Electronic thesis submission, general instructions.

Submitting your Electronic Thesis / Dissertation ( ETD ) is a quick and straightforward process. After your thesis supervisor has approved your thesis, follow the instructions below to submit your ETD documents to the digital library repository .

Please Note

The current ETD system invites you to order copies of your thesis online through ProQuest. Theses ordered through ProQuest will not be delivered until after your convocation; ProQuest will charge you in US dollars, and you will be liable for shipping costs and duty. An alternate option is available through the U of T Bookstore: contact Book Pod if you would like a print copy of your thesis. You are also free to choose another printing company. If the copy is for your unit’s library, please consult them about binding choice prior to placing an order.

Administrative Preliminaries

You can register as a digital library repository user at any time, but to submit an ETD , you must first provide the Graduate Program Completion Office with the following written confirmation (letter or email) from your supervisor (for editorial corrections) or the convenor of your Final Oral Examination Subcommittee (for minor revisions), that your thesis is in final form and approved.

If you are restricting the release of your thesis, you must provide us with a restrict release form, signed by your graduate unit chair (outlined in the following paragraph).

Embargoes on Thesis Release

Publication of your thesis by the University of Toronto is a requirement of your degree; it is U of T’s intention that there be no restriction on the distribution and publication of theses. Accordingly, theses will be released after each convocation, and will be freely available to the public in an online environment.

However, in exceptional cases, you may wish to consider delaying thesis publication. Typical reasons for embargo include:

  • currently seeking publication of part of your thesis in a journal, or publication of the thesis as a book
  • content of a sensitive nature in the thesis, the publication of which might endanger the wellbeing of the author or of persons associated with the work
  • a patent is in process

Discuss restriction with your supervisor and the chair of your graduate unit if you think restriction might be appropriate.

If you intend to restrict the release date of your ETD , please submit a restrict thesis release date form to SGS (dated and signed by your graduate unit chair). If applicable, include a copy bound inside the front cover of the bound paper copy for your graduate unit.

Prior to Submitting Your Electronic Thesis / Dissertation ( ETD )

Create a digital library repository account.

Log into the digital library repository by entering your student number and email address. You must use an official utoronto or graduate unit email account.

Select “Submit Thesis” and choose the appropriate collection to submit to.

File Format & Naming Convention

The main thesis file must be in PDF format. Before you start the submission process, create a PDF of the final approved version of your thesis.

You must use the following file naming convention:

lastname_firstname_middleinitial(s)_graduationyearmonth_degreedesignator_thesis.pdf

e.g., Smith_Lorie_L_201711_PhD_thesis.pdf

Supplementary files should follow the same naming convention:

e.g., Smith_Lorie_L_201711_PhD_datatables.exl

Stopping During the Submission Process

You can stop and save your work at any point in the submission process and resume your submission at a later date. Click the ‘cancel / save’ button which appears at the bottom of every ETD submission page. The data you have already entered will be stored until you come back to the submission.

If you accidentally exit from the submission process, you can always resume by re-entering the digital library repository .

You can cancel your submission at any point.

Submission Complete: What Next?

Congratulations! SGS will review your thesis and notify you once it is approved. If there is any problem with your submission, you will be given instructions. Please note that the timeline on this review varies depending on the time of year. The date your thesis is submitted is recorded in ProQuest for the reviewer to see. Upon submission, you will receive a message from [email protected] ; please do not reply to this email. If you have questions, consult the Office of Graduate Program Completion.

Publication & Distribution

Your thesis will be available online on the digital library repository and on the web approximately five to six weeks following convocation. These theses will have priority in many search engines. Theses will be uploaded to the University of Toronto Library’s T-Space at intervals, approximately two times per year.

The digital library repository (Proquest) will:

  • create an archival quality microfilm copy of the thesis for Library and Archives Canada
  • catalogue your thesis
  • publish the abstract in the ProQuest Dissertations & Theses (PQDT) database
  • make theses available in digital or paper format for a fee.

Proquest is considered an academic and not a commercial publisher.

After a period of two years, Library and Archives Canada may also make downloadable copies of theses available at no charge (or paper copies for a publication cost recovery fee).

Before electronic submission, this was the only way to obtain copies of theses apart from borrowing them from university libraries or contacting authors directly. You retain copyright to your thesis and may make it available on a personal website and pursue other sources of publication.

Continued Access to the U of T Proquest Thesis Submission Site

You will be able to view your thesis on the digital library repository a few weeks following convocation.

You will also have access to U of T’s T-Space with access to any collections, including the Theses collection. You are also welcome to become a contributor to other T-Space communities and / or register for updates.

As part of the T-Space repository, your thesis is assigned a persistent URL. This means that, unlike most URLs, this identifier will not have to be changed when the system migrates to new hardware, or when changes are made to the system. T-Space is committed to maintaining the integrity of this identifier so that you can confidently use it to refer to your item when citing it.

Our persistent URLs are registered with the Handle System, a comprehensive system for assigning, managing, and resolving persistent identifiers, known as “handles,” for digital objects and other resources on the Internet.

The Handle System is administered by the Corporation for National Research Initiatives (CNRI) , which promotes research in the public interest.

Copy, print, scan

Copying, printing, and scanning in Robarts Library is available from floors 1 – 5.

For similar facilities in other U of T libraries, please check their individual websites.

Copying and printing requires that you add funds to your TCard. More information about adding funds to cards. More information about costs for printing for different paper sizes .

Photocopying costs $0.10 per page. Find a photocopier  in the central libraries .

You must comply with the Provost's  Fair Dealing Guidelines when you photocopy copyright-protected works.

Most libraries have printers. Find a printer  in the central libraries . Most libraries accept your TCard or guest print/copy card at a cost of $0.15 per page for a black and white page, and colour is $1 per page.

Send a document to the printers from one of the library's computers or from your laptop  at selected locations. See also Printing tips .

  • Choose  Print  from the  File  menu.
  • Type a name for your print job in the dialog box that appears and click  Print . Your job has now been entered in the print queue.
  • Go to one of the print kiosk computers
  •  Swipe your TCard or guest card through the print-release card reader.
  • Select your print job from the list on the screen. The display will show the number of pages, the cost of printing it and the card balance.
  • Click  Print .
  • If you are printing in colour, release your job from the computer immediately next to the colour printer you chose.

Double-sided printing

All computers at U of T Libraries are defaulted to print double-sided.

To change to single-side printing:

  • Click  File  >  Print
  • Select the appropriate printer
  • Click  Properties  or  Preferences  depending on the program you are using
  • Click the  Finishing  tab
  • Under Document Options , change Print on Both Sides from Long Edge to  Off.
  • Click  OK
  • Review the rest of your printing options and click  Print .

Scanning is free at most libraries.  You will need a USB key to scan. Find a scanner at one of the central libraries or check with  individual libraries  about where their scanners are located.

Scanning & copyright policy

It is illegal to scan any images or text that are not your personal intellectual property unless you have the express written consent of the owner of that property. It is the responsibility of the person scanning the images or text to obtain any required permissions.

Publishing from your thesis before or after graduation

"Will repository submission affect my publishing plans?"

... this is a common question for someone looking to publish from their thesis before or after graduation.

Most journals welcome submissions based on a thesis or dissertation. Some may have additional requirements, such as to:

  • Let them know about the university’s requirement to make your thesis publicly available
  • Submit a manuscript that is substantially different than the thesis content
  • Embargo the thesis until after publication, etc.

Your steps will depend on the following scenarios:

Scenario 1 - you ARE NOT planning on publishing your thesis before or after graduation

In this case:

  • You can submit your thesis without an embargo
  • Your thesis will become publicly available in TSpace  and Library and Archives Canada after your convocation and will be widely indexed via search engines and indexes
  • Use the TSpace-generated permanent URL to share and cite your thesis - see example of such citation below

Scenario 2 - You ARE planning on publishing your thesis AFTER graduation

Most journals are interested in “original, previously unpublished” research. Some journals consider theses as a form of “prior publications”, others do not, and the majority does not have a clear definition. It will be best to check journal policy before you submit your thesis.

Nature Research will consider submissions containing material that has previously formed part of a PhD or other academic thesis which has been published according to the requirements of the institution awarding the qualification.

  • Journal’s website - usually under Information for Authors or Copyright / Permissions or Editorial Policy; or in the publication agreement if available online
  • If such information cannot be located online, contact the editors directly
  • If the journal requires that you place an embargo on your thesis until after publication, see the SGS instructions on how to request an embargo on your thesis .

Scenario 3 - You ARE planning on publishing (or have already published) from your thesis BEFORE graduation

You may want or be expected to publish parts of your thesis before your thesis is submitted, such as with an integrated/publication-based/sandwich thesis. The most important thing to keep in mind here is copyright. You own copyright of your written materials, and a publisher may require copyright transfer of your manuscript.

You need to ensure you retain certain rights or obtain permission in order to satisfy the university’s requirement of making your thesis openly accessible via TSpace, ProQuest and Library and Archives Canada (LAC). For more details on these repositories, see the  Review and Release  section of this guide.

Check whether the journal requires prior notification about U of T’s open access requirement for theses. Some journals want to be notified of this mandate whether or not they restrict the re-use of articles in theses.

Check whether the publisher requires copyright transfer . This should be stated on their website, in the publication agreement, or you can inquire directly with the journal.

If the publisher does not require copyright transfer , i.e. author retains copyright, then you can reuse your article/chapter in your thesis; no permission needed.

If the publisher requires copyright transfer , follow these steps:

Check if the publisher has special provisions for reusing your published work in your thesis. They may permit the inclusion of a non-final version, such as your submitted or accepted manuscript. See more below on understanding different article versions for sharing .

Include your article Author’s Original Manuscript (AOM) or Accepted Manuscript(AM) , depending on the embargo period in your thesis or dissertation. The Version of Record cannot be used. https://authorservices.taylorandfrancis.com/copyright-and-you/

Check if the article is distributed under a Creative Commons license. This may allow re-use.

If the publisher requires copyright transfer, has no special provisions and does not publish under a CC license, you will need to contact them to request permission to include your article in your thesis. You can:

  • Negotiate making the article available as part of the thesis in TSpace, ProQuest, and LAC Theses Portal; 
  • Request an embargo [link to Lisa’ section on embargo] if the publisher only permits open sharing after some time post-publication;
  • If permission is denied you may include in place of the chapter an abstract and a link to the article on the journal website.

Understanding different versions of a published article

A publisher may distinguish between the versions of an article that you may be allowed to include in your thesis:

  • Submitted manuscript / pre-print - version you initially send in (often permitted)
  • Accepted manuscript / post-print - version after peer review but before copyediting, layout editing, formatting, etc. (sometimes permitted; publisher may require an embargo/access restriction for a period of time)
  • Version of record / final publisher’s PDF - version that appears in the journal (many publishers do not permit sharing this version)

Which binding is recommended for a thesis?

Ordering Dissertations & Theses

Depending on the dissertation or thesis desired, UTD-affiliated users should first check the appropriate dissertations and theses database for availability. If a full-text digital copy of the dissertation or thesis is not available, the user will have several options to obtain the document:

  • Sometimes, dissertations and theses of outside universities are available to borrow via Interlibrary Loan (ILL) . Fill out the form and we will let you know if the document in question is available.  
  • In the case of UTD-only dissertations and theses, a paper or microfilm copy may be your only option. Search the catalog to find out the document's availability and call number. The library has equipment for viewing, scanning, and e-mailing or printing paper and microfilm documents.  
  • In some cases, it does not hurt to contact the author of the dissertation or thesis. You will likely have to conduct a web search for the author's contact information. If the author in question has a digital copy, it is not uncommon for him/her to share the document.  
  • Non-UTD-affiliated users may purchase a copy of the dissertation or thesis through  ProQuest's Dissertations Express   service. If a UTD-only dissertation or thesis is available only in paper or microform format, the user must come to the library to view and digitally scan or copy the document. The Eugene McDermott Library cannot scan/digitize and transmit its paper- or microform-only theses and dissertations to remote users.

Soft Binding  

Initially, you need to submit copies of your work to the faculty or department for the examiners’ review. 

We can print your dissertation, single or double-sided as required, in colour or black and white. The binding will be hot glued inside a standard plastic cover (thermal binding). The front cover will be transparent, while the back cover and spine will be black cardboard. 

Hard Binding  

Once your dissertation or thesis is approved, you are requested to submit hard-bound copies to the faculty, and maybe even present them to other persons who helped you on your journey. 

We will hard-bind in a leather-based paper your dissertation with the cover you choose from our selection. [PDF]   It comes complete with a gold or silver foil print on the cover and spine.

Columbia protester who said ‘Zionists don’t deserve to live’ was fiery student representative on Boston School Committee

A former Boston School Committee student representative who is now a Columbia University student and Palestinian solidarity protester apologized Friday after a video he made in January declaring “Zionists don’t deserve to live,” among other incendiary comments, was made public.

The student, Khymani James, has been banned from the Columbia campus, a spokesperson said Friday. His academic standing is unclear; a Columbia spokesperson said the university “can’t comment on specifics of disciplinary proceedings.”

The video made by James, a Boston Latin Academy graduate, was publicized Thursday by the conservative news site Daily Wire. James recorded and posted the video on Instagram Live of a meeting he had with administrators from Columbia’s Center for Student Success and Intervention, as well as comments he made after the hearing. It appears he was called into the meeting with the center officials regarding another social media post he had made, where he said, “Zionists in my DM wanting to meet up and fight ... I fight to kill.”

In the video, James doubles down on the statement, saying, “Zionists along with all white supremacists need to not exist because they actively kill and harm vulnerable people,” and “Be grateful that I’m not just going out and murdering Zionists.”

The video drew condemnation Friday from the White House , Politico reported, with spokesman Andrew Bates saying in a statement, “These dangerous, appalling statements turn the stomach and should serve as a wake-up call.”

“It is hideous to advocate for the murder of Jews,” Bates said. “President Biden has been clear that violent rhetoric, hate speech, and antisemitic remarks have no place in America whatsoever, and he will always stand against them.”

In a written statement, posted on Twitter early Friday morning , James apologized. “What I said was wrong. Every member of our community deserves to feel safe without qualification.”

“I misspoke in the heat of the moment, for which I apologize,” he added.

While James was a student in BPS, he frequently was outspoken in public spaces and didn’t shy away from confrontation. He served as a non-voting student representative on the Boston School Committee. On the committee, James called out district leaders regularly, over budget cuts that threatened his teachers and mentors, school reopening plans during the pandemic that failed to address aging ventilation systems, and the failure to give the School Committee’s lone student representative, elected by peers, equal standing as a voting member.

James was on the body from the fall of 2020 to March 2021, when he resigned , saying district leaders were silencing his voice and student concerns with disrespect and “adultist rhetoric.”

James also resigned from the district’s student advisory council, alongside a half-dozen other students. The students alleged the nonprofit contracted to oversee the council pushed them to soften their tone and water down their questions for district leaders. The students also protested the nonprofit’s use of unlicensed and unorthodox student counseling practices .

James’ public advocacy on social media and during press conferences was instrumental in prompting the district to cut ties with the contractor over its use of the group counseling practice.

After resigning, he generated controversy for saying at a School Committee meeting, “I too hate white people,” in defense of two former committee members accused of antiwhite racism.

One Twitter user posted a video of his comments and tagged Columbia. “Is this the type of student you want at your school?” the tweet asked.

More recently, James emerged as a voice of the Columbia University students’ “Gaza Solidarity Encampment” at a news conference this week . In the video, James said that the encampment will stay in place until the university meets the students’ demands, including divesting from Israel and providing amnesty for students and faculty who have faced discipline for their involvement in pro-Palestinian protests. Last week, New York police arrested more than 100 demonstrators at the university, sparking similar encampments across the country, including in Boston .

In Friday’s statement, James said the video he made in January predated his involvement with the encampment and with the Columbia University Apartheid Divest student coalition.

“CUAD and the Gaza Solidarity Encampment have made clear that my words in January, prior to my involvement in CUAD, are not in line with CUAD community guidelines,” James said. “I agree with their assessment. Those words do not represent CUAD. They also do not represent me.”

James wrote that he wished he had instead said he affirmed the sanctity of life, that all people deserve to be safe from physical harm, and that the Israeli government and military should be held accountable for their treatment of Palestinians.

Congress Passed a Bill That Could Ban TikTok. Now Comes the Hard Part.

President Biden has signed the bill to force a sale of the video app or ban it. Now the law faces court challenges, a shortage of qualified buyers and Beijing’s hostility.

A bill that would force a sale of TikTok by its Chinese owner, ByteDance — or ban it outright — was passed by the Senate on Tuesday and signed into law Wednesday by President Biden.

Now the process is likely to get even more complicated.

Congress passed the measure citing national security concerns because of TikTok’s Chinese ties. Both lawmakers and security experts have said there are risks that the Chinese government could lean on ByteDance for access to sensitive data belonging to its 170 million U.S. users or to spread propaganda.

The law would allow TikTok to continue to operate in the United States if ByteDance sold it within 270 days, or about nine months, a time frame that the president could extend to a year.

The measure is likely to face legal challenges, as well as possible resistance from Beijing, which could block the sale or export of the technology. It’s also unclear who has the resources to buy TikTok, since it will carry a hefty price tag.

The issue could take months or even years to settle, during which the app would probably continue to function for U.S. consumers.

“It’s going to be a royal mess,” said Anupam Chander, a visiting scholar at the Institute for Rebooting Social Media at Harvard and an expert on the global regulation of new technologies.

TikTok pledged to challenge the law. “Rest assured, we aren’t going anywhere,” its chief executive, Shou Chew, said in a video posted to the platform. “We are confident, and we will keep fighting for your rights in the courts.”

Here’s what to expect next.

TikTok’s Day in Court

TikTok is likely to start by challenging the measure in the courts.

“I think that’s the one certainty: There will be litigation,” said Jeff Kosseff, an associate professor of cybersecurity law at the Naval Academy.

TikTok’s case will probably lean on the First Amendment, legal experts said. The company is expected to argue that a forced sale could violate its users’ free speech rights because a new owner could change the app’s content policies and reshape what users are able to freely share on the platform.

“Thankfully, we have a Constitution in this country, and people’s First Amendment rights are very important,” Michael Beckerman, TikTok’s vice president of public policy, said in an interview with a creator on the platform last week. “We’ll continue to fight for you and all the other users on TikTok.”

Other groups, like the American Civil Liberties Union, which has been a vocal opponent of the bill, may also join the legal fight. A spokeswoman for the A.C.L.U. said on Tuesday that the group was still weighing its role in potential litigation challenging the law.

The government will probably need to make a strong case that ByteDance’s ownership of TikTok makes it necessary to limit speech because of national security concerns, the legal experts said.

TikTok already has a strong record in similar First Amendment battles. When he was president, Donald J. Trump tried to force a sale or ban of the app in 2020, but federal judges blocked the effort because it would have had the effect of shutting down a “platform for expressive activity.” Montana tried to ban TikTok in the state last year because of the app’s Chinese ownership, but a different federal judge ruled against the state law for similar reasons.

Only one narrower TikTok restriction has survived a court challenge. The governor of Texas announced a ban of the app on state government devices and networks in 2022 because of its Chinese ownership and related data privacy concerns. Professors at public universities challenged the ban in court last year, saying it blocked them from doing research on the app. A federal judge upheld the state ban in December, finding it was a “reasonable restriction” in light of Texas’ concerns and the narrow scope affecting only state employees.

Small Buyer Pool

Analysts estimate that the price for the U.S. portion of TikTok could be tens of billions of dollars.

ByteDance itself is one of the world’s most valuable start-ups , with an estimated worth of $225 billion, according to CB Insights, a firm that tracks venture capital and start-ups.

The steep price tag would limit the list of who could afford TikTok. Tech giants like Meta or Google would probably be blocked from an acquisition because of antitrust concerns.

Private equity firms or other investors could form a group to raise enough money to buy TikTok. Former Treasury Secretary Steven Mnuchin said in March that he wanted to build such a group. And anyone who can pony up the money still has to pass muster with the U.S. government, which needs to sign off on any purchase.

Few others have expressed public interest in buying the app.

The last time the government tried to force ByteDance to sell TikTok in 2020, the company held talks with Microsoft and the software company Oracle. (Oracle and Walmart ultimately appeared to reach an agreement with ByteDance, but the deal never materialized .)

A Complicated Divestment

Even if TikTok approaches a sale, the process of separating TikTok from ByteDance is likely to be messy.

The legislation prohibits any connection between ByteDance and TikTok after a sale. Yet TikTok employees use ByteDance software in their communications, and the company’s employees are global, with executives in Singapore, Dublin, Los Angeles and Mountain View, Calif.

It’s unclear if ByteDance would consider selling TikTok’s entire global footprint or just its U.S. operations, where the company has nearly 7,000 employees.

Breaking off just the U.S. portion of TikTok could prove particularly challenging. The app's recommendation algorithm, which figures out what users like and serves up content, is key to the success of the app. But Chinese engineers work on that algorithm, which ByteDance owns.

During Mr. Trump’s attempt to force a sale in 2020, the Chinese government issued export restrictions that appeared to require its regulators to grant permission before ByteDance algorithms could be sold or licensed to outsiders.

The uncertainty around the export of the algorithm and other ByteDance technology could also deter interested buyers.

China’s Unpredictable Role

The Chinese government could also try to block a TikTok sale.

Chinese officials criticized a similar bill after the House passed it in March, although they have not yet said whether they would block a divestment. About a year ago, China’s commerce ministry said it would “firmly oppose” a sale of the app by ByteDance.

Chinese export regulations appear to cover TikTok’s content recommendation algorithm, giving Beijing a say in whether ByteDance could sell or license the app’s most valuable feature.

It “is not a foregone conclusion by any means” that China will allow a sale, said Lindsay Gorman, a senior fellow at the German Marshall Fund who specializes in emerging tech and China.

China may retaliate against American companies. On Friday, China’s Cyberspace Administration asked Apple to remove Meta’s WhatsApp and Threads from its App Store, according to the iPhone manufacturer. The Chinese government cited national security reasons in making the demand.
