them as reviewers for your manuscript. While reviews are still anonymous (the reviewers won’t know whose paper they are reviewing), the journal will appreciate the suggestion(s) as this saves them time and likely helps you with knowing your paper is in the hands of a colleague who knows the subject matter well. This will also likely help speed up the review process.
  • Close the letter by thanking the editor or journal for their consideration of your work
  • Place the letter on official department, division, or professional letterhead

Let it Set the Stage

In many ways, cover letters should provide background information and context to your resume, while simultaneously addressing how that resume addresses the specific requirements of the job opportunity. The cover letter is your opportunity to "set the stage" and to convince the hiring manager why your specific set of skills, experiences and interests will provide value to their team and its objectives.

Highlight Your Soft Skills

Tell Your Story

A cover letter is your opportunity to tell your story—tying your experience and personal interests into why you want a position and why you are the best candidate for it. Paint the picture of your journey and what about the position excites you personally and professionally. Similar to your resume, keep it short and sweet. No need to repeat what’s already on your resume. Recruiters and hiring managers don’t have time to comb through a novel, so you need to engage them with as few words as possible while also grabbing their attention.

Tailor Each Cover Letter to the Position You Are Applying

Be sure to research the role and customize your cover letter for each position, relating your experience to the particular role you are applying for. Personalization is key—research who you are sending the cover letter to and address the letter to them directly. End your letter with a call to action, stating you will follow up by phone or email if you haven’t heard from anyone. Follow ups are very important!

Keep it Concise but Compelling

A cover letter is your chance to speak directly to the hiring team and tell them why you are not only the best match for the position for which you are applying but also give them additional insight into yourself as an individual that is less visible from your experience.

A great cover letter should be attention grabbing and touch upon the qualities that make you stand out from others in the applicant pool, highlight both your recent and most distinguished accomplishments and drive home why you are the right person for the job. Professionalism is always important, but don’t be hesitant to put your voice into the letter to let your personality shine through. Research the company, understand where they currently are, where they are going and show why you are the right person to get them from point A to point B. Recruiters spend a lot of time reviewing applicants and making yourself stand apart from the crowd is key. Keep it concise but compelling!

Highlight the “Why”

Why are you applying to this company? Why do you want this position? Your cover letter should aim to answer the why behind applying for the job. Conveying an interest and excitement for working specifically for this job at this company, rather than a desire to get any job anywhere that will give you money, can go a long way. Show the company that they should hire you and your passion over someone that might have the skills needed for the job, but doesn’t care about the work as much as you do.
